Outlook Email Recall on Windows 11: Steps, Limits, and What to Do

Outlook can recall some unopened messages between Microsoft 365 work or school accounts in the same organization. Follow the right Windows steps and verify the recall report.

You can recall an email in Outlook for Windows 11 only in specific circumstances: the sender and recipient must both use Microsoft 365 work or school accounts in the same organization, and the recipient must not have opened the message. Open the sent message in its own window, use Outlook’s recall command, then check the Message Recall Report; sending a recall request does not guarantee that the message was removed.

Before you try to recall the message

Recall is intended for eligible work or school email within the same organization, not as a universal way to take back any email. Microsoft Support says personal Gmail, Hotmail, and Outlook.com accounts cannot use message recall. The recipient must also not have opened the message. Messages sent outside your organization are not eligible under these requirements. See Microsoft’s recall requirements and limitations.

  • Both sender and recipient have Microsoft 365 work or school email accounts in the same organization.
  • The recipient has not opened the message.
  • The message is not protected by Azure Information Protection, which Microsoft identifies as a recall limitation.

If you use a personal Outlook.com account, skip to Undo Send for Outlook.com. It gives you a short chance to cancel before delivery; it does not retrieve an email after it has been sent.

Recall a message in new Outlook for Windows

  1. In the folder pane, open Sent Items.
  2. Double-click the email you want to recall so it opens in its own window.
  3. Select Recall Message on the ribbon, then confirm.
  4. Look for the Message Recall Report in your inbox. Open its link to see whether the recall succeeded, is pending, or failed.

Recall a message in classic Outlook for Windows

  1. Open Sent Items, then double-click the email. Selecting it only in the reading pane is not enough.
  2. On the Message tab, find Recall This Message. The menu path depends on your ribbon:
    • Classic Ribbon: Move > More Move Actions > Recall This Message.
    • Simplified Ribbon: More commands (…) > Actions > Recall This Message.
  3. Choose Delete unread copies of this message or Delete unread copies and replace with a new message, then confirm.
  4. If you chose replacement, compose and send the corrected message.

If the new Outlook instructions do not match your screen, you may be using classic Outlook; use the steps above. Microsoft’s Outlook accessibility instructions also cover keyboard operations for both interfaces.

Check whether the recall worked

A recall request is not confirmation that the original message disappeared. Use the Message Recall Report to check its status: it can show succeeded, pending, or failed. Microsoft says classic Outlook users usually receive the report in less than 30 seconds, but those are service-guidance timings, not guaranteed delivery times. Microsoft describes retries for requests that cannot execute immediately as lasting up to 24 hours before a request is marked failed. Status may take up to five minutes for a message with up to a few hundred recipients, or up to thirty minutes for a very large recipient list.

If the report says pending, wait for the status to update rather than treating the message as recalled. If it fails, assume the recipient may still have the original message and send a correction or follow-up as appropriate.

What to do if the recall command is missing

In classic Outlook, Microsoft says the command may be absent because the account is not an Exchange account or the feature is unavailable in the organization. A protected message is also a stated limitation. Confirm that you opened the sent message in its own window, then check with your organization’s email administrator if the account or feature availability is unclear.

Use Undo Send in Outlook.com instead

Personal Outlook.com accounts do not have message recall. You can configure Undo Send at Settings > Mail > Compose and choose a delay of up to 30 seconds. During that delay, cancel sending if you spot a mistake. Once the message has actually been sent, this setting cannot retrieve it.
