Most remote workers can cover everyday PDF work without buying anything. A built-in browser reader handles viewing, highlighting and basic form filling, and Acrobat’s browser and Google Drive tools add editing and e-signature features. Paid Acrobat plans become relevant when you need to merge, split or compress files inside Google Drive, send signature requests, or meet a stricter security or accessibility requirement.
Start with the job, not the app
PDF tools overlap less than their marketing suggests. Before choosing one, list the three or four things you actually do with PDFs each week: reading contracts, marking up drafts, filling in forms, or assembling a package to send to a client. The table below maps those common jobs to the tools covered in this guide, using only what the product documentation states. Where a vendor page does not mention a feature, the cell says so rather than assuming it exists.

Microsoft Edge: the reader already on your computer
Edge’s built-in PDF reader is the lowest-friction option for anyone on Windows or macOS. It opens PDFs stored on your computer, PDFs served from a website, and PDFs embedded in a page. Microsoft’s documentation for the PDF reader in Microsoft Edge lists navigation, zoom, rotation, search, table of contents, caret browsing, read-aloud and text notes alongside ink, highlighting and basic form filling.
#1 Best Overall
- Create and edit PDFs. Collaborate with ease. E-sign documents and collect signatures. Get everything done in one app, wherever you go.
- Edit text and images without jumping to another app.
- E-sign documents or request e-signatures on any device. Recipients don’t need to log in to e-sign.
- Convert PDFs to editable Microsoft Word, Excel, or PowerPoint documents.
- Share PDFs for collaboration. Commenting features make it easy for reviewers to comment, mark up, and annotate.
Where Edge falls short
Edge is strongest for reading and marking up. Two limits matter in practice:
- Legacy XFA forms do not work. Microsoft documents XML Forms Architecture (XFA) as unsupported. Some government, insurance and banking forms still use it. If a form opens but fields do not respond, or the page shows a message about an unsupported form type, open the same file in Acrobat on the web or in a desktop Acrobat installation.
- Feature availability depends on version. Microsoft’s documentation includes a feature-version table listing the minimum stable channel version for certain capabilities. Check your version before assuming a feature is present, and expect differences if your organisation manages browser updates centrally.
Acrobat on the web
Adobe’s overview of Acrobat on the web, updated 11 September 2026, describes the service as usable from a desktop, laptop or mobile browser, with an internet connection. It covers creating, editing, organising pages, converting files, merging, signing and collaborating. It also says you will receive notifications for documents stored in Adobe cloud storage.

This is the option to choose when the browser reader is not enough but you do not want a desktop installation. It suits a remote worker who switches between a work laptop and a personal tablet, because the same account opens the same documents on both.

Security statements to read as vendor claims
Adobe states that the service uses AES-256 encryption and TLS 1.2, and that uploaded files remain private unless you share them. These are Adobe’s descriptions of its own service. They are not an independent audit, and they do not show that Acrobat on the web meets a particular employer’s policy or a regulatory requirement. If your files include client personal data, medical records or unreleased financial information, get your security team to review the service before uploading them.

Acrobat inside Google Drive
If your working files live in Google Drive, the Acrobat add-on lets you open and work on PDFs without leaving Drive. The free tier covers the tasks most people do every day. Heavier file-handling tasks sit behind a paid Acrobat DC plan.
What the free tier is good for
Use the free tier for reviewing a contract, leaving comments, highlighting clauses and filling in a simple form before signing it yourself. It is a practical choice when you receive a PDF from a colleague and need to mark it up without changing the original file’s structure.
Rank #4
- EDIT text, images & designs in PDF documents. ORGANIZE PDFs. Convert PDFs to Word, Excel & ePub.
- READ and Comment PDFs – Intuitive reading modes & document commenting and mark up.
- CREATE, COMBINE, SCAN and COMPRESS PDFs
- FILL forms & Digitally Sign PDFs. PROTECT and Encrypt PDFs
- LIFETIME License for 1 Windows PC or Laptop. 5GB MobiDrive Cloud Storage Included.
What requires a paid plan
Editing, exporting, conversion, compression, page deletion, merging, splitting, page rotation, signature requests and password protection are listed as premium features in the Marketplace listing, and some require a paid Acrobat DC subscription. In practice this means that if you regularly combine three or four files into a single submission, or shrink a scanned file before uploading it to a client portal with a size limit, the free add-on will not do that job. Plan for a subscription or use the browser service described above, where merging and compression are listed among capabilities.

