It should take a reader from a specific answer claim to the exact document version and passage used to support it, while clearly identifying partial evidence, conflicting sources, and cases where verification could not be completed.
What a useful page citation must let a reader verify
Consider the question, “When does the supplier renewal need approval, and who can approve it?” It contains two claims: a deadline and an approver. Those facts may appear on different pages, and the evidence may support one while leaving the other unresolved. A single citation at the end of a paragraph can make it unclear which source supports which statement.
Place citations beside the claims they support. Each citation should provide a path to the source material, not merely identify a search result. The reader should be able to determine which document and version were used, find the relevant page, read the supporting passage in context, and understand what that passage establishes.
Represent support claim by claim
A useful interface distinguishes four evidence states: sufficient, partial, conflicting, and no evidence. These are different outcomes, not steps in a progression. Multiple claims in the same answer can have different states: the approver might be supported while the deadline remains unclear.

| Partial | State what the passage establishes and identify the missing detail. Do not present the unsupported portion as settled. |
| Conflicting | Show the relevant competing passages and explain what differs. Do not choose a winner merely because one result ranked higher or was uploaded later. |
| No evidence | Say that the completed search found no supporting passage. Do not imply that a search failure proves the fact is absent. |
Retrieval is not verification. Exact matching and semantic similarity can surface candidate passages, but neither demonstrates that a passage supports the answer. The assistant must inspect readable source content and assess whether it supports each claim. A source statement and a further inference about what will happen should also remain distinct: cite the statement, then label any inference rather than presenting it as source text.
Build a citation around a stable source location
A practical evidence record can preserve an evidence ID, document ID, version ID, zero-based physical page index, printed page label, passage text, linked claim IDs, and a support classification. These fields are a proposed design pattern, not a claim that every document assistant stores them. A passage extracted through OCR should also retain that extraction provenance in associated metadata.

Page identity needs two pieces of information. The physical page position provides a dependable navigation target in the selected file; the visible page label helps a person recognize the page. They can differ when a document includes a cover or front matter. A sound citation therefore points to the version actually used, navigates by physical position, and displays the page label readers see.
Chunk identifiers alone are a weak reader-facing reference: reindexing can change chunks, while a person needs a human-usable route back to the source. A citation should open the relevant passage with enough surrounding context to check its meaning. Highlighting can help locate text, but coordinate-based highlights are reliable only if extraction and display use consistent rotation, crop, and scale.

Keep versions and access under control
Do not silently redirect an old citation to a newer document version. The newer file may contain different evidence, so replacing the source while leaving the answer unchanged would undermine verification. Retaining cited versions makes past answers checkable, but creates storage and deletion-policy tradeoffs. If a cited source has been removed, report that the version is unavailable rather than substituting a different one.
Authorization must be checked at both ends: when evidence is retrieved and again when a reader opens its citation. Permissions can change after an answer is generated. A tooltip, cached preview, or other citation display must not reveal cited text after access has been revoked.

Microsoft’s Azure AI Search documentation describes a security-filter pattern that stores user or group identity strings in a filterable index field and uses a search.in filter to trim returned documents. Microsoft explicitly says the principal value is a filter string, not authentication or authorization, and warns that making a field non-retrievable is not by itself content obfuscation or field-level security. The pattern is result-filtering guidance; an application still needs to authenticate users and enforce authorization throughout the system. See Microsoft Learn’s security-filter guidance.
Report evidence gaps differently from system failures
A completed search that finds no usable support is not the same as a timeout, extraction problem, missing source, or failed viewer. Those failures do not establish that the requested fact is absent. Use wording that tells the reader what happened and what can be done next.

- No supporting passage found: the search completed, but no usable evidence for the claim was found.
- Search timed out: the search did not complete; invite the reader to retry.
- Source unavailable: identify that the cited version cannot currently be inspected, for example because it was removed.
- Extraction or viewer problem: explain that the source could not be read or displayed; do not recast the technical issue as an evidence finding.
These distinctions matter because only the first describes a completed search result. The others describe an inability to finish retrieval or verification.
Why verification remains a human responsibility
A September 15, 2026 opinion from the U.S. District Court for the Western District of Pennsylvania describes AI-assisted legal filings with incomplete citations and hyperlinks that led to a Lexis homepage instead of legal authority. The court found violations of Federal Rule of Civil Procedure 11(b) and Pennsylvania Rule of Professional Conduct 1.1 and imposed non-monetary sanctions. This case-specific outcome is a reminder to make citations inspectable, not evidence that all AI citations fail or that interface design alone prevents professional errors. The opinion recounts Senior U.S. District Judge Nora Barry Fischer telling counsel at a May 18, 2026 hearing: “whether you use Lexis, Westlaw, or any other search engine, as an attorney, you have a duty to verify citations.” The court opinion makes the point plainly: a citation interface can support verification, but it cannot replace the reviewer’s duty to check authority.
Separate a product’s features from its design promises
Byte Chap’s September 30, 2026 article, “Page Citations as a Document Assistant’s Interface,” proposes a per-claim evidence model and version-specific citation behavior. It describes DocBento, the author’s self-hosted document management application built with FastAPI and React and using PostgreSQL with pgvector or MariaDB. The article lists hybrid keyword and semantic search, document versions and previews, roles, groups, and restricted folders as capabilities; it distinguishes those stated capabilities from its proposed evidence schema, claim-state model, and citation contract. Those proposals should not be mistaken for verified implementation behavior across DocBento or other products. Read the design article for its full proposal.
