Depending on the product, it may also include editing, sharing, backup, or synchronization. The key distinction: it manages a photo library and its information, not just individual edits.
What photo management software does
A photo manager connects images with information that makes them easier to sort and retrieve. That information may include a photo’s location, date, keywords, rating, or edit settings. You can then use folders, albums, filters, and search to find images without relying only on filenames.

Editing may be part of the workflow, but it is not the whole category. Some tools combine library organization with image adjustments; others focus more on storing, syncing, or finding a collection.
How a photo catalog works
One common approach is a catalog: a database of records about photos. Adobe’s Lightroom Classic help documentation describes it this way: “A catalog is a database that stores a record for each of your photos.” In Lightroom Classic, Adobe says each record includes a reference to the photo’s location, processing instructions, and metadata such as ratings and keywords. This describes that product’s catalog model, not a universal standard.

Because the catalog can point to a file stored elsewhere, importing a photo does not necessarily mean the application moves the original into its own storage. Import behavior differs by product, so check whether a tool copies, moves, indexes, or uploads originals before relying on a particular workflow.
What information helps you find photos
Metadata is descriptive or technical information associated with a photo. Examples include a title, description, keywords, format, author, usage rights, and creation data. When a library supports metadata search and filters, you can retrieve images by meaningful details rather than remembering where you filed them. Adobe’s Lightroom learning materials describe organizing with albums and searching by metadata.

Metadata handling also matters when you move files between applications or devices. Adobe’s older Lightroom reference discusses XMP exchange and camera-raw sidecar files; because that guidance is version-dated, check current product documentation for how a particular application stores or exports metadata and edit settings.

Photo management usually means organizing a photo-centered library for personal or creative use. Digital asset management (DAM) is broader: organizations may use it to organize, store, retrieve, and distribute photos alongside video, documents, templates, and other files.

Enterprise DAM can add custom metadata fields, bulk imports, permissions, governance, lifecycle management, and distribution workflows. Adobe’s documentation for AEM Assets as a Cloud Service, for example, describes bulk importing assets and supporting custom metadata fields. That is a vendor example of enterprise capabilities, not a definition of what every photo app offers. A personal photo library may overlap with DAM in its organizing functions without being an enterprise DAM platform.

- Where the files live: Check whether originals remain in local folders or drives, are stored in a managed library, or are uploaded to cloud storage.
- What importing does: Find out whether the app indexes existing files, copies or moves them, or uploads them—and how it handles missing or relocated files.
- How you organize and search: Look for the albums, folders, keywords, dates, ratings, metadata fields, and filters you will use to find images.
- How metadata and edits are stored: Check which fields you can change and whether information or adjustments can be exported or used in other applications.
- Who needs access: For a personal library, device support and sharing may matter most. For a team, permissions, custom fields, governance, and distribution may be central.
These are workflow questions, not a universal feature checklist: current capabilities, supported devices, and storage arrangements vary by product and plan.