Permissions before you connect
The listing describes the Drive permissions the add-on requests, which apply to files you choose to open with it. Review those permissions in your Google account and check your employer’s rules on connecting third-party apps to work Drive accounts before you install anything. Many organisations restrict this, and an admin may block the add-on entirely.

When a broader Acrobat plan is worth checking
Adobe’s Acrobat DC for Business feature sheet describes a wider set of functions than the browser and Drive tools. These include redaction, scan editing, accessibility and PDF standards features, identity and administration options, and integrations with Box, Dropbox, OneDrive, Google Drive, Microsoft 365 and SharePoint. Some functions are marked as requiring Acrobat Pro DC. The same sheet notes that services may not be available in every country or language and that additional fees may apply, so check regional availability and the plan you would buy.
Redaction is the feature most worth verifying before you rely on it. Removing visible text from a page is not the same as removing the underlying content, and a redaction tool should be tested on a sample file before you use it on anything sensitive.
Signatures: what the sources establish and what they do not
Adobe’s tools overview describes requesting, tracking and managing e-signatures. That establishes that the features exist in Acrobat. It does not establish that every signature collected through them is legally valid in every jurisdiction or for every type of contract. Whether a signed document meets local requirements depends on the contract type, the parties and the law where you are. Follow your employer’s signature policy and seek legal advice for agreements with significant value or regulatory consequences.
Build a workflow in five steps
- Inventory your files. Note where your PDFs come from (email, Drive, a client portal) and where they need to go next. A workflow that begins in Drive should stay in Drive where possible.
- Check employer rules first. Confirm which storage locations, add-ons and signature methods your organisation permits. Do this before you upload a sensitive file to any service.
- Start with the free reader. Open the file in Edge, or in the Drive viewer with the Acrobat add-on, and test whether the form, annotation or review task works. Most reading and markup tasks end here.
- Escalate only for a specific missing feature. Move to Acrobat on the web when you need editing, merging or signing from a browser. Move to a paid Acrobat DC plan when a task needs the premium Drive functions or the business features described above.
- Test on a copy. Before you compress, redact or merge a file that matters, run the process on a duplicate and check the output: text still selectable, pages in the right order, form fields still filled, file size acceptable.
Scanning paper documents
You do not need a separate scanner for most remote work. Adobe lists its Scan mobile app as a way to capture paper documents as PDFs, which you can then open in the browser or Drive tools above. Paper-heavy roles may still prefer a dedicated scanner, but the sources do not establish that dedicated hardware is necessary.
Troubleshooting common problems
- A form opens but fields do not respond. The form may use XFA. Edge does not support it, so open the file in Acrobat on the web or a desktop Acrobat app.
- A premium option is greyed out or prompts for an upgrade in Drive. The feature belongs to the paid tier. Check the Acrobat plan on your account or ask your administrator whether a subscription is available to you.
- A feature described in a guide is missing in your browser. Check the browser version against Microsoft’s feature-version table, and confirm that your organisation has not restricted it through policy.
- The add-on is unavailable in a managed Google Workspace account. An administrator may have restricted third-party add-ons. Request approval through your IT team rather than working around the restriction.
- A converted or compressed file looks different. The sources do not include independent conversion testing. Compare the original and converted file side by side before sending the converted version to anyone.
Choosing the right tool for your week
For reading, commenting and simple forms, the built-in Edge reader and the free Drive tier are enough. For editing, merging and compression from a browser, Acrobat on the web is the next step. For signature requests, file protection, redaction or integration with your organisation’s systems, look at paid Acrobat plans and confirm that your employer approves them.
