To refund an online-store order, return the money through the payment processor that handled the original transaction. For a manual payment such as cash, agree with the customer how you will return it. Then, separately, stop fulfillment in the store manager if needed. A store cancellation changes order handling; it does not send money back.
Before you start: check the order and payment method
Open the order in the store management area and review its details, including the payment method and customer contact information. The order view contains the information you need to choose the right refund route and, for offline payments, contact the customer. See the order-management guide.

Issue the refund through the original payment method
Online payments
Sign in to the merchant account for the processor connected to the order and initiate the refund there. The refund instructions cover PayPal and Stripe; the processor’s own account is where the payment reversal is initiated. The available amount may be full or partial depending on how the customer paid, so check the options for that transaction rather than assuming every payment method supports both.

Razorpay payments
For an order paid through Razorpay, initiate the refund in the Razorpay account using the Razorpay refund instructions. The store dashboard may take a few minutes to reflect the updated order status after the refund is processed.

Manual or offline payments
For cash or another manual payment, contact the customer and agree on how to return the money. The store does not automatically return an offline payment. The order summary provides the customer’s contact details.
Stop fulfillment and record the reason
After initiating the refund, return to store management and cancel fulfillment if the order should no longer be sent or completed. This is a separate operational step from returning the money. You can add the reason in the order’s Merchant Notes for internal tracking; these notes are private and do not appear in customer-facing emails or receipts.

Do not confuse a refund with order cancellation
The cancellation workflow is intended for an order that is both unpaid and unfulfilled. If the customer has already paid, refund the transaction through its payment route instead. Cancellation is irreversible, and it does not return the customer’s money. See the order-cancellation guide before using that action.
Special case: appointment orders
Appointment refunds are not automatic. Issue the refund manually, then mark the order as refunded in Store Manager. The appointment guide describes the appointment workflow.

Publish a refund policy separately
A checkout policy explains your terms to customers; it does not process a refund. To make a policy available during checkout, go to Store management → Settings → Checkout → Checkout policies and add a Refunds policy using a Website Builder Page or a custom link. See the checkout-settings guide.
