When your Outlook signature text shows up but the images don’t, it’s usually not a “missing signature” problem—it’s a delivery/formatting problem. Outlook can be picky about where the image comes from, how it’s embedded, and which security settings are applied.
This guide walks through the fastest, most reliable fixes for 2024 across Outlook for Windows (classic), new Outlook for Windows, Outlook on the web, and Outlook for Mac. You’ll also find practical workarounds when the first fix doesn’t hold.

Why Outlook signatures won’t show images
The image part of an Outlook signature can fail for a few common reasons:
Free tools Windows power users keep installed
One-click scans. No signup required.
- Outlook is loading an external image URL or a local file path that recipients can’t access.
- The signature is built as plain text or saved in a format that doesn’t preserve image embedding.
- Security policies block content, especially when images are pulled from a remote server.
- Corrupted or partially copied signature HTML (often happens after migrations or editing the signature in multiple clients).
- Recipient settings (for example, “block external content”) can hide images even if you sent them correctly.
Knowing which “bucket” you’re in determines the fastest fix.

Before you change anything: quick checks
Do these checks first so you don’t waste time rebuilding the signature unnecessarily.
- Test with a different recipient (e.g., a personal Gmail address and a different company mailbox).
- Compose a new email and insert your signature manually (don’t rely on auto-attach yet).
- Confirm the image is actually referenced: right-click the image area in the sent message source/view (if available) or ask the recipient to view message details.
- Try disabling “read receipts/remote content blocking” temporarily only for troubleshooting (don’t leave insecure settings on).
If the image never shows to anyone, focus on your signature construction. If it shows to some recipients but not others, recipient security settings or content blocking may be the culprit.
Fix 1: Use embedded images the Outlook way (Windows desktop Outlook)
Outlook reliably displays signature images when they’re embedded into the signature HTML as files placed in Outlook’s signature folder. External links often break or get blocked.
Do these 3 things before closing this tab:
1Scan for outdated or missing drivers - takes under a minute2Clear out junk files and repair common Windows errors3Fix the driver behind crashes, sound loss and screen glitchesFor the most consistent results, rebuild your signature using embedded images (not pasted as a floating image pulled from the clipboard).
Fix 2: Move images to a trusted location (file path permissions)
If your signature references a local path like C:\Users\You\Pictures\logo.png, it will work on your PC but not for recipients. Even within your organization, Outlook may still not be able to access that path.
Place the image in your signature folder and reference it via the signature’s HTML rather than a raw local path.

Fix 3: Ensure HTML signature formatting is enabled
Signatures stored as plain text can’t render images. Even if you copied an image into the editor, the resulting signature may still save in a non-HTML format.
Recommended Free Tools
Use a signature format that supports HTML and includes the image markup. This is especially important after updating Outlook or migrating mail profiles.
Fix 4: Verify the signature editor settings (Outlook desktop)
Outlook signatures can behave differently depending on whether you’re composing in HTML or plain text mode. The signature editor also has fields that look similar but store different values.
- Confirm your signature is selected for the correct account.
- Confirm it’s set for new messages and replies (if you use both modes).
- Confirm the email you’re composing isn’t forced to plain text.
Fix 5: Update Outlook and remove signature corruption
Signature corruption is real—especially when copying signatures between machines, Office versions, or Outlook profiles. When in doubt, rebuild the signature from scratch using a known-good template.
Also make sure your Outlook is on the latest update channel for 2024. Microsoft continues to patch signature and rendering issues via monthly Office updates.
Platform-specific solutions
Use the solution that matches your Outlook app. The steps differ because signature storage and rendering differ between clients.

Outlook for Windows (classic desktop)
This is where signature images are most controllable. The goal is to embed the image into the signature folder and ensure your signature is set to insert into HTML emails.
- Open Outlook.
- Go to File > Options > Mail.
- Click Signatures….
- Select the signature name you want to fix.
- Delete the existing image from the editor (highlight the broken image if needed).
- Click Insert Picture (or the image icon) and select the logo file from a stable location.
- After inserting, click Save.
- On the same screen, confirm Choose default signature matches your account and set images for New messages and Replies/forwards as desired.
- Test by composing a new email, making sure you’re not in plain text mode. If needed, in the compose window use Format Text > HTML.
New Outlook for Windows
New Outlook can be less forgiving with signatures that rely on certain HTML behaviors. If images won’t render consistently, the workaround is often to avoid complex HTML and rebuild with a simpler embedded image.
- Open New Outlook for Windows.
- Go to Settings (gear icon).
- Open Mail > Compose and reply (wording may vary slightly).
- Select Signatures.
- Delete the current signature image.
- Reinsert the image using the signature editor’s Insert image option.
- Keep the layout simple: avoid tables or pasted HTML from a different app.
- Verify the signature is enabled for the account you’re testing.
- Send a test email and confirm on at least one external address.
Outlook on the web (OWA)
OWA signatures tend to render best when images are inserted directly through the editor and not through fragile pasted HTML. If you paste HTML from another system, your images may be stripped or blocked.

