Check that each statement concerns the same scope and conditions, verify disputed details against reliable evidence, confirm who can approve a change, and record the decision without erasing the earlier history.
Start with the records that actually govern the project
Identify the approved brief
Find the brief approved for delivery and note its title, version or date, approval status, approver if recorded, and repository location. A proposal, draft, or later-edited file is not automatically the agreed project basis. Microsoft describes a project brief as recording approved scope, objectives, constraints, responsibilities, and decision-making; a project plan develops that scope into tasks, owners, and dates. Microsoft’s project-plan guidance explains the distinction.

Choose the meeting record that bears on the issue
Use the notes or minutes from the meeting where the requirement or change was discussed. Record the meeting date, author, participants or decision-makers where available, and whether the record is informal notes, draft minutes, or approved minutes. Informal notes can capture discussion without proving that a decision was approved. Microsoft’s meeting-notes guidance distinguishes meeting notes and decisions from formal approved minutes and recommends neutral wording for decisions and actions.

Preserve the versions before comparing them
Note which versions you are examining and keep the source copies available. If files are stored in SharePoint or OneDrive, version history can show earlier versions and who changed them, helping establish what changed and when. See Microsoft’s version-history instructions.

For two Word documents, Microsoft documents the path Review > Compare > Compare Documents. Word creates a separate comparison document with revision marks, leaving the original documents unchanged. The cited Microsoft page’s applicability section names Word 2019 for Mac; labels and availability may differ by platform or version, so check the interface you use. Microsoft’s Compare and merge two versions of a document describes the feature.
Text comparison can expose changed wording, but it cannot tell you which wording has approval or authority. That requires checking status, context, and evidence.

Decide what kind of difference you found
These labels are a practical way to triage mismatches, not a formal Microsoft standard. Classify the issue before treating it as a change:
- Direct conflict: Both records make incompatible commitments for the same situation. For example, the brief requires a phone number for every booking while notes specify email-only booking for that same flow.
- Conditional exception: The statements differ because they apply to different audiences, phases, routes, or other conditions. Write down the condition that explains the difference.
- Missing detail: One record is silent. Silence does not, by itself, cancel or replace a stated requirement.
- Proposed change: Notes capture a suggestion or discussion, but the record does not establish approval. Keep it pending until an authorized decision is confirmed.
- Superseded decision: A later authorized decision replaces an earlier one. Keep the earlier record and link the replacement rather than silently rewriting history.
Verify the disputed point and confirm authority
For each apparent conflict, check the underlying evidence: the relevant source record, the exact date or number, the responsible owner, the scope boundary, and whether an approval is documented. Preserve qualifications and assumptions. If a claim cannot be traced or confirmed, label it unconfirmed rather than turning it into an approved requirement through a confident paraphrase.

The right approver depends on the project’s own governance and setup; generic guidance cannot identify who has authority for a particular project. Check the project’s documented approval path. Microsoft advises resolving ambiguous, conflicting, outdated, or placeholder details before sharing a decision brief, but the project team must establish its own decision authority. See Microsoft’s validation guidance and its project-brief guidance.
Do these 3 things before closing this tab:
1Fix the driver behind crashes, sound loss and screen glitches2Clear out junk files and repair common Windows errors3Scan for outdated or missing drivers - takes under a minuteRecord the resolution without losing the history
For each issue, record the evidence considered, decision, rationale, owner, date, and status, along with the affected brief and meeting record. If it is unresolved, say so, identify the decision owner, and set a follow-up date instead of choosing a side without evidence. Update the controlled brief only after approval and retain access to the prior version through version history or another project record.

When an approved decision changes an earlier one, create a linked record that supersedes the previous decision; do not silently overwrite it. Microsoft’s architecture decision record guidance recommends recording context, options, outcome, trade-offs, status, and rationale. Share the resolution with the people who need to act on it, distinguishing confirmed changes from open questions.
Choose comparison tools for the job
Pick tools based on the task: side-by-side text comparison for wording, revision marks for document changes, version history for author and timing, or comments and approval records for decision context. The documented Word comparison and SharePoint/OneDrive history features can support those steps; neither replaces checking authority and evidence. The sources cited here do not establish a cross-platform feature or price comparison, so do not assume another tool has the same capabilities without checking its documentation.
