They remain separate: adding another account does not merge subscriptions or transfer a license. Set up Office activation, app sign-ins, OneDrive sync, and Windows device registration as distinct choices.
What using two Microsoft 365 accounts on one PC means
There are four separate things to consider: which account activates Office, which accounts you add inside apps, which accounts sync through OneDrive, and whether the work account is added only to an app or registered with Windows. You can use personal and work or school accounts side by side, but Microsoft says they cannot be combined or merged. Microsoft’s account guidance explains the distinction.

Which account should activate Office?
Activate Office with the Microsoft personal account or work or school account associated with the Microsoft 365 subscription or Office purchase you intend to use. Check the account and product information in an Office app if you are unsure which identity is currently signed in. Microsoft’s Office activation guidance says to use the account used to buy or subscribe to Microsoft 365; its overview of accounts in Office explains how accounts relate to apps and products.

Adding a second identity to Word or another app does not make it the license owner or combine its subscription with the first one. Your available features depend on the entitlement attached to the relevant account and, for a work or school account, the organization’s setup.

How to add or switch accounts in Microsoft 365 apps
Add the second identity inside an app when you need to open or work with content associated with it. Microsoft describes multiple-account access in apps such as Word, Excel, PowerPoint, and Outlook for supported scenarios. Exact features can vary by app, subscription, and organization policy.
- Open the Microsoft 365 app you want to use and inspect its account or profile area.
- Add the personal or work or school account you need for that app, following its sign-in prompts.
- When prompted about adding a work account to Windows, choose carefully: adding it to the app is different from registering the device.
Switching accounts in Office does not normally require signing out. Microsoft warns that signing out can remove the account’s Office license from the app and leave you unable to edit until activation is restored. See What happens when you sign out of Office before using sign-out as a troubleshooting step.

How personal and work OneDrive sync coexist
OneDrive is separate from Office activation. On Windows, the OneDrive setup described by Microsoft supports one personal account alongside one or more work or school accounts. The storage remains separate; in File Explorer, the accounts appear under separate OneDrive names. You can copy or move files between locations, but you cannot sync a work or school folder into a personal OneDrive folder. See Microsoft’s instructions for adding a OneDrive account.

Keep files in the location intended by their owner or organization, particularly when work policies govern storage or sharing.

What to consider before adding a work account to Windows
A work or school sign-in may offer to add the account to the device. Adding it only to an app can keep the sign-in scoped to that app; adding it to Windows can register the PC with the organization. Depending on the employer’s configuration, the organization may see device information or manage the device.
Read the prompt rather than accepting it automatically. If the PC is your own, check your employer’s bring-your-own-device rules or ask IT which option to choose. Microsoft explains the account and device distinction in Manage user accounts in Windows and Add your work or school account to a Windows device.
Does a personal Microsoft 365 plan replace a work license?
No general business licensing right follows from having a personal plan. Microsoft documents a limited Copilot scenario in which Microsoft 365 Personal, Family, or Premium can be used for selected Copilot features on accessible work files. In that scenario, access to the files still depends on the work identity and organizational controls; an administrator can disable personal-subscription Copilot use on work content. This does not establish that a personal subscription replaces a work entitlement. See Microsoft’s guidance on using a personal, Family, or Premium plan at work and Copilot when multiple accounts are added to Microsoft 365 apps.

- Need Office apps under an existing subscription: activate with the account tied to that subscription or purchase.
- Need to work with content from both identities: add the second account within the relevant app, without signing out just to switch.
- Need both cloud file locations in File Explorer: configure personal and work or school OneDrive separately, and keep their files in their respective locations.
- Need a work account on a personal PC: decide whether app-only access is enough; follow your organization’s device-registration and BYOD instructions before adding it to Windows.
Your assigned work license, app entitlements, employer policy, and device-management requirements are specific to your account and organization. Check your Microsoft 365 account or product information, or ask your IT administrator if any of these are unclear.