- Remove any broken image content from the signature editor.
- Use the editor’s Insert / image control to add the logo again.
- Save your signature.
- Send a test email to an external address to verify images show.
If OWA still strips the image, switch strategy: create a minimal signature (text only) plus an image hosted on a public HTTPS URL—then verify your organization doesn’t block external content.
Outlook for Mac
On macOS, signature rendering depends on the signature HTML saved by Outlook and how images are embedded. External image URLs may work, but embedded images are the safest bet for consistent viewing.
- Open Outlook on your Mac.
- Go to Outlook > Settings (or Preferences depending on version).
- Select Signatures.
- Choose the relevant signature.
- Remove the broken image from the editor.
- Insert the logo again using the signature editor’s image control.
- Confirm the signature is set for the account and message types (new/replies).
- Send a test email from your Mac and verify on another mailbox.

| Symptom | Likely cause | Fast fix |
|---|---|---|
| Text shows, image area is blank | Signature is plain text or HTML not preserved | Rebuild signature using HTML-capable editor and reinsert picture |
| Images show to you but not recipients | Local file path or blocked external content | Embed image in signature; avoid raw local paths |
| Images appear in some recipients but not others | Recipient-side external content blocking | Test with different domains; consider hosting on HTTPS if embedded fails |
| Images disappear after an Office update | Signature corruption or format change | Create a fresh signature and copy only the text over |
| Only replies/forwards miss the image | Signature not configured for replies/forwards | Recheck default signature settings for replies/forwards |
Troubleshooting when the signature still won’t display images
If the standard rebuild doesn’t fix it, try these in order.
- Force HTML compose: In the compose window, set Format Text to HTML before sending a test.
- Recreate a blank signature: Create a new signature name and build it from scratch. Don’t copy the old HTML.
- Check the inserted image file: Use a PNG or JPEG under a reasonable size (logos often work best under ~200 KB). Extremely large images can fail to render.
- Remove complex formatting: Avoid pasted HTML from web designers. Simple one-image layouts behave better.
- Clear signature-related caches (desktop only): If the signature is corrupted, clearing and rebuilding is faster than trying to repair.
- Test without hyperlinks: If your logo is wrapped in a link (common in templates), remove the link and retest.
- Compare against a known template: Temporarily use a minimal signature (name, title, plain embedded logo) to isolate what triggers the failure.
Workarounds that usually work
When you need something reliable right now—especially across multiple Outlook clients—these approaches help.
Use a hosted HTTPS image (with controlled fallback)
If embedding keeps failing (common in some newer clients), host your logo on a stable HTTPS URL and insert it as an externally referenced image. Be aware that some recipients will block external content.
Use a smaller logo + plain text fallback
Keep the image compact and add a plain-text link to your website or contact card. Even if the image doesn’t render, the recipient still gets a working contact path.
Standardize your signature across devices
If you manage both Windows and Mac, rebuild the signature separately per platform rather than copying a single HTML blob everywhere. That reduces format drift.
Security and privacy gotchas (and why it matters)
Some Outlook clients and security gateways scan or rewrite HTML. Additionally, many organizations restrict remote images and will block external content by default. That means:

- Tracking pixels can be flagged by security systems. If your logo is hosted with tracking parameters, strip those parameters for signatures.
For best deliverability, keep your signature HTML simple and avoid unnecessary scripts (Outlook will ignore most scripts anyway).
FAQ
Why does my Outlook signature image show in my sent email but not in the recipient’s inbox?
Most commonly, the signature is referencing a local path or an external URL that the recipient’s security settings block. Rebuild using an embedded image in the Outlook signature editor and test with multiple external addresses.
Should I use PNG or JPG for Outlook signature images?
Both work. PNG is great for logos with transparency; JPG is fine for photos. Keep the file size reasonable (often under a few hundred KB) and avoid huge dimensions.
Does Outlook block signature images by default?
Outlook itself doesn’t “block your signature images” in a blanket way, but it can behave differently depending on whether images are embedded, whether the email is HTML vs plain text, and how the recipient’s environment handles external content.
Can I fix this only by changing my Outlook settings?
Sometimes. If the image is plain text, HTML is the solution. If you’re pointing to a local file or fragile HTML, the Outlook settings won’t help—you’ll need to rebuild or embed the image correctly.
What if the signature works in Outlook on Windows but not on Mac?
Build a dedicated signature per platform. Copying the same HTML across clients often causes image path or embedding differences.
Bottom Line
When an Outlook signature’s images don’t show, the fix is usually about format (HTML vs plain text) and image embedding (signature folder references) rather than “something wrong with Outlook.”
