OneNote Backup: Choose the Right Copy for Recovery

Choose the right OneNote recovery method for your account and device: confirm sync, export eligible personal OneDrive notebooks, or use desktop backups stored on a separate drive.

To back up a OneNote notebook, first confirm its latest changes have synced, then choose the right recovery copy: use OneNote’s desktop backup for rolling recovery points, or export a notebook if it is stored in a personal OneDrive account. Keep desktop backup files on a different drive from the original and verify any downloaded copy before relying on it.

Choose a backup method for your notebook’s account and device

OneNote’s sync, backup, and export features solve different problems. Sync keeps a notebook’s changes available across devices; a backup provides recovery points; export creates a downloadable notebook copy. The right option depends on where the notebook is stored and which OneNote app you use.

Method Where it works What it preserves Key limitation
Desktop backup Windows and Mac, according to Microsoft’s platform comparison Recoverable copies of notebook content; restore selected pages or sections Backups are local unless you change the destination; default settings and retention differ by platform. Microsoft’s platform comparison
Notebook export OneNote for the web, for notebooks in personal OneDrive accounts A downloadable notebook package Microsoft says web export does not work for work/school OneDrive or SharePoint notebooks. Microsoft’s export guidance
Deleted Notes recovery OneDrive notebooks, using the available Deleted Notes view A recently deleted page Recovery behavior and availability can vary by app; this is not a substitute for a separate backup. Microsoft’s deleted-notes guidance

Before choosing, identify whether the notebook is in personal OneDrive, work/school OneDrive, SharePoint, or stored locally, and whether you are using Windows, Mac, mobile, or the web. In particular, do not treat the personal-OneDrive web export as an option for an organizational notebook.

Confirm the latest changes have synced

A backup or export made before the latest edits reach the cloud can leave those edits out. OneNote automatically synchronizes shared notebooks at intervals, but seeing a notebook on another device does not by itself prove a recent edit has arrived.

See Microsoft’s OneNote sync instructions for platform-specific guidance.

Export a notebook from personal OneDrive

For an eligible notebook, OneNote for the web can download a notebook package. Microsoft limits this export feature to notebooks stored in personal OneDrive accounts; it is not a supported web export route for work/school OneDrive or SharePoint notebooks.

Seagate Portable 5TB External Hard Drive HDD – USB 3.0 for PC, Mac, PS4, & Xbox - 1-Year Rescue Service (STGX5000400), Black

  • This USB drive provides plug and play simplicity with the included 18 inch USB 3.0 cable

  1. Open OneNote for the web and select the notebook.
  2. Right-click the notebook name and choose Export notebook.
  3. Review the notebook size, confirm the download, and make sure the computer has enough free disk space.
  4. Wait for the download to finish. The export is a ZIP file.

Large notebooks may fail to download. Microsoft recommends splitting portions into smaller notebooks and trying again. If a download is incomplete or fails, look for an errors.txt file in the downloaded contents for details. Follow Microsoft’s export and import guidance for current limitations.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Check the downloaded copy

Do not assume a ZIP is a usable backup just because it downloaded. Microsoft documents an inspection workflow for Windows: extract the ZIP, confirm the expected OneNote files are present, open the Table of Contents file in OneNote for Windows, and check that sections and pages are accessible. This documented inspection workflow is Windows-only and unsupported on iOS; it is a verification practice, not a promise that every platform reopens the package identically.

Set up desktop backups and put them on another drive

Microsoft’s platform comparison documents these built-in backup settings:

Platform Backup availability and documented schedule How to open backups
Windows Automatic and manual backup; daily by default, with two weeks of retention File > Info > Open Backups
Mac Automatic and manual backup; weekly, retaining the two most recent copies File > Open Backups
iPad/iPhone Microsoft’s comparison currently contains the phrase “Coming soon Early – Mid 2026”; because that rollout wording refers to a period that has passed, check the installed app rather than treating it as confirmation of current availability Check the installed app and current Microsoft guidance
Web No backup entry in Microsoft’s platform comparison; notebook export is available for personal OneDrive notebooks Use the eligible notebook’s web export option

These schedules and retention details are Microsoft-documented product settings, not independent test results. See the OneNote platform data protection and recovery comparison for the current platform matrix.

Change the Windows backup destination

For supported Windows desktop editions, open File > Options > Save & Backup to change the backup folder. Menu availability can depend on the edition; use the app’s current menus rather than relying on an old Windows-specific folder path.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

By default, OneNote stores backups on the same hard disk as the original notebook files. Microsoft states: “OneNote automatically stores backups of your notes on the same hard disk drive as your original notebook files.” A failure of that disk can therefore affect both the original files and the backup. Microsoft suggests a secondary or external disk, removable storage, or a private network folder as an alternative destination. The destination must be configured in OneNote; plugging in another drive does not automatically copy backups to it. See Microsoft’s instructions for changing the default backup storage location.

Restore a page or section from a desktop backup

When only part of a notebook needs recovery, copy that section or page rather than replacing more content than necessary. In supported desktop versions:

  1. Open File > Info > Open Backups on Windows, or File > Open Backups on Mac.
  2. Open the notebook folder, then the relevant backup section.
  3. Right-click the section tab or page tabs you need and choose Move or Copy.
  4. Choose the destination notebook and select Copy.
  5. After checking the restored material, close the backup section and return to the original notebook.

Microsoft notes that the restore dialog disables Move so the backup is not accidentally removed. Keep the backup copy intact while restoring. See Microsoft’s restore-from-backup instructions.

Recover a deleted page separately

If the problem is a recently deleted page in a OneDrive notebook, check View > Deleted Notes. Right-click the page and use Move or Copy to return it to the notebook. Deleted-note retention and recovery can differ between clients, so follow the guidance for the app you are using; see Microsoft’s deleted notes recovery instructions.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Move a work or school notebook to a personal account

If you need a personal-account copy of a work/school notebook, do not use the personal-OneDrive web export instructions as if they applied. Microsoft describes a Windows route using File > Save a Copy and choosing OneDrive Personal or This PC, and Mac approaches that copy sections between signed-in accounts. Organization policies or administrator restrictions may affect account movement, so the available route is not universal across tenants. Consult Microsoft’s notebook transfer guidance and any applicable workplace rules.
