Archive an email you may want to find or refer to later; delete one you intend to discard. Both actions remove the message from your Inbox, but they place it in different folders and have different recovery implications. The regular Archive folder is for keeping mail—not for freeing mailbox space.
Archive or delete: the practical difference
| Choice | What happens | Use it when | Important caveat |
|---|---|---|---|
| Archive | The message moves from the Inbox to the Archive folder. | You are done handling the message but might need to search for or consult it later. | The regular Archive folder does not reduce mailbox capacity. |
| Delete | The message moves to Deleted Items. | You do not expect to need the message and intend to discard it. | Deleted Items can be emptied, and recovery after that depends on the service and account policy. |
| Online Archive | Eligible Microsoft 365 work accounts can use a separate archive facility. | Your organization provides it and you need to manage mailbox size. | It is not the same as the ordinary Archive folder; availability depends on account and organization setup. |
Microsoft describes Archive as a place for messages you have finished working with but may refer to later. Its Outlook.com guidance says moving such messages to Archive helps reduce Inbox clutter: Working with message folders in Outlook.com.

What happens when you delete a message?
Deleting normally moves a message to Deleted Items rather than removing it immediately. If it is still there, move it to another folder to restore it. Microsoft explains the steps in Recover and restore deleted items in Outlook.
Do these 3 things before closing this tab:
1Scan for outdated or missing drivers - takes under a minute2Clear out junk files and repair common Windows errors3Fix the driver behind crashes, sound loss and screen glitchesOutlook.com recovery windows
For Outlook.com, Microsoft says items are automatically deleted from Deleted Items after 30 days. Items removed from Deleted Items are recoverable for 30 days. These are Outlook.com-specific periods, not a universal rule for every Outlook account. Microsoft notes that recovery steps must be completed on a computer, not in a mobile browser. See Delete email in Outlook.com and Microsoft’s recovery guidance.

Work or school accounts
For Exchange work or school accounts, an administrator may set how long deleted items remain recoverable. If a message is missing from both the visible Deleted Items and Recoverable Items folders, contact your organization’s administrator; the account’s retention policy may determine whether restoration is possible. Treat Deleted Items as temporary holding space, not long-term storage.
Does Archive free up mailbox space?
No—not when you use the standard Archive folder. It simply moves the message out of the Inbox. Microsoft distinguishes this from Online Archive, a separate mailbox-size management feature for eligible Microsoft 365 enterprise accounts. Ask your organization whether your account has Online Archive and how it is configured before moving mail for capacity reasons. Details are in Archive in Outlook for Windows.

Why Archive options can differ between accounts
Microsoft lists Archive as a default folder for Microsoft 365, Outlook.com, and Exchange accounts. With POP or IMAP accounts, you may need to create an Archive folder or designate an existing folder. Available archive methods also vary by account type and Outlook version. For Microsoft 365 and Exchange accounts, Microsoft’s documentation says the ordinary Archive folder cannot be relocated.

In particular, AutoArchive is unavailable in new Outlook for Windows, so do not assume instructions for one Outlook edition apply to another.
