Microsoft 365 Backup vs. SharePoint Version History: What’s the Difference?

SharePoint version history restores earlier states of individual files or items. Microsoft 365 Backup adds policy-based restore points for selected files, folders, or an entire protected site.

SharePoint version history helps you undo changes to an individual file or item. Microsoft 365 Backup adds policy-based restore points for protected SharePoint sites, from which you can recover selected files or folders—or restore a whole site. They overlap, but they are not interchangeable: choose based on what you need to recover, how far back you need to go, and how quickly you need a restore point.

How the two recovery options differ

Question SharePoint version history Microsoft 365 Backup
What it tracks Earlier versions of an individual file or item. Restore points for SharePoint sites protected by a backup policy.
What you can restore A prior version of a file or item; restoring it makes that version current. Selected files or folders, or a full SharePoint site.
How recovery is governed Version limits, expiration, and retention settings at organization, site, library, or OneDrive level. A configured recovery window and restore points whose frequency varies by restore type and how far back the point is.
Cost model Version history is managed through SharePoint settings; the cited Microsoft documentation does not give it a separate per-GB service price. Microsoft lists a consumption price of $0.15 per GB per month of protected content; tenant terms and regional pricing should be confirmed.

When SharePoint version history is the right first step

Use version history when the problem is a change to one file or item and you want to inspect or return to an earlier state. For Office documents, users can view and compare earlier versions before restoring one. The restored version becomes the current version; version history is not a separate copy of the whole site. See Microsoft’s About version history.

Version history is subject to limits

It does not guarantee that every version remains available indefinitely. Administrators can set version limits at the organization, site, library, and OneDrive account levels. In Automatic mode, Microsoft describes retaining versions within a 500-version cap using a changing cadence: all versions within the first 30 days, hourly versions from days 30–60, daily versions from days 60–180, and weekly versions beyond 180 days, subject to that cap. Manual count and expiration settings behave differently. Details are in Microsoft’s version history limits overview and version storage planning guidance.

Deleted versions may not all be recoverable from the recycle bin. Versions deleted manually may go to the site collection recycle bin, but versions removed through automatic trimming or expiration can be marked for permanent deletion and become unavailable once purged. Retention settings and eDiscovery holds affect covered versions. Microsoft explains these limits in its version history limits FAQs.

What Microsoft 365 Backup adds

Microsoft 365 Backup is a separately configured service. SharePoint protection is applied at the site level, while recovery can be granular: administrators can restore selected files or folders from a backup restore point, or restore a full site. This is useful when recovery needs extend beyond selecting an earlier version of one file. Microsoft’s Microsoft 365 Backup overview describes its policy-based protection.

Recovery windows and restore-point cadence

The configurable recovery windows are 3 months, 6 months, 1 year, or 2 years. Microsoft’s overview says existing policies and artifacts default to one year. That window does not mean every possible point in it is available at the same frequency.

  • Full-site restore: Microsoft documents restore points every 10 minutes for the most recent 0–14 days, then weekly points for days 15–365.
  • File or folder restore: points are roughly daily in the recent period and weekly farther back; Microsoft notes rare cases where cadence aligns only to weekly points.

These schedules are tied to the documented restore types and periods, not a promise that any individual file can be restored to a point exactly 10 minutes earlier. Check the configured policy and the applicable restore operation before relying on a particular point. See Microsoft’s Microsoft 365 Backup restore documentation.

How to decide which one you need

  • One unwanted edit: Start with version history if the needed earlier version is still available.
  • Several files or folders, or a whole site: Use Microsoft 365 Backup when the site is protected and an appropriate restore point exists.
  • Recovery must reach back a specific period: Check version limits and retention for version history; for Backup, confirm the configured recovery window and the restore-point cadence for the desired operation.
  • Compliance or long-term preservation: Evaluate retention and eDiscovery requirements separately. Backup is an operational recovery capability, not a replacement for a retention policy or compliance archive.
