Microsoft To Do or Planner: Which Fits Your Tasks?

Microsoft To Do is the simpler choice for personal lists and daily focus; Planner is built for shared plans, assignments, and progress tracking. Here’s how they overlap and when Planner’s subscription-dependent features matter.

Choose Microsoft To Do for personal task lists and daily focus; choose Planner when work needs to be organized into plans, assigned, scheduled, and tracked. They are not mutually exclusive: tasks assigned to you in Planner can appear in To Do, while the Tasks app in Teams brings personal and team tasks together. The right choice depends on whether you need a lightweight individual list or a shared work plan.

Microsoft To Do vs. Planner: the core difference

To Do is centered on individual tasks, personal lists, and daily priorities. Its My Day view helps you focus on what to work on, and it connects with Outlook tasks and flagged email. A task can include details such as a due date, reminder, repeat schedule, and notes; the To Do experience in Outlook also supports file attachments. See Microsoft’s To Do and Planner overview and its guides to managing tasks in Outlook and planning with To Do.

Planner organizes work into plans. Within a plan, tasks can be assigned and arranged in buckets, and you can set start and due dates and track progress. Its board-style organization and other views make it useful when people need a shared picture of the work. Plans can also sit in Teams alongside related posts and files. Microsoft’s app-selection guide describes the distinction as individual task management versus work with a team.

What each app is good at

Use To Do for personal task management

  • Daily focus: Put selected tasks in My Day rather than treating every open item as today’s priority.
  • Lists and reminders: Group individual tasks into lists and add dates, reminders, repeat schedules, or notes as needed.
  • Outlook connection: Work with Outlook tasks and flagged email in a task-focused workflow. The exact experience can vary with the account and Outlook experience you use.
  • Shared lists: To Do can also support shared lists, so collaboration alone does not automatically require Planner.

Use Planner for organized, shared work

  • Assignments: Give tasks to people so ownership is visible.
  • Plan structure: Use buckets and views such as board, grid, or schedule to organize work in a way the plan’s members can follow.
  • Dates and progress: Set start and due dates and track task status across the plan.
  • Work in Teams: Teams can provide a place to work with a plan alongside related conversations and files.

Can Planner tasks appear in Microsoft To Do?

Yes. Microsoft documents that Planner tasks assigned to you can appear in To Do’s Assigned to me list. That lets you keep a personal task view without moving the team’s work out of its plan. In Teams, the Tasks app brings individual tasks from To Do and Outlook together with team tasks from Planner. See Microsoft’s instructions for seeing Planner tasks in To Do and its guide to choosing the Teams Tasks app and other task tools.

There is a rollout qualification: Microsoft’s To Do instructions note that they are due to be updated for the new Planner rollout. Government Cloud users are directed to continue using those instructions. If an assigned task does not appear as expected, check the guidance for your account environment and current Planner experience rather than assuming the apps never connect.

Planner Basic vs. Premium: when the plan matters

Planner is not a single fixed feature set. Microsoft’s comparison distinguishes Basic from Premium, and access depends on your subscription. Basic includes Schedule view and features such as recurring tasks, Outlook calendar visibility, SharePoint integration, and adding plans to Loop. Premium adds more advanced planning capabilities, including:

Can Planner be used for personal tasks?

Yes. Microsoft documents personal plans in Planner, so it is not exclusively a team-project tool. Personal plans can use Grid, Board, Schedule, and Charts views in Basic; Premium personal plans add options such as Timeline, People, and Goals. Some templates require a Premium license. Microsoft explains the personal-plan options in its guide to managing personal tasks with Planner in Teams.

A practical way to choose

  1. Start with the work’s owner. If the tasks are yours to manage, begin in To Do. If several people need assignments and shared progress, begin with Planner.
  2. Check the structure you need. A list and daily focus point toward To Do; plans, buckets, dates, and team views point toward Planner.
  3. Check the required features and account. If you need Premium planning features, verify subscription eligibility in Microsoft’s current comparison before building a workflow around them.
  4. Combine them when useful. Keep team coordination in Planner and use To Do or Tasks in Teams to see relevant personal and assigned work together.
