Passwords Aren’t the Only Thing to Consider When Choosing a Password Manager

Choosing a password manager means assessing the whole system: vault protection, MFA, recovery, autofill, device support, exports, updates and passkeys.

A password manager is only as useful as the system around its vault. When comparing one built into a browser or device with a standalone app, look beyond password storage: check how the vault is protected, how you sign in and recover access, whether autofill behaves safely, and whether the manager fits your devices and future needs.

What should you look for in a password manager?

Start with the job the manager must do: protect credentials and make them practical to use across the browsers, operating systems, and devices you rely on. Then assess the account and recovery paths that protect the vault. A long list of extras matters less if the manager does not fit your devices or its recovery design is unclear.

  • Device fit: Confirm support for your actual browsers, operating systems, and device mix. First-party browser or device managers may benefit from deep platform integration; standalone managers can suit varied setups, extra capabilities, or people who want less vendor lock-in. Neither category is automatically safer. The UK National Cyber Security Centre (NCSC) explains these trade-offs in its public guidance on password managers and passkeys.
  • Vault protection: Find out what information is encrypted, both in storage and in transit, and who can access the decryption key. A product label or general security claim does not answer those questions.
  • Sign-in and recovery: Check available multi-factor authentication (MFA) methods and what happens if you forget the primary password or lose a device or key.
  • Safe daily use: Check whether autofill offers a saved credential only on its matching site, and whether the manager supports the passkey workflows you use.
  • Portability and maintenance: Understand how to export your data and protect any export file. Look for a clear update process and responsible vulnerability disclosure.
  • Sharing and administration: If you need family or workplace sharing, secure notes, or administrative controls, verify that the specific product supports them on your platform and plan.

Does the manager keep your vault on one device or sync it?

An on-device manager stores its data on a single device, which can limit where the vault is exposed but may make access less convenient across a device mix. A cloud-sync manager provides access across devices and can support centralized administration, while adding questions about the manager account, remote access, and security of data in transit. These are different trade-offs, not a simple safe-versus-unsafe choice.

The NCSC buyer guide is written for system owners making organizational decisions, so its criteria should be adapted to a personal or family setup. Its distinction between on-device and cloud-sync managers is still useful: with cloud sync, examine both vault encryption and the security of the account used to reach it. See the NCSC password manager buyers guide.

How are the vault and manager account protected?

The vault and the account that opens it are related but separate parts of the risk picture. Ask the provider what is encrypted, including whether sensitive metadata such as saved site details is protected, and whether the provider can access the decryption key. For a cloud-sync service, also ask how information is protected in transit. Read the product’s technical documentation rather than relying on broad terms such as “secure” or “encrypted.”

Enable MFA for the manager account if it is available. NIST recommends using a password manager for accounts that still require passwords and says its login should support MFA because it protects the stored passwords. The NCSC also recommends MFA for cloud-sync managers. Prefer a phishing-resistant method when the manager supports one that works with your account and devices.

NIST’s public advice says, “For accounts that require passwords, NIST experts highly recommend that you use a password manager.” Its password guidance recommends a password of at least 15 characters. NIST also gives an illustrative estimate: an eight-character password would take about 200 billion guesses, while a modern laptop can make about 100 billion guesses per second. These are examples about password guessing, not a measure of any manager’s performance. The advice and estimates appear on NIST’s password guidance page.

How does recovery work—and what can it expose?

Recovery can prevent a lockout, but it can also create another route to the vault. Before choosing a manager, find out who can authorize recovery, what event triggers it, and whether you will be notified. A provider-controlled recovery process, another account holder, a recovery key, and restoring access from a trusted device are not interchangeable designs.

Consider realistic failure cases: forgetting the primary password, losing your main device, or losing a key needed to decrypt the vault. Find out whether recovery restores the same vault or requires a different process, and what information or authority it depends on. The NCSC warns that recovery can be exploited, especially when the service provider is responsible for it; a design that cannot recover a lost key may instead leave you unable to access your data. Decide which risk you can accept before relying on the manager for important accounts.

Does autofill offer credentials only on the right site?

Autofill affects both convenience and the chance of entering a password on an impostor site. Check that the manager offers a saved credential only for the matching site, rather than presenting it indiscriminately. Also consider the browser permissions the manager needs and how its matching behavior works. Autofill can help prevent accidental entry on a lookalike site, but it is not a guarantee against phishing and should not be treated as one.

NIST states in its digital identity standard, SP 800-63B-4, that “Passwords are not phishing-resistant.” That statement describes passwords as an authentication method; it does not mean that every password manager prevents phishing.

How should passkeys and hardware keys affect your choice?

Passkeys are private digital keys used for sign-in; NIST says they cannot be easily stolen through phishing and are different for each login. They can be used through phones, laptops, dongles, and some browsers. If you plan to use passkeys, check whether the manager supports the particular workflows you need and how passkeys sync or recover across your devices. Support and sharing behavior vary; do not assume that a feature works the same way across managers or platforms.

A hardware security key may be an optional MFA or passkey authenticator where your manager and account support it. It is not a requirement, and compatibility is not universal. Check the currently supported authentication methods for the specific manager and the accounts you want to protect before buying any device.

Can you switch managers without exposing your passwords?

Export is useful if you want to migrate or keep a backup, but some exports may be plain-text files. Find out what the export contains and how the manager protects it. If you export data, save it only in a secure location, keep access limited, and remove the temporary file when it is no longer needed. The NCSC buyer guide recommends checking export safeguards as part of choosing a manager.

How can you assess a provider’s maintenance and transparency?

No software product is immune to vulnerabilities. Look for a provider that explains how it updates its apps and handles security reports, and check whether it communicates clearly when issues arise. Independent security evidence can be useful when available, but examine what it covers rather than treating the existence of an audit as a complete guarantee.

Because features, platform support, and authentication options change, verify current details in the provider’s own documentation before deciding. For organizational use, also confirm that the available administration and sharing controls match your requirements rather than assuming a consumer feature set will be sufficient.
