Mastering Screen Recording on Mac: A Step-by-Step Guide

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Screen recording on a Mac is useful for creating tutorials, capturing presentations, saving video calls, documenting bugs, or walking someone through a process without needing to explain every step live. macOS includes built-in tools that make this simple, whether you want to record the entire screen, a selected area, or include microphone audio.

The best method depends on what you need to capture. The Screenshot Toolbar is quick and convenient for most recordings, while QuickTime Player gives you another reliable option for screen and audio capture. With the right settings in place, you can record clearly, trim the result, save it in the right location, and share it without extra hassle.

Choosing the Right Screen Recording Method on Mac

Before you press record, decide which Mac screen recording method fits what you are trying to capture. macOS includes two reliable built-in options: the Screenshot Toolbar and QuickTime Player. For many tasks, such as recording a short walkthrough, capturing an app demo, or saving a quick tutorial, these built-in tools are enough. If you need more advanced features like webcam overlays, live annotations, automatic captions, multi-source audio control, or scheduled recordings, a third-party screen recorder may be a better fit.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

The best choice depends on the kind of recording you need, how much control you want, and what you plan to do with the finished video. A quick internal training clip has different requirements from a polished YouTube tutorial or a software bug report with microphone narration. Use the simplest tool that gives you the result you need, because fewer settings usually means fewer recording problems.

Method Best for Main strengths Limitations
Screenshot Toolbar Fast full-screen or selected-area recordings Built into macOS, easy to open with Shift + Command + 5, simple save options Limited editing and audio controls
QuickTime Player Basic screen recordings with microphone audio Simple interface, good for narrated recordings, included with macOS No advanced overlays, limited post-production tools
Third-party apps Professional tutorials, streaming-style videos, courses, and complex captures Advanced audio, webcam, effects, annotations, and editing features May cost money and require extra setup

Use Screenshot Toolbar for quick recordings

The Screenshot Toolbar is usually the fastest way to record your Mac screen. Press Shift + Command + 5 and choose whether to record the entire screen or a selected portion. This method is ideal when you want to capture a short process, demonstrate a setting, record a visual issue, or create a quick reference video. It also lets you choose a save location before recording, which helps keep your desktop from filling up with unnamed files.

Use QuickTime Player for simple narrated videos

QuickTime Player is a good option when you want a straightforward recording with microphone narration. It gives you an easy way to select an audio input, start recording, and then trim the beginning or end of the clip afterward. This makes it useful for presentations, app walkthroughs, and support videos where your voice needs to guide the viewer. QuickTime is not a full editing suite, but it is dependable for clean, uncomplicated recordings.

Consider a third-party app for advanced control

If you need a more polished result, consider apps such as OBS Studio, ScreenFlow, Camtasia, or CleanShot X. These tools can add features that macOS does not provide by default, including webcam picture-in-picture, cursor highlighting, callouts, scene switching, system audio capture, and timeline editing. OBS Studio is popular for free, highly configurable recording, while ScreenFlow and Camtasia are often chosen for tutorials that need editing, transitions, and exported presets.

Match the method to the final purpose of the video. For a quick clip, use Screenshot Toolbar. For a simple narrated recording, use QuickTime Player. For a polished tutorial, training course, or content that needs detailed editing, use a dedicated recording app. Once you choose the method, the next step is to set up the capture area, audio source, save location, and any options that affect the final quality.

How to Record Your Screen with Screenshot Toolbar

The Screenshot Toolbar is the fastest built-in way to record your Mac screen, and it works on macOS Mojave and later. It is ideal for capturing quick tutorials, app demonstrations, browser walkthroughs, or short troubleshooting clips without installing extra software. You can record the entire display or select a specific portion of the screen, which helps keep your video focused and reduces the need for editing afterward.

To open the Screenshot Toolbar, press Shift + Command + 5. A small control bar will appear near the bottom of the screen. On the left side, you will see screenshot buttons, while the screen recording controls are toward the middle: Record Entire Screen and Record Selected Portion. If you want to capture everything visible on your display, choose Record Entire Screen. If you only want to record one window area, a browser section, or a specific app workspace, choose Record Selected Portion and drag the frame to fit the area you need.

  1. Press Shift + Command + 5 to open the Screenshot Toolbar.
  2. Select Record Entire Screen or Record Selected Portion.
  3. If recording a selected area, resize and move the recording frame as needed.
  4. Click Options to choose where the file will save and whether to use a microphone.
  5. Click Record to begin capturing your screen.
  6. When finished, click the Stop button in the menu bar, or press Command + Control + Esc.

