You can use a personal OneDrive account alongside work or school accounts in the desktop app, but they remain separate storage spaces. Add accounts from OneDrive’s Account settings, then use their separately labeled folders and selective sync to keep files organized and control local disk use. The desktop app supports one personal account and up to nine work or school accounts per device; mobile account behavior differs.
How multiple OneDrive accounts work
OneDrive can connect more than one account to a device, but that does not combine the accounts or their storage. A personal account and work or school accounts can coexist in the desktop app, with synced files shown in separate locations. Microsoft describes those locations as “OneDrive – Personal” and “OneDrive – [CompanyName].” Microsoft’s computer sync guide explains how the locations appear in File Explorer or Finder.

The right setup depends on the account types you need. One personal account plus one or more work or school accounts can be connected in the same desktop client. If you have two personal accounts, Microsoft says they cannot be merged or linked, and its desktop guidance allows only one personal account in the client. The cited guidance does not establish a supported way to sync several personal accounts concurrently in that client.
Add another account on a Windows PC
- Select the OneDrive cloud icon in the Windows notification area.
- Select Help and Settings, then Settings.
- Open the Account tab and select Add an account.
- Sign in with the additional account and follow any prompts.
Microsoft’s account setup instructions say the desktop app supports one personal account; additional work or school accounts can be added within the supported limits.

On mobile, OneDrive supports one personal account plus work or school accounts, but only one account at a time can use camera backup. An organization may require an Android work account to be installed in its Work Profile. Consult Microsoft’s account setup page for the mobile account details.

Keep accounts distinct and manage local storage
Use the separate account folders
On Windows and Mac, each synced account has its own location in File Explorer or Finder. Check the account name in the folder label before saving or moving files, especially when handling work material alongside personal documents.

Choose what syncs to the computer
In OneDrive’s account settings, use Choose folders to limit which folders from an account sync locally. This can help keep several accounts manageable without downloading every folder to the computer. Microsoft documents the setting in its sync guide.

Use Files On-Demand thoughtfully
Files On-Demand can show cloud files in the synced location without downloading all of them to local storage. A cloud-only file needs an internet connection to open. If you need to work offline, make sure the relevant files are available on the device before disconnecting. Microsoft explains the feature and its local-storage behavior in its Files On-Demand guide.
Can you merge personal and work OneDrive accounts?
No. Adding both accounts to one device does not merge their storage into a shared pool. Microsoft says personal and work or school storage remain separate, and work or school folders cannot be synced or shared into personal OneDrive folders through this setup. To move files between accounts, copy or drag them from one account location to the other; that is a transfer, not a merge. See Microsoft’s explanation of combining home and work or school accounts.

Account limits and Windows compatibility
Microsoft’s restrictions guidance sets the per-device desktop limit at one OneDrive for home account and nine OneDrive for work or school accounts. On macOS, only one business account from the same organization can sync at a time. Mobile uses different rules, including the one-account camera-backup limit described above.
For Windows desktop sync, Microsoft lists Windows 10 version 22H2 or Windows 11. Its system requirements page, last updated June 23, 2026, says desktop app support for Windows 10 version 21H2 and earlier ended August 15, 2026. Microsoft notes that the app might continue to work on those earlier versions, but it will not receive updates and compatibility or functionality is not guaranteed. Check the current OneDrive system requirements for platform details.
