OpenAI’s Batch API can reduce API charges for invoice summarization by 50% compared with synchronous requests, but it does not come with evidence of equal or better invoice-summary accuracy. It is a fit when results can arrive asynchronously: Batch processes uploaded JSONL requests within a documented 24-hour window, with no streaming. To decide whether the savings are worthwhile, compare both modes on the same invoices, model, prompt and evaluation criteria, and measure cost per accurate, accepted summary—not just cost per request.
What changes—and what does not—with Batch
Batch changes how requests are submitted and delivered, not the underlying question of whether a model has understood an invoice. Instead of handling each response in a direct synchronous flow, an application uploads a JSONL file of requests and retrieves results from output files after processing. The documented price reduction is 50% versus synchronous API processing. That is a discount on API processing, not a promise that a complete invoice workflow costs half as much: actual charges depend on the selected model and the input and output tokens used. Nor does a lower price establish that summaries are accurate. The official materials cited here do not report an invoice-specific controlled comparison of Batch and synchronous quality.

Pricing mechanics and model rates are documented on OpenAI’s API pricing page. OpenAI says endpoints are not priced separately; token usage is charged at the selected model’s rates. The Batch FAQ states the comparative discount, while the Batches reference provides usage fields, including input, output and total token counts for batches created after September 7, 2025. Confirm current model rates, eligible models and account limits before estimating or launching work, because these can change.

Estimate token cost from a real workload
Do not estimate from invoice count alone. The request includes more than the invoice: instructions, schema, and any context consume input tokens, while the requested summary consumes output tokens. Scanned documents may also require image input, which should be represented in the workload estimate rather than treated as ordinary text extraction.
- Fix the workload assumptions. Record the number of invoices, representative document length and format, prompt and schema, selected model, expected summary length, and any image input.
- Measure tokens on a representative sample. After running requests, record input and output usage. Include retries and failed requests in the operational estimate rather than silently counting only successful first attempts.
- Apply the rates for the selected model. Use the current input and output rates from the OpenAI API pricing page; apply the documented Batch discount when estimating eligible Batch processing.
- Report useful unit costs. Calculate both cost per invoice submitted and cost per accepted summary. Also project the intended batch size, clearly dating the pricing assumptions.
This method produces a workload-specific estimate; the cited sources do not establish a universal per-invoice cost for summarization. A Batch job can also incur charges for requests completed before cancellation or expiration, so include partial completion in planning.

Measure quality separately from format
Structured Outputs can require a response to follow a schema, but a correctly shaped object can still contain a wrong total, date, vendor name or payment term. OpenAI’s announcement states, “Structured Outputs doesn’t prevent all kinds of model mistakes.” Read the Structured Outputs announcement for the distinction between structural constraints and factual correctness.
For a fair mode comparison, keep the model, prompt, schema, input formatting and inference settings the same. Use a representative invoice set with adjudicated reference summaries, including the layouts, vendors, currencies and edge cases expected in production. Score factual fields and summary claims separately, and record omissions and unsupported claims. Also track malformed outputs, refusals, failed requests and retries. Report quality alongside token counts and cost per accepted summary.

These controls help isolate whether the chosen setup is reliable for the workload. They are an evaluation method, not evidence that either processing mode is more accurate. The official sources cited here provide no invoice-specific quality result or accuracy percentage.
Build the Node.js Batch workflow around reconciliation
The OpenAI Node.js SDK reference lists methods to create, retrieve, list and cancel batches. The API workflow uses uploaded JSONL requests and exposes output and error file IDs, request counts and token-usage fields. Consult the current openai-node API reference and Batches API reference for current method signatures and supported options.

- Prepare one JSONL request per invoice. Keep a stable invoice identifier in each request’s custom ID or metadata so a returned response can be matched to its source.
- Upload the input and create the batch. Save the batch ID and the identifiers needed to monitor its state.
- Track status until results are ready. Handle completion, expiration and cancellation as distinct outcomes rather than assuming every submitted row will produce a usable summary.
- Retrieve and validate output records. Check each response against the expected schema, then reconcile returned records against submitted invoice identifiers.
- Process errors and missing rows. Use the error output and request counts to identify failures; decide whether to retry, route for review or leave the invoice unresolved.
These are implementation recommendations based on the documented file workflow and response counts, not claims about a tested application. Batch has separate rate limits, including enqueued input-token limits for most API batch requests; check the current limits for the account before choosing job size.
Account for delay, partial completion and invoice data
- Delay: The documented processing window is up to 24 hours, and there is no streaming. A workflow that must show a summary immediately needs a different delivery pattern.
- Cancellation and expiration: Completed work can be returned even if a job is canceled or expires, and completed requests remain billable. Reconcile partial output before resubmitting work to avoid duplicate processing.
- Rate limits: Batch has separate limits. Enqueued input-token limits can affect how much work can be in flight, so do not size a batch solely by invoice count.
- Retention and sensitivity: Batch files and artifacts are governed by configured Batch, File Service and Sediment retention policies. The FAQ says zero data retention does not apply to Batch files and artifacts. Invoice documents can contain sensitive financial and personal information; check current retention settings and organizational requirements before uploading them.
Model availability, prices, supported endpoints, SDK methods, retention rules and limits are subject to change. Verify the current documentation and account configuration when designing or revising a production workflow.
