If OneDrive is not syncing your files, start by selecting its cloud icon in the Windows notification area or Mac menu bar. The icon can show whether OneDrive is paused, signed out, still processing changes, or needs attention. Match the status or error to the fix below rather than resetting the app first. These steps apply to personal and work or school accounts, though some settings and policies vary by platform and organization.
1. Read the OneDrive cloud icon before changing settings
Select the OneDrive cloud icon in the Windows notification area or Mac menu bar. Microsoft uses these icons to indicate sign-in state, whether sync is paused, file availability, and actions that need attention. A gray icon with a line can mean you are signed out or setup is incomplete; a pause symbol means syncing has stopped until resumed. Microsoft’s OneDrive icon guide explains the other status symbols.

2. Resume syncing or reopen OneDrive
If the icon indicates that syncing is paused, select it and resume syncing. Pausing may be intentional, so check before changing account settings. If OneDrive is not running, reopen it from Windows Start or Mac Finder, then inspect the icon again. Microsoft’s pause and resume instructions cover the available controls.
3. Sign in again if OneDrive is disconnected
A changed password, unfinished setup, or a mismatch between the account you expect and the one configured can interrupt syncing. Complete OneDrive sign-in and note any error code shown. For error 0x80010007, Microsoft directs users to unlink the account and run setup again; its sync error guidance says cloud files remain accessible online.

4. Check Microsoft 365 service health if OneDrive is inaccessible
If you cannot access OneDrive itself, check Microsoft 365 service health before changing local settings. Whether there is an incident depends on the service and time, so do not assume an outage from a sync delay alone. Microsoft’s recent OneDrive issues page, marked updated April 20, 2026, also directs users to service health.
5. Make sure the missing folder is selected for syncing
If only a particular folder is missing, check OneDrive’s folder-selection controls in settings. A folder that is not selected will not appear as a synced folder on that device. Microsoft’s folder-backup troubleshooting guide identifies folder selection as a cause to check.

6. Check whether the account has run out of storage
When an account is over its Microsoft storage allowance, Microsoft says it cannot upload, edit, or sync new files. Check the account’s storage usage; if it is over quota, remove files you no longer need or review available storage options. Do not treat storage as the cause unless usage confirms it. See Microsoft’s folder-backup troubleshooting for the quota-related limitation.

1Clear out junk files and repair common Windows errors2Scan for outdated or missing drivers - takes under a minute3Repair Windows errors before they cause bigger problems7. Check the file name and full path
OneDrive restricts some names, characters, file types, and path lengths. Microsoft says names cannot start with a space or contain these characters: : / * ? < > " |. Rename the file or move it to a shorter, valid path, then check the current OneDrive and SharePoint restrictions for the applicable limits.

8. Check file size, type, and organization policy
Microsoft’s folder-backup guidance says OneDrive cannot sync files over 250GB. For work or school accounts, an administrator may also block certain file types. Check the current restrictions and your organization’s policy before concluding the app is broken. Microsoft’s sync error guidance identifies blocked file types as one possible cause; the restrictions page covers current limits. Microsoft announced on April 22, 2026, that syncing for up to 1,000,000 items was beginning to roll out. That rollout wording does not establish that the higher item count is already available to every account.
9. Close the file if another app is using it
A document being edited, an image being processed, or an Outlook data file may be unavailable to OneDrive while open. Save your work and close the file, then allow sync to resume. If the issue is limited to one open file, fix that condition before trying app-wide repairs. Microsoft lists files in use among the causes of “This file can’t be synced” in its sync troubleshooting guidance.

- Plug-and-play expandability

10. Verify read and write permissions
If the error points to file access, check that your Windows account can both read and write the item. Right-click the file, choose Properties, open Security, and inspect the permissions for your account. If either permission is missing, ask the owner or an administrator to correct it; organization-managed devices may restrict who can change permissions. Microsoft’s file sync error instructions describe this Windows check.
11. Give “Processing changes” time when the cause is normal activity
“Processing changes” can reflect an open OneDrive file, many newly added files, a very large file, sign-in activity, or a recent sign-in or computer update. A large first sync may take time, particularly on a slow internet connection. Close finished work and allow legitimate processing to complete; if the status persists after those causes have cleared, continue with the relevant file or connection checks. Microsoft lists these causes in its “Processing changes” troubleshooting guide.

12. Inspect pending and hidden files before deleting anything
Unknown or hidden files can contribute to a processing or pending status. Review OneDrive activity and identify what is waiting before removing files. Microsoft says aria-debug log files can be safely deleted in the scenario described in its processing changes guidance; do not generalize that advice to other unknown files.
13. Move a problem file out and back for a file-specific sync error
Use this targeted retry when one file has a sync error, not as a general remedy for an account-wide issue:
- Close OneDrive.
- Move the affected file outside the OneDrive folder.
- Restart OneDrive and wait until it reports “Up to date.”
- Copy the file back into the OneDrive folder and check its status.
Microsoft provides this procedure in its file sync troubleshooting steps.

Unlinking is a later connection repair, and the steps differ between Windows and Mac. Follow the platform-specific instructions in Microsoft’s unlink and relink guide. Microsoft says unlinking and relinking does not lose data: local folders are temporarily disconnected from the cloud, and changes made while disconnected sync after relinking. You may need to choose folders again during setup.
15. Reset OneDrive or contact support if narrower fixes fail
Microsoft says resetting OneDrive can resolve some sync issues, but it disconnects existing sync connections and causes a full sync. Try the symptom-matched checks first; reset is a broader step. For work or school accounts, contact your IT helpdesk if permissions, blocked file types, or organization policy may be involved. Otherwise, contact Microsoft support with the exact error message and your platform and account type. Microsoft’s reset instructions and sync troubleshooting guide explain the available repair paths.
