Kantata’s stated capabilities line up with common professional-services needs. They do not, by themselves, prove that the platform will suit a particular firm’s delivery model, systems, budget, or implementation capacity.
What happened to Mavenlink?
Mavenlink is now part of Kantata. Kantata says its merger with Kimble Applications created Kantata Professional Services Automation (PSA): Mavenlink became Kantata OX, while Kimble became Kantata SX. Kantata’s Mavenlink page explains the naming change. If a proposal or review refers to “Mavenlink,” ask which Kantata product, configuration, and package it covers.

What does Kantata offer consulting firms?
Kantata positions its platform for professional-services organizations, with capabilities spanning resource management, financial management, business intelligence, project management, collaboration, integrations, and workflows. Its financial-management materials specifically describe project accounting, invoicing, revenue recognition, and forecasting. These are vendor-stated capabilities, so confirm the details against your firm’s requirements and the proposed configuration.

Staffing and resource planning
A PSA system can connect demand planning and staffing with project work. In a consulting firm’s evaluation, check whether the proposed system can represent the skills, availability, demand forecasts, and staffing scenarios the firm actually uses.
#1 Best Overall
Project finances
Check support for your billing methods and controls, including budgets, time and expenses, project accounting, invoicing, revenue recognition, and forecasting. The relevant question is not just whether a feature exists, but whether it fits your project economics and finance processes.
Delivery visibility and collaboration
Test whether project managers can see the portfolio and project information they need, coordinate work, and produce useful reports. Kantata lists project management, collaboration, and business intelligence among its product areas; a demonstration should show how those capabilities work for your teams.
Rank #2
Connections to your systems
Kantata lists integrations and workflows, but that does not establish compatibility with a particular CRM, finance platform, timekeeping tool, or identity system. Validate each required connection and the workflow it supports with the vendor.

PSA software is intended to support the lifecycle of projects and services, including initiation, planning, resourcing, scheduling, execution, closeout, and control. The 2025 Professional Services Maturity Benchmark also identifies staffing, demand planning, time and expense, utilization, and project cost controls as part of the category’s scope. That makes PSA a relevant category to consider when a consultancy wants to connect operational delivery with staffing and financial oversight; it does not establish that any one product is right for every firm.

What adoption data can—and cannot—tell you
SPI Research’s 2025 benchmark reports Kantata as the most adopted PSA solution in its survey, used by 19.1% of the 74 firms in the sample. This is a survey finding, not a market-wide share estimate or proof of product quality for your firm. It can provide category context, but it is not a feature-by-feature comparison or a substitute for evaluating your requirements.

How to evaluate Kantata for your firm
- Define the workflows that matter. Map how your firm plans demand, assigns people, runs projects, records time and expenses, bills clients, and forecasts project or firm finances. Include exceptions, such as your different engagement types or billing arrangements.
- Test the workflows in a demonstration. Ask the vendor to show representative scenarios using your staffing rules, project economics, approval steps, and reporting needs. Distinguish what is available in the proposed configuration from what requires additional setup or other systems.
- Verify every required integration. List your CRM, finance, timekeeping, and identity systems, then confirm the specific data and workflows supported between them. Do not treat a general integrations claim as confirmation that your stack is supported.
- Request a complete cost and rollout estimate. Get a current quote and ask for implementation scope, migration work, administration needs, and training. Costs and implementation effort depend on the proposed package and your operating model; no current price or implementation cost is established here.
- Check operational readiness. Confirm who will own configuration and administration, how teams will learn the system, and what implementation capacity your firm can commit. Ask for references from firms with delivery and systems requirements similar to yours.
- Compare against your alternatives. Score each option against the same workflows, integrations, cost assumptions, and rollout requirements. Benchmark adoption alone is not a direct comparison.
What the available customer-value evidence says
An October 2025 business-value brief by IDC describes in-depth interviews with five Kantata customers. The brief is sponsored by Kantata, and its small interview sample cannot establish typical results for consulting firms generally. Treat it as limited customer-value evidence rather than a guarantee of financial or operational outcomes.
