To make a printer show up, turn it on, connect it to a reachable network, and add it from your computer or phone’s printer settings. For a wireless printer, start by checking that it and the device you’re printing from use the same Wi‑Fi network. If it still does not appear, use the device’s manual-add option or the printer’s model-specific setup instructions.
Start with the printer and its connection
- Check the printer’s status. Turn it on and look at its screen or wireless indicator for an error or disconnected message. Make sure its Wi‑Fi radio is enabled; if the printer offers a wireless connection test, run it. Clear any reported issue, such as a paper jam, open cover, or supply problem.
- Compare network names. The printer and the computer or phone should be on the same local Wi‑Fi network. A router, extender, or multiple access points can use different network names (SSIDs), even in the same home. Microsoft’s Windows printer setup guidance and Apple’s Mac printer setup guidance both identify the network connection as an initial check.
- Restart the printer if needed. Microsoft’s documented restart method is to turn it off, unplug it, wait 30 seconds, reconnect the power, and turn it on. Then try adding it again.
“Discoverable” is not always a separate setting on the printer. For network printing, the printer generally needs to be powered on and connected to a network the other device can reach. Bluetooth pairing and a printer shared through another computer have different setup steps.

Add a printer in Windows 11
For a printer connected to Wi‑Fi
- Open Settings > Bluetooth & devices > Printers & scanners.
- Choose Add device beside Add a printer & scanner, then wait for the list to populate. Microsoft notes that this can take a few minutes.
- Select your printer when it appears and follow the prompts.
- If it does not appear, choose Add manually or The printer that I want isn’t listed and select the manual option that matches the printer’s connection.
Windows menu wording can vary somewhat by version. For a printer connected directly to the PC by USB or another local cable, connect the cable and turn on the printer first; Windows often installs it automatically. If it does not, add it through Printers & scanners. Windows Update may offer an updated or fuller driver. See Microsoft’s instructions for adding or installing a printer.
If the printer is connected to another Windows PC
A printer attached to a host computer is not the same as a printer connected directly to Wi‑Fi. On the host PC, make sure the printer is shared and that Network discovery and File and printer sharing are enabled. On the other PC, open the add-printer workflow and select Select a shared printer by name if it is not listed. Enter the share path in this form, replacing the names with the host computer and shared printer names:

Both PCs need network connectivity, and Windows may require valid credentials. Follow Microsoft’s printer-sharing instructions to configure the host and sharing settings.
If Windows still cannot find it
Use Windows 11’s Get Help printer troubleshooter as an initial automated check. Microsoft’s troubleshooting flow also recommends checking the wireless connection, restarting the printer, removing and reinstalling it, and printing a test page. The current instructions focus on Windows 11; Windows 10 support ended October 14, 2025.

Add a printer on a Mac
- Open System Settings > Printers & Scanners.
- Click Add Printer, Scanner or Fax.
- If the Mac and printer are on the same Wi‑Fi network, select the printer if it appears.
- If it does not appear, use the IP option to add it by address, provided the printer supports a compatible protocol.
Apple lists AirPrint, HP Jetdirect (Socket), Line Printer Daemon (LPD), and Internet Printing Protocol (IPP) as supported options for adding a network printer by IP. A generic protocol connection may provide fewer features than the printer’s full software. macOS uses AirPrint when available; otherwise, Apple advises installing current printer software from the manufacturer. A managed network may also require a printer configuration profile or help from its administrator. See Apple’s Mac printer setup guide.

First verify that the exact printer model supports AirPrint using Apple’s current AirPrint printer list or the manufacturer’s model information. Connect the printer and Apple device to the same Wi‑Fi network, then:

- In an app that supports printing, open its share or actions menu.
- Tap Print.
- Tap No Printer Selected and choose the AirPrint printer.
- Set the available print options and send the job.
Not every app includes a print action. AirPrint support also varies by printer model, so check the specific model rather than assuming compatibility. Apple’s AirPrint instructions explain the workflow.
Pair a Bluetooth printer with Windows
Bluetooth discovery is separate from Wi‑Fi printer discovery. Turn on the printer and make it discoverable using the procedure in its manual; the exact button or menu sequence depends on the model. Then open Settings > Bluetooth & devices > Printers & scanners > Add device in Windows and select it when it appears. Microsoft outlines this process in its Bluetooth printer and scanner guidance.

Use USB to help set up Wi‑Fi when the model supports it
Some AirPrint-capable printers can join Wi‑Fi through a USB connection to a Mac and a manufacturer-provided setup assistant. Apple’s general procedure is to use the appropriate cable, install the printer software if required, run the setup assistant, and disconnect USB after Wi‑Fi setup. Check the printer manual for its exact steps and cable. For a printer with a display, Wi‑Fi setup commonly involves selecting the network and entering its password on the control panel. Choose the right setup route

Use an IP address on a Mac only when the printer supports one of Apple’s documented protocols. Use a Windows share path only for a printer shared by another PC. If the printer’s model requires its own driver, profile, setup assistant, or cable, follow its specific instructions rather than treating manual discovery as a substitute.
Confirm the connection and troubleshoot remaining failures
- After adding the printer, send a test print from the computer or device.
- If it remains unavailable, recheck printer status, Wi‑Fi connection, and the exact network name on both devices.
- Restart the printer and try discovery again. On Windows, remove and reinstall the printer or run the Get Help troubleshooter.
- If discovery still fails, consult the manufacturer’s instructions for the exact printer model and check the router or network guidance if needed.
Wireless onboarding, supported Wi‑Fi bands, router isolation settings, firmware steps, and button combinations differ across printer and router models. General operating-system steps cannot establish that every printer supports every connection route.