Before starting, open the Options menu in the toolbar. From here, you can choose a save location such as Desktop, Documents, or Clipboard. You can also set a timer of 5 seconds or 10 seconds, which is useful when you need time to arrange windows or move your cursor into position before recording begins. If you want your clicks to be visible in the final video, enable Show Mouse Clicks. This adds a visual indicator whenever you click, making instructional recordings easier to follow.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

For narration, select a microphone under the Microphone section in the Options menu. You can use your Mac’s built-in microphone, AirPods, a USB microphone, or another connected audio device. The Screenshot Toolbar can record microphone input, but it does not directly capture internal system audio from apps, videos, or calls. If your recording needs Mac system audio, you may need QuickTime with an audio routing tool or a third-party screen recorder designed for internal audio capture.

Once you stop recording, macOS usually shows a small thumbnail preview in the lower-right corner of the screen. Click it to open quick editing tools, including trim controls for cutting unwanted footage from the beginning or end. If you do nothing, the recording saves automatically to the location selected in Options, often the Desktop by default. The file is typically saved as a .mov video, which can be opened in QuickTime Player, shared through Messages or Mail, uploaded to cloud storage, or imported into video editing software for further work.

How to Record Screen and Audio with QuickTime Player

QuickTime Player is a built-in Mac app that can record your screen and microphone audio without installing anything extra. It is especially useful when you want to narrate a tutorial, record a presentation, capture a walkthrough, or make a simple training video. On newer versions of macOS, QuickTime uses the same recording controls as the Screenshot Toolbar, but it still provides a straightforward way to start a screen recording from a familiar app.

  1. Open QuickTime Player from the Applications folder, Launchpad, or Spotlight Search.
  2. In the menu bar, choose File > New Screen Recording.
  3. When the recording toolbar appears, choose either Record Entire Screen or Record Selected Portion.
  4. Click Options and select a microphone under the Microphone section if you want to include voice narration.
  5. Click Record to begin. If you selected a portion of the screen, adjust the frame first, then start recording.
  6. To stop, click the Stop button in the menu bar or press Command + Control + Esc.

For spoken audio, choose the correct input before recording. If you are using your Mac’s built-in microphone, select MacBook Microphone or Built-in Microphone, depending on your device. If you have a USB microphone, headset, audio interface, or external webcam with a mic, select that device instead. It is a good idea to speak a few test sentences and make a short sample recording before capturing a longer video, especially if the recording will be shared with clients, students, or colleagues.

QuickTime can capture microphone audio directly, but it does not natively record internal system audio, such as app sounds, video playback, game audio, or meeting audio coming from your speakers. To record internal audio, you typically need an additional audio routing tool such as BlackHole, Loopback, or a third-party screen recorder that includes system audio capture. After installing an audio routing tool, you may need to select it as the audio input in the recording options, and in some cases create a combined device in Audio MIDI Setup so you can hear audio while recording it.

QuickTime audio options at a glance

Recording need What to select Best use case
Voice narration Built-in or external microphone Tutorials, demos, presentations
Higher-quality speech USB mic or audio interface Courses, professional walkthroughs
Internal app audio Virtual audio driver or third-party recorder Software demos, webinars, media playback

If QuickTime asks for permission to record your screen or access your microphone, open System Settings > Privacy & Security, then check Screen Recording and Microphone. Enable access for QuickTime Player, then quit and reopen the app if macOS prompts you to do so. Once recording stops, QuickTime opens the video automatically so you can review it, trim unwanted parts, and save it as a movie file.

Adjusting Recording Settings Before You Start

Before you press Record, take a minute to set up your Mac screen recording so the final video is clear, focused, and easy to use. Whether you are using the Screenshot Toolbar or QuickTime Player, the most common settings to check are the recording area, microphone input, save location, timer, and whether mouse clicks should be shown. A quick setup pass can prevent problems like recording the wrong display, missing narration, or saving the file somewhere hard to find.

Choose the area you want to record

In the Screenshot Toolbar, press Shift + Command + 5 to open the recording controls. You can choose Record Entire Screen if you want to capture everything on your display, or Record Selected Portion if you only need one app window, browser tab, or custom area. For tutorials, a selected portion often looks cleaner because it removes distracting desktop icons, menu bar activity, and unrelated apps. If you use mulle monitors, click the screen you want to capture before starting the recording.

  • Entire screen: Best for full workflows, presentations, and switching between several apps.
  • Selected portion: Best for software demos, browser walkthroughs, and focused tutorials.
  • App window framing: Resize the window first, then drag the selected recording frame around it for a cleaner result.

