Microsoft PowerToys vs. Windows Built-In Tools: Which Utilities Are Worth Using?

PowerToys adds useful options for custom window layouts, batch renaming, and keyboard-first workflows, but Windows’ built-in tools may already cover your needs.

PowerToys is worth installing if a particular utility solves a problem Windows’ built-in tools do not. FancyZones is the strongest reason to try it: it adds custom window layouts beyond Windows Snap. PowerRename, keyboard-first launchers, Text Extractor, and Mouse Utilities can also be useful for specific workflows. If you only need standard window snapping, OCR from a screenshot, or clipboard history, Windows already has built-in options.

PowerToys is an optional, free, open-source collection—not a required part of Windows. You can install it and enable only the utilities you plan to use. Microsoft’s PowerToys overview describes the collection and its available tools.

What does PowerToys do that Windows can’t?

PowerToys adds optional utilities and customization to Windows. Some extend tasks that Windows already handles; others offer a different workflow. The practical question is not whether PowerToys is universally better, but whether one of its tools fits a task you do often enough to justify installing and running it.

For a quick comparison, start with the task:

Task Windows built-in option PowerToys option Best fit
Arrange windows Snap layouts, Snap Assist, Snap Groups, and keyboard or mouse snapping FancyZones custom zones and layout hotkeys Windows Snap for standard arrangements; FancyZones for personalized, repeatable layouts.
Launch apps and commands Windows search and existing shortcuts PowerToys Run or Command Palette PowerToys if you prefer a configurable, keyboard-first command interface.
Read text on screen Snipping Tool OCR on a captured snip Text Extractor OCR from anywhere on screen Snipping Tool if you are already taking a snip; Text Extractor if you want to avoid a separate capture step.
Keep copied items Clipboard history, pinning, and optional sync Command Palette can expose clipboard history Windows for core clipboard-history needs; PowerToys if you want another access surface.
Rename many files File Explorer’s basic renaming PowerRename for bulk search and replace, regular expressions, and undo PowerRename when renaming depends on patterns or regular expressions.
Find or emphasize the pointer Standard pointer controls Mouse Utilities, including Find My Mouse and other cursor tools Mouse Utilities when pointer visibility, multiple displays, or screen demonstrations make it worthwhile.

For details on each option, see Microsoft’s pages for Windows Snap, FancyZones, PowerToys utilities, Snipping Tool, and Windows clipboard history.

Is FancyZones better than Snap Layouts?

Not for everyone. Windows Snap already provides predefined layouts, mouse and keyboard placement, Snap Assist, and Snap Groups. If those cover how you arrange your windows, there is no need to replace them.

Use Snap for standard layouts

Snap is the straightforward choice for placing windows into Windows’ built-in arrangements and grouping them for a regular workflow. Microsoft’s Snap guide covers the built-in feature. It also flags that Windows 10 support ended on October 14, 2025; check Microsoft’s current support information when deciding what OS support you need.

Try FancyZones for custom arrangements

FancyZones lets you define custom zones and place windows into them using mouse or keyboard controls. Its documented options include multi-zone snapping and layout hotkeys. It is a better fit when you want a particular arrangement that Snap’s predefined layouts do not provide, or want a repeatable layout for a specific set of tasks.

FancyZones has application compatibility limitations, so a custom layout is not guaranteed to work identically with every app. See Microsoft’s FancyZones documentation for its setup and compatibility notes.

Which PowerToys utilities are actually useful?

PowerRename for pattern-based batches

File Explorer is enough for basic renaming. PowerRename is more useful when many filenames need a consistent search-and-replace operation or a regular expression. Microsoft’s PowerToys overview also lists undo as a PowerRename capability. This is a targeted reason to install PowerToys, rather than a requirement for ordinary file renaming.

PowerToys Run or Command Palette for keyboard-first work

PowerToys Run can search apps, files, and processes, perform calculations and commands, and use plugins. Its default shortcut is Alt+Space, which can be changed. It works only while PowerToys is running and Run is enabled. See the PowerToys Run documentation.

Command Palette offers a broader command interface. Its documented features include Windows settings, clipboard history, window switching, WinGet search, system actions, customizable commands, and community extensions. Its default shortcut is Win+Alt+Space, also configurable. It, too, requires PowerToys to be running and the utility enabled. Microsoft describes Command Palette as the evolution of Run; the right choice depends on the interface and capabilities you want, not a proven speed advantage. See the Command Palette overview.

Text Extractor when you do not want a separate screenshot step

Windows already has OCR: Snipping Tool provides text actions for a captured image. Text Extractor is useful when you want to select text from elsewhere on the screen without making a separate snip first. The documented workflows differ; the available information does not establish that one recognizes text more accurately. See Microsoft’s Snipping Tool guide and PowerToys overview.

Mouse Utilities for pointer visibility and control

Standard Windows pointer controls may be enough. PowerToys Mouse Utilities add options such as Find My Mouse and other cursor tools, which can help when you lose track of the pointer on multiple displays or need to make it visible during a screen demonstration. Enable them only if those needs apply. See Microsoft’s Mouse Utilities documentation.

Does Windows already have clipboard history?

Yes. Windows clipboard history supports retaining and pinning copied items, with optional sync. Those core features do not require PowerToys. Command Palette can provide another way to access clipboard history, but it does not make PowerToys necessary for basic clipboard use. Microsoft’s clipboard guide also flags that Windows 10 support ended on October 14, 2025.

Can your PC run PowerToys?

Microsoft lists Windows 11 or Windows 10 version 2004 (20H1/build 19041) or later, on an x64 or ARM64 processor, as the minimum requirement. The listed installation routes are GitHub, Microsoft Store, and WinGet. Check the current PowerToys installation requirements before installing, particularly if you are on an older Windows build.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

When should you run PowerToys as administrator?

Only when a specific interaction requires it. Microsoft notes that PowerToys may not work with an elevated application in focus unless PowerToys is also elevated. That does not mean it should always run with administrator privileges: Microsoft advises against always elevating an app without a need. See Microsoft’s administrator-mode guidance.

Is PowerToys worth installing?

Install it selectively if you have a clear use for one of its utilities—especially FancyZones for custom layouts, PowerRename for pattern-based batch renaming, or a launcher for keyboard-driven work. If Snap, Snipping Tool OCR, and Windows clipboard history already meet your needs, staying with the built-in tools is a sensible choice. Microsoft documents what the utilities do, but the cited feature information does not establish a general productivity gain or prove that a PowerToys option is faster for every user.
