Microsoft Teams brings together chat, calls, video meetings, and collaboration, but it is a family of offerings—not one app with identical features on every plan. For personal use, business meetings, or a larger organization, the right fit depends on who needs access, how many people must meet, whether you need Microsoft 365 apps or business calling, and which security controls matter.
What Microsoft Teams does—and why the plan matters
Teams supports messages, calls, meetings, and collaboration. Microsoft offers versions and plans for individuals, businesses, enterprise, and education; the available features, limits, and eligibility vary by audience and subscription. See Microsoft’s overview of Teams options and its Teams service description for the applicable offering.

Microsoft describes Teams Essentials as “designed for a small business in need of an affordable, professional, easy-to-use meeting solution with video and audio calling.” That makes it a potential fit for a small organization that primarily needs meetings, rather than a guarantee that it includes every Microsoft 365 service a business might want. Microsoft’s business plan comparison distinguishes Essentials from Business Standard for buyers who need Office apps, a custom email domain, and Exchange calendar integration.

#1 Best Overall
- SUPPORT WORK FROM ANYWHERE WITH SYNC: Whether employees are in the office, at home, or somewhere else, Sync device management software helps everyone stay connected by letting you ensure their Logitech video collaboration personal devices are being used and up to date.
- Open workspaces are great for collaboration, but not so great when the noise around you makes it hard to concentrate. Active noise cancellation substantially reduces unwanted ambient sound, so you can get focused and stay focused.
- Great for Music and Talking with immersive sound for listening to music and a noise-canceling mic that ensures that your voice is heard on the other end of a call—not the noise around you.
- On ear controls to adjust volume, start/end calls, and invoke Teams. Plus button controls for power, active noise cancellation (ANC), wireless Bluetooth pairing, and mute on/off or use the flip-to-mute mic feature.
- Certified for Microsoft Teams ensures it’s easy to pick-up or answer Teams meetings, calls, messages, and notifications with a single press to the Teams button. Or apply a longer touch to invoke Cortana voice skills.
- Personal communication: Check the current personal offering and its eligibility directly; business plan limits and prices do not automatically apply to personal accounts.
- Small-business meetings: Teams Essentials is positioned as a standalone meeting option. Compare it with Business Basic or Business Standard if your staff also need Microsoft 365 apps, business email, or calendar integration.
- Enterprise, education, or government: Confirm the exact tenant, plan, and feature availability. Limits and entitlements in a business comparison should not be generalized to these environments.
- Traditional phone service: If staff need phone numbers and calls to or from the public telephone network (PSTN), evaluate Teams Phone licensing and the available PSTN connection separately.
- Premium meeting controls: Check whether the desired recording, transcription, or security features require an additional license, and whether a security setting disables features participants expect.
Microsoft Teams pricing and licensing
In the US business comparison reviewed, Microsoft listed the following prices per user per month with annual payment. These are page-listed US prices, not a universal quote; Microsoft says subscriptions renew automatically and that price and terms depend on the billing plan selected. Verify current pricing, billing term, taxes, and eligibility for your location before purchasing. Microsoft 365 business plans and pricing.
| Plan | US listed price | What the comparison establishes |
|---|---|---|
| Teams Essentials | $4.00 per user/month, paid yearly | Standalone meeting solution positioned for small and medium businesses. |
| Microsoft 365 Business Basic | $6.00 per user/month, paid yearly | Business plan option; check Microsoft’s comparison for included apps and services. |
The comparison does not make these prices applicable to personal, enterprise, education, or government offerings. Nor should a buyer infer that Essentials supplies Business Standard’s Office apps, custom email domain, and Exchange calendar integration.

Teams Phone is a separate decision
Teams Phone is a cloud phone system for organizations that need calling through the PSTN or internet. Microsoft’s reviewed US enterprise comparison listed Teams Phone Standard at $10.00 per user/month, paid yearly. That figure is not a universal price, and phone service may require additional licensing or a calling arrangement. Microsoft identifies Calling Plans, Operator Connect, and Direct Routing as PSTN options; availability and pricing depend on country and plan. Confirm prerequisites, regional availability, tax treatment, and current terms in Microsoft’s Teams Phone information.
Teams meeting, call, and chat limits
Microsoft publishes different limits for different plans and interaction types. The figures below are service limits, not results from independent performance testing. Confirm the applicable limit for your specific plan in Microsoft’s Teams limits and specifications.

| Activity or item | Microsoft-published limit | Important qualification |
|---|---|---|
| Meeting attendance | Up to 300 people on certain business, Teams Essentials, and A1 plans; up to 1,000 on specified enterprise and education plans | Capacity depends on the plan; not every Teams meeting has the same maximum. |
| Audio or video call started from chat | 20 people | This is distinct from meeting capacity. |
| Private chat participants | Up to 250 people | Several features are disabled when a chat has more than 20 participants. |
| Chat attachment | 100 MB per file; up to 10 attachments | Applies to chat attachments under Microsoft’s published limits. |
| Meeting or event duration | Up to 30 hours | Microsoft-published service limit. |
| Meeting recording | Four hours or 1.5 GB | When either limit is reached, the recording ends and automatically restarts. |
Messages, calls, and meeting experience
Messages and chat
Teams chat supports private conversations and file attachments. A large group chat is not the same as a meeting: private chats can reach 250 participants, but Microsoft disables several features above 20 participants. For a live conversation with more than 20 people, use the meeting capacity for the applicable plan rather than assuming a chat call can accommodate the same audience.
Calls and meetings
Teams supports audio and video calls as well as scheduled or ad hoc meetings. A call launched directly from chat has a 20-person cap, while meeting capacity can be higher on qualifying plans. Organizations that need ordinary phone-number calling should assess Teams Phone and its PSTN options instead of assuming a standard Teams meeting subscription includes phone service.

Call audio and headsets
A headset is optional equipment, not a stated Teams requirement. If you are choosing a Microsoft Teams headset, check device compatibility and compare its connection method, microphone, comfort, and suitability for your setting. The Microsoft pages reviewed do not recommend or certify a specific headset model.

Security, encryption, and meeting trade-offs
Microsoft describes multiple encryption layers for Teams data at rest and in transit, and its security guidance describes media encryption using SRTP. These baseline protections are distinct from end-to-end encryption (E2EE), an optional meeting mode with its own feature trade-offs. See Microsoft’s Teams security guide.
Best Value
- Comfortable on-ear design with lightweight, padded earcups for all-day wear.
- Background noise-reducing microphone.
- High-quality stereo speakers optimized for voice.
- Mute control with status light. Easily see, at a glance, whether you can be heard or not.
- Convenient call controls, including mute, volume, and the Teams button, are in-line and easy to reach.
For E2EE meetings, Microsoft says the organizer needs Teams Premium. When E2EE is enabled, recording and live captions are unavailable. Consider that trade-off before turning it on: the stricter meeting mode may not suit a session that needs a recording or captions. Microsoft’s setup guidance explains the requirements and behavior in End-to-end encrypted meetings in Teams.
What the available evidence says about Teams
Microsoft’s product, service, pricing, limits, and security pages establish what the offerings include and the published conditions and limits. They do not establish how Teams compares with competing services in call quality, reliability, or ease of use under real-world conditions.
Microsoft reported on September 22, 2025, that Gartner named it a Leader in the 2025 Magic Quadrant for Unified Communications as a Service for the seventh year in a row. This is Microsoft’s account of Gartner’s recognition, not an independent test of Teams call quality or user experience. Microsoft’s September 22, 2025 announcement.