Set your microphone, timer, and save location

Click Options in the Screenshot Toolbar to adjust the most useful recording settings. Under Microphone, choose your built-in Mac microphone, AirPods, USB microphone, or another connected input. If you do not want voice narration, select None. Under Save to, choose a location such as Desktop, Documents, or a dedicated project folder. This makes the recording easier to find as soon as you stop.

  • Capture video from a webcam, network IP camera or video input device
  • Use video overlay to record your screen and webcamsimultaneously
  • Intuitive user interface to allow you to get right to video recording
  • Save your recordings to ASF, AVI, and WMV

The Timer setting is helpful if you need a few seconds to prepare before recording begins. Choose 5 Seconds or 10 Seconds if you want time to switch to the correct app, open a menu, or place your cursor at the starting point. You can also enable Show Mouse Clicks when creating instructional videos. This adds a visual indicator around clicks, making it easier for viewers to follow your actions.

Prepare your screen and audio environment

Good screen recordings start with a clean workspace. Close unnecessary apps, hide private information, and turn on Do Not Disturb or Focus mode so notifications do not appear in the recording. If you are recording audio, test your microphone first in System Settings > Sound > Input. Speak at a normal volume and watch the input level meter. If the level barely moves, select the correct microphone or increase the input volume. If the level is constantly peaking, move the microphone farther away or lower the input volume.

Setting Recommended choice Best for
Recording area Selected portion Focused tutorials and app demos
Microphone External USB mic if available Clear narration
Timer 5 or 10 seconds Starting smoothly without rushed movements
Save location Desktop or project folder Finding and editing the file quickly
Show mouse clicks Enabled for tutorials Step-by-step instruction videos

If you are using QuickTime Player, open File > New Screen Recording, then use the available recording controls to select your microphone and begin capturing. For system audio, macOS does not provide a simple built-in toggle in Screenshot Toolbar or QuickTime. If you need to record app sounds, video call audio, or browser audio, you may need a trusted third-party audio routing tool or a dedicated screen recorder that supports internal audio capture. Always run a short test recording before starting a longer session, then play it back to confirm the picture, sound, and framing are correct.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Trimming, Saving, and Sharing Your Recording

Once you stop recording, your Mac gives you a chance to clean up the result before you send it anywhere. If you used the Screenshot Toolbar, a thumbnail usually appears in the lower-right corner of the screen for a few seconds. Click it to open the recording in a quick preview window. If you do nothing, the file is saved automatically to the location you selected in the toolbar options, such as the Desktop, Documents folder, or Clipboard.

For simple cleanup, trimming is often all you need. In the preview window, click the Trim button, which looks like a small timeline icon. Drag the yellow handles at the beginning or end of the timeline to remove unwanted sections, such as the moment before you started speaking or the pause after you finished. Click Done to apply the trim. If the video opened in QuickTime Player instead, choose Edit > Trim, adjust the yellow handles, and click Trim.

Saving your screen recording

Screen recordings made with the Screenshot Toolbar are typically saved as .mov files. This format keeps good quality and works well with Apple apps such as QuickTime Player, iMovie, Key, and Final Cut Pro. If you are using QuickTime Player and need to save the file manually, choose File > Save, enter a clear file name, pick a destination, and click Save. Use descriptive names such as client-demo-login-flow.mov or mac-settings-walkthrough-v1.mov so the file is easy to find later.

If the file is too large, you can reduce its size by exporting it at a lower resolution from QuickTime Player. Open the recording, choose File > Export As, then select an option such as 1080p, 720p, or 480p. For most tutorials, 1080p is a good balance between clarity and file size. If the recording only shows a small app window or a quick bug report, 720p may be enough.

Sharing your recording

The best sharing method depends on where the video needs to go. For a quick message, you can drag the saved file into Mail, Messages, Slack, Microsoft Teams, or another chat app. For larger files, upload the recording to iCloud Drive, Google Drive, Dropbox, OneDrive, or a project management tool, then share a link instead of attaching the video directly.

Troubleshooting Common Mac Screen Recording Problems

Most Mac screen recording issues come down to permissions, storage space, audio input selection, or app restrictions. If a recording fails, looks blank, has no sound, or does not save where expected, work through the checks below before switching tools. The built-in Screenshot Toolbar and QuickTime Player are reliable, but macOS privacy settings can block capture features until you allow access.

