Microsoft Teams AI Meeting Features: Access, Languages, and Recording Requirements

Teams AI recaps have different license, language, recording and transcript requirements. Here’s how to check access and troubleshoot a missing recap.
Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Microsoft Teams AI meeting features do not share one license, language list, or recording rule. Text-based intelligent recap requires a Copilot or Teams Premium license; audio and video recaps require Copilot. Video recap also needs a cloud recording and transcript, while audio recap is built from transcripts. Whether you can use any recap or Copilot depends on the meeting’s settings and your access permissions.

Which Teams AI meeting feature can you access?

Microsoft distinguishes text-based intelligent recap from audio and video recaps. A Copilot license may be Microsoft 365 Copilot or another applicable Copilot license; check Microsoft’s current licensing documentation and your organization’s configuration before relying on access.

Feature License stated by Microsoft Meeting material required
Intelligent recap (text-based summaries, tasks, mentions and related content) Copilot or Teams Premium A recorded or transcribed event; AI summaries require a transcript and an event of at least five minutes.
Audio recap Copilot Transcript or transcripts from eligible meetings.
Video recap Copilot Cloud recording and transcript; meeting duration must be 10–90 minutes.
Other Teams Premium meeting features Teams Premium add-on, subject to feature and tenant availability Varies by feature. Microsoft’s overview includes AI-assisted meeting notes and task assignment, live caption translation, recording timeline markers and AI-powered speaker suggestions in transcripts.

People without Copilot may still view recordings or transcripts if they have permission to access them. Teams Premium’s feature overview lists live caption translation in 40 languages; that figure is for caption translation, not a universal language count for AI recaps. See Microsoft’s Teams Premium feature overview and Meeting Recaps app guidance for current details.

How to check access before a meeting

Exact controls depend on your license, meeting type and organization policy. The organizer can control whether Copilot is permitted, whether recording or transcription starts automatically, who can record or transcribe, and whether multilingual speech recognition is available.

TONOR Conference Microphone for PC, USB Microphone for Win & Mac, G11
  • Omnidirectional Microphone - It is not a Speaker or Speakerphone, it is a condenser microphone. The microphone has an omnidirectional pickup pattern with a pickup distance of 11.5 ft, making it easy to capture the most subtle sounds from 360° directions and transmit the sound more loud and clear. Participants can hear each other without raising their voices.
  • Made for Conferences - This microphone is perfect for small or medium meetings over an internet network by using Skype/GoToMeeting/WebEx/Hangouts/Fuze/VoIP/Zoom and other softwares. You can also use it for court reports, seminars, remote training, business negotiations, video chats, etc.
  • Plug & Play, No Drivers Required - The microphone is compatible with all operating systems - both Windows and macOS. You just need to plug the microphone to start recording. If there is no response after inserting the mic, please go to the microphone setting of your computer and select the mic as the INPUT device.
  • Convenient Mute Button - Quickly mute/unmute your microphone. The built-in blue indicator light for checking whether the USB microphone is working.
  • Well Designed Cable - The microphone is constructed of sturdy and metal material and the base is fitted with an anti-slip mat which keeps it stable on desktop during use. It is small, convenient and does not require much space when in use. Connected with a 1.8m nylon shielded wire, it effectively eliminates signal interferences to achieve the best recording results.
  1. Open meeting options. In Teams, open the meeting from your calendar and choose Meeting options. The available controls may differ by meeting context and license.
  2. Check Copilot settings. Review whether Copilot is allowed during the meeting, after the meeting, or both. If it is limited to use during the meeting, transcription is not required for that in-meeting use; Microsoft states, “If you choose Only during the meeting, Copilot can work without turning on transcription.”
  3. Check recording and transcription. If you need a post-meeting recap, make sure the required recording or transcript will be created. For intelligent recap, Microsoft recommends both recording and transcription for the best experience.
  4. Check attendee access. Confirm that you are included in the group allowed to access the recording, transcript and recap. An attendee denied recording or transcript access cannot use transcript-based Copilot, even if Copilot is allowed during the meeting.

See Microsoft’s meeting options and Copilot guidance for current controls.

Which languages does each recap support?

Language availability depends on the recap type. Use the relevant list rather than assuming that a language supported for intelligent recap is also supported for audio or video recap. Microsoft’s lists can change; verify the current feature page and the event’s spoken and transcribed languages.

Who can see the recording, transcript and AI recap?

Organizers can set access to everyone, organizers and co-organizers, or selected people. The default is everyone, but the organizer can change it before the meeting. A change made during a meeting takes effect only after ending and restarting the meeting. The control is unavailable for channel and ad hoc meetings, and SharePoint permissions, sensitivity labels or other controls may further affect access.

Intelligent recap uses event transcript, attendance and PowerPoint Live data. Microsoft says event data is stored in the geographic region associated with the organization, with handling governed by organizational IT policies. Recordings are stored in OneDrive and SharePoint under applicable Microsoft Purview policy. Ask your organization’s administrator about tenant-specific retention, geography and access rules. See Microsoft’s recording and transcript access guidance.

What to do if a recap is missing

  • Check whether the meeting produced the input that recap needs: transcript for an intelligent or audio recap, and cloud recording plus transcript for video recap.
  • Confirm your license covers that particular recap type and that your account is allowed to access the output.
  • Ask the organizer to check meeting options and attendee access. If access was changed mid-meeting, the meeting may need to be ended and restarted before the setting applies.
  • For video recap, verify the meeting was 10–90 minutes and allow for recording and transcript upload before looking for the recap.
  • For audio recap, check transcript age and whether daily usage limits may apply.
  • If the prerequisites appear satisfied but the feature remains unavailable, ask your Teams administrator to check tenant policy, licensing and storage permissions.

AI-generated summaries and recap content can be inaccurate, incomplete or inappropriate. Check important names, decisions, tasks and quoted details against the recording or transcript before acting on them.
