A timesheet should record the hours you actually worked, not just the hours you were scheduled to work. Under the U.S. federal Fair Labor Standards Act (FLSA), covered employers must keep complete and accurate records of hours and pay, but federal law does not require a particular timesheet form or a time clock. State and local laws, employer policies, collective bargaining agreements, and job-specific rules can differ.
What should I put on my timesheet?
Enter your actual work hours in the format your employer requires, including the days and times worked and any break information the system asks for. Follow your employer’s instructions for submitting and correcting entries.

For FLSA recordkeeping, the employer must retain required employee-identifying and payroll information as well as hours worked each day and total hours worked each workweek. The U.S. Department of Labor’s Fact Sheet #21 also lists the basis of pay, regular rate, straight-time and overtime earnings, additions to or deductions from wages, total wages paid, payment date, and pay period. A company timesheet may collect only some of these fields if the employer keeps the remaining required data elsewhere. The Department of Labor’s Fact Sheet #21 explains the federal recordkeeping requirements.

Do I have to clock in and out?
No particular timekeeping method is required by the FLSA. An employer may use a time clock, a timekeeper, worker-entered timesheets, or another method, provided its records are complete and accurate.
#1 Best Overall
For a stable fixed schedule, an employer may record the usual schedule and note exceptions. For workers with flexible schedules, reporting total hours worked each day may be appropriate. The Department of Labor describes these approaches in its Small Entity Compliance Guide.
Should I enter scheduled hours or actual hours?
Record the time you actually worked. If you worked longer or shorter than your schedule, the record should reflect the actual hours, with the difference noted as an exception where that is your employer’s process. Do not change an entry just to make it match the schedule.

Do I include my lunch break or rest break?
Break treatment depends on the kind of break and whether you were relieved of work duties. Federal law does not require employers to provide lunch or coffee breaks. If an employer provides a short rest break, usually 5 to 20 minutes, the Department of Labor generally treats it as paid work time. A meal period typically lasting at least 30 minutes is generally unpaid when you are completely relieved of duties. If you have to work during a meal, do not automatically deduct that time; record it and follow your employer’s reporting process.
These are federal guidelines, and state or local rules may provide additional protections. See the Department of Labor’s Breaks and Meal Periods guidance for more detail.

How do I record overtime?
Record all hours worked by day and workweek, including hours beyond your normal schedule. Under the general FLSA rule, covered employees who are nonexempt must receive overtime pay of at least 1.5 times their regular rate for hours worked over 40 in a workweek. Coverage and exemption status matter, and state law may set additional requirements; the rule does not apply universally to every worker.
What should I do if I made a timesheet mistake or missed the submission deadline?
- Contact your supervisor or payroll contact promptly and identify the date and entry that needs correction.
- Provide the accurate hours and use your employer’s correction and approval process.
- Keep a personal note of the hours and when you requested the correction.
Federal guidance requires covered employers’ records to be accurate but does not set a universal employee correction form or timesheet submission deadline. Follow your employer’s policy and raise a missing or incorrect entry as soon as you can.

How long should timesheets be kept?
The federal retention periods described by the Department of Labor differ by record type. Covered employers generally must keep payroll records for at least three years. Records used to calculate wages, including time cards, generally must be kept for two years. These are employer recordkeeping requirements; see Fact Sheet #21 for details.

Yes. Keeping a personal log of your hours can help you compare your entries with pay information or explain a discrepancy. The Department of Labor recommends personal tracking and provides a printable work-hours recordkeeper and information through Worker.gov. You do not need to buy a logbook or software to keep your own record, and a personal log does not replace the employer’s recordkeeping responsibilities.