Recording starts, but the video is black or only shows the desktop

If the recording does not capture a specific app window, the app may be protected, minimized, running in full-screen mode incorrectly, or using hardware acceleration that blocks capture. Try recording the entire screen instead of a selected window or selected portion. If you are recording a browser video, presentation app, meeting app, or streaming service, test with a simple Finder window first to confirm the recorder itself works.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • Open System Settings and go to Privacy & Security.
  • Select Screen & System Audio Recording or Screen Recording, depending on your macOS version.
  • Enable permission for the app you are using, such as QuickTime Player, your browser, Zoom, Teams, or a third-party recorder.
  • Quit and reopen the app after changing permissions.

No microphone audio is captured

Silent recordings usually mean the microphone was not selected before recording started. In the Screenshot Toolbar, press Command + Shift + 5, choose Options, then select the correct microphone under Microphone. In QuickTime Player, open File > New Screen Recording, then use the small menu next to the record button to choose your input. If you use AirPods, a USB microphone, or an audio interface, confirm it is connected before opening the recording tool.

You should also check System Settings > Sound > Input and speak while watching the input level meter. If the meter does not move, macOS is not receiving microphone signal. Raise the input volume, reconnect the device, or choose another microphone. For app-level access, go to Privacy & Security > Microphone and allow the recording app to use the mic.

System audio is missing from the recording

macOS built-in tools can record your screen and microphone, but direct internal system audio capture is limited unless your macOS version and selected app support it. If you need to capture app sound, meeting audio, game audio, or browser audio, a third-party recorder or virtual audio driver may be required. Apps such as OBS Studio, ScreenFlow, Camtasia, and audio routing tools can provide more control over system sound, microphone mixing, and separate audio tracks.

The recording will not save or stops unexpectedly

Long recordings can fail when your Mac runs low on available storage or memory. Check free space in System Settings > General > Storage, then clear large downloads, old videos, or unused apps if needed. Save to a local folder such as Desktop or Movies rather than an external drive, network location, or cloud-synced folder while recording. After the recording is complete, you can move the file to iCloud Drive, Dropbox, Google Drive, or an external disk.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • Restart your Mac if recordings repeatedly stop or controls freeze.
  • Update macOS from System Settings > General > Software Update.
  • Close high-load apps, games, virtual machines, and unused browser tabs before recording.
  • Use a smaller recording area if performance drops during full-screen capture.
  • Test with a 10-second clip before starting a long tutorial, webinar, or presentation recording.

If problems continue, try the same recording in a different Mac user account or test another tool such as QuickTime Player, Screenshot Toolbar, or OBS Studio. This helps separate a system-wide permission issue from an app-specific problem. For recordings you cannot repeat, preserve the original file before editing, then make a duplicate for trimming or conversion.

Frequently Asked Questions

How do I record my Mac screen with internal audio?

macOS built-in screen recording tools can capture microphone audio, but they do not natively record system audio from apps, videos, or meetings. To record internal audio, you usually need a third-party audio driver or screen recorder such as BlackHole, Loopback, OBS Studio, or CleanShot X. After installing the audio tool, select it as the audio source before starting your recording.

Where are screen recordings saved on a Mac?

By default, recordings made with the Screenshot Toolbar are saved to your Desktop. You can change this by pressing Command + Shift + 5, clicking Options, and choosing another save location such as Documents, Downloads, or a custom folder. QuickTime Player lets you choose the file name and location when you save the recording manually.

Why is there no sound in my Mac screen recording?

The most common cause is that no microphone or audio source was selected before recording. Open the Screenshot Toolbar with Command + Shift + 5, click Options, and choose your microphone under the Microphone section. If you are trying to capture app or system audio, you will need an additional audio-routing tool because macOS does not include that feature by default.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Can I record only part of my Mac screen instead of the whole screen?

Yes. Press Command + Shift + 5 and choose Record Selected Portion, then drag the frame around the area you want to capture. You can resize or move the selection before clicking Record. This is useful when you want to hide desktop clutter, notifications, or private information outside the recording area.

How do I trim a screen recording on Mac after recording it?

Open the recording in QuickTime Player, then choose Edit > Trim from the menu bar. Drag the yellow handles to keep only the part you want, then click Trim. Save the edited version by choosing File > Save or export it in another format if needed.

Bottom Line

Recording your Mac screen is straightforward once you know whether to use the built-in Screenshot toolbar, QuickTime Player, or a third-party app for more advanced needs. Set your recording area, choose the right audio source, do a quick test, and keep your desktop tidy before you start.

From there, trim and save your recording in the format that fits your goal, whether it’s a tutorial, presentation, demo, or troubleshooting clip. If something goes wrong, check permissions, microphone settings, storage space, and app updates before recording again.
