The right marketing automation software depends on what you need to automate: CRM-linked lead follow-up, ecommerce messages, a creator newsletter, or simple email sequences. This guide maps 14 named options to those jobs rather than presenting an unsupported universal ranking. The cited roundups cover seven, ten, and eleven products using different criteria; they do not establish a comparable “top 23” list or a single winner.
What marketing automation software does—and when a small business needs it
Marketing automation uses triggers and rules to handle recurring marketing tasks. A form submission can start a welcome sequence; a purchase can trigger a follow-up; or CRM data can send a qualified lead to the right salesperson. Unlike a basic newsletter tool, automation can use behavior, purchase history, form activity, or customer records to determine who gets a message, when it goes out, and what happens next. Rework’s small-business guide describes these buyer considerations.

It is most useful when a repeatable customer action should reliably trigger the next one. If you send occasional announcements to a small list and do not need behavior-based follow-up, a simpler email service may be easier to manage. A store that wants cart recovery and post-purchase messages, by contrast, needs workflows tied to shopping activity and its ecommerce platform.

The ten-tool shortlist and its use cases come from Toolradar’s September 2026 comparison. The additional business contexts for Constant Contact, EngageBay, and Zoho Marketing Automation appear in Rework’s guide; Klaviyo’s ecommerce positioning appears in Fit Small Business’s comparison. Use these as editorial shortlists, not controlled head-to-head performance results.
How to choose marketing automation for a small business
Start with the customer action you need to automate, then match the product to the systems and usage you already have. Use this decision path to narrow the table before comparing plans.
Rank #2
- You manage leads across pipelines: start with HubSpot Marketing Hub if you want marketing activity connected to contact records and pipeline visibility. If you are already invested in Zoho CRM, compare Zoho Campaigns and Zoho Marketing Automation against the workflow you need.
- You need conditional follow-up or branching sequences: compare ActiveCampaign. Check whether CRM functionality is included in the package you are considering or sold separately.
- You run an online store: compare Omnisend for ecommerce email and SMS workflows, and Klaviyo for ecommerce service and retention. Confirm that your store platform is supported and that the required customer events and integrations are available.
- You store many contacts but send infrequently: include send-volume-priced services such as Brevo in your comparison. A contact-based bill can be less attractive for a large, quiet list, while volume-based billing can be a better fit only if your actual sending pattern and feature needs match the plan.
- You mainly need newsletters or simple journeys: compare Mailchimp, MailerLite, and Zoho Campaigns. Prefer the least complex service that can handle your required triggers, templates, integrations, and list-management rules.
- You are growing a creator audience: include Kit, then test whether its subscription, signup, and follow-up tools suit the way you publish and monetize.
- You need a broader owner-led sales-and-marketing setup or a suite: compare Keap and EngageBay with your existing systems. Confirm precisely which functions are included rather than assuming a suite covers every workflow you need.
- You organize in-person events: add Constant Contact to the shortlist and verify the event-related features that matter to your team.
- You build funnels and landing pages: evaluate GetResponse for that combined use case, especially if those tools would replace systems you already pay for.
How much does marketing automation cost for a small business?
There is no single useful “small-business price.” A bill may be based on contacts or profiles, email-send volume, seats, or a combination, and the plan that unlocks a needed workflow may cost more than the lowest advertised tier. A large list that rarely receives messages can compare differently from a smaller list with frequent campaigns.

The cited price checks are snapshots, not live quotes: Fit Small Business labels its comparison prices current as of July 2026, while Toolradar and Rework say vendor prices were checked in September 2026. Prices and included features can vary with country, currency, billing term, contact count, seats, sending volume, and plan tier. Check the vendor’s live pricing page for the exact configuration before budgeting. For example, the official pages linked in the table provide current plan references for HubSpot, ActiveCampaign, Mailchimp, Zoho Campaigns, and Klaviyo; Brevo’s dynamic pricing and packaging should likewise be confirmed directly with the vendor.
Rank #3
Compare the bill using your actual list and sending habits, then model what happens if either changes. Ask whether onboarding costs apply, whether the plan includes the required integrations and automation logic, and how the charge changes if your list doubles. These are practical checks recommended in Rework’s buying guide.

A free tier may exist, but “free” does not tell you whether it includes the automation you need. Check the eligible contact count, send cap (monthly or daily), whether automation is included, and which features are reserved for paid tiers. Those limits change, and the cited comparisons do not establish current, comparable free-plan thresholds across these products.
Rank #4
Before committing, inspect the current country-specific plan on the vendor’s site and test the exact trigger or sequence you intend to use. Mailchimp’s pricing page and Zoho Campaigns’ plan page are linked above; for other services, use their official plan pages rather than relying on an old roundup. A free plan is a reasonable starting point only if its caps and feature gates cover your current workflow and you have a workable next tier when the business grows.
What to verify before switching or signing up
- Workflow coverage: build a short list of required triggers, branches, actions, and handoffs, then check each one in the plan—not just the product’s feature overview.
- Integrations: confirm support for your actual CRM, store, signup forms, analytics, and other systems. For ecommerce, verify the relevant store integration and customer events before choosing a platform.
- Billing behavior: calculate cost using your current contact count and send volume, then check how overages, extra seats, and list growth affect the bill.
- Migration: ask whether contact data, templates, and automations can be exported. Contact lists and workflow logic are not equally portable; expect to recreate some automation when moving providers.
- Setup effort: estimate the time required to connect systems, clean data, build and test messages, and set up reporting. A more capable platform can take longer to configure than a simple newsletter service.
- Exit and ownership: confirm what data you can retrieve if you cancel and whether you can retain the assets and records your team needs.
Choose the smallest tool that covers the real workflow
Make the choice from a tested workflow, not a popularity list: identify the trigger, the data it needs, the message or handoff that follows, and the plan features required to run it. Then compare total cost at your actual list size and sending frequency, plus the effort of setup and migration. Revisit the shortlist if your business model changes—for example, from a newsletter audience to ecommerce retention or CRM-driven sales follow-up.
