Before setup: identify your Outlook version and account provider
Outlook for Mac has new and legacy experiences, and their feature sets differ. An account added in one experience does not automatically appear in the other. Microsoft’s Outlook for Mac overview explains how to switch experiences; Microsoft’s feature matrix tracks which features are available, upcoming, unavailable, or under investigation.
Also identify the provider for each address. A work or school account may use Microsoft 365 or Exchange Online; personal accounts may use Microsoft services, Google, Yahoo, or iCloud. Other providers may use IMAP or POP. These distinctions matter because authentication, calendar and contact syncing, and migration options are not identical.

Microsoft’s Outlook for Mac overview lists macOS 10.14 Mojave and later as a requirement. That stated minimum does not guarantee every current Outlook feature works on every listed macOS version.
How do I add an email account to Outlook for Mac?
- Open Outlook and choose Outlook > Settings > Accounts.
- Select Add Account, enter your email address, and continue.
- Follow the sign-in prompts. For some providers, Outlook redirects you to the provider’s authorization page to grant access.
- After setup, send and receive a test message. Check the account’s calendar and contacts separately rather than assuming they were added with mail.
Microsoft documents this flow for common Microsoft and third-party accounts in its account setup instructions. Yahoo and some other IMAP or POP additions may ask you to authorize access to mail, contacts, and calendars. The permissions and available data depend on the provider.

What works with each account type?

Use Microsoft’s dedicated iCloud calendar setup flow rather than relying on the mail account alone. The steps are specific to Outlook for Mac and iCloud. Microsoft states that Outlook for Mac does not support CalDAV or CardDAV, so generic calendar or contact-server settings are not a substitute for the documented flow.

How do I use contacts in Outlook for Mac?
Contact support depends on the account provider. Microsoft says Gmail, Yahoo, and iCloud support contact storage and sync in Outlook for Mac; other IMAP and POP account types do not. If contacts are missing, check whether the service and Outlook experience support contact syncing before troubleshooting the address book itself.
Microsoft’s contact instructions cover creating contacts. For iCloud, follow its separate calendar setup guidance where relevant; the fact that mail is connected does not establish that contacts or calendars are connected too.

How do I import or export Outlook data on a Mac?
Choose the migration route based on the data type and where it is coming from or going to. Microsoft documents importing messages, contacts, and other items—including PST files from Outlook for Windows—and exporting items to an archive file. The available steps depend on the source and destination, so use the matching section in Microsoft’s import and export instructions.

- Creating an archive: use the export workflow, then keep the resulting file somewhere accessible and backed up.
- Moving between online services: confirm whether the destination supports the same item types; importing mail does not necessarily move calendars or contacts.
Can I organize accounts with Outlook profiles?
Profiles can group associated accounts, notifications, and themes, and can integrate with Apple Focus Filters. Microsoft says profile creation requires at least two accounts, and the feature is being released gradually, so it may not yet be available to every user. What changes when switching between new and legacy Outlook?
Switching interfaces does not automatically copy accounts from one experience to the other. If an account seems to disappear after switching, check the account list in that Outlook experience and add the account there if needed. Use Microsoft’s feature matrix to verify whether a particular feature is available in the experience you intend to use; feature statuses can change.
Microsoft’s feature page states that support for legacy Outlook for Mac will end in October 2026, with continued support dependent on the user’s Microsoft 365, Office, or Outlook license. Because that date is imminent, check Microsoft’s current page and your license terms before making a transition decision.
