To save a grayscale copy of a color PDF in Windows, open it in Acrobat Reader, press Ctrl+P, select Microsoft Print to PDF, enable Print in grayscale if available, and save under a new name. This print-to-PDF method is quick, but Acrobat Pro offers a separate document-conversion route if you need to convert the PDF itself rather than create a grayscale print output.
First decide what you need to turn gray
A grayscale print setting affects the output being printed or virtual-printed; it does not change the original color PDF. Adobe describes grayscale printing as printing a color PDF in shades of gray, also called grayscale or composite gray. The setting does not promise a strict two-tone conversion that turns every pixel into only black or white.

- Need a grayscale copy to share or archive? Print to a PDF printer and save a separate file.
- Need to change the document using PDF editing tools? Use Acrobat Pro’s Preflight conversion workflow, if available.
Keep the original color file whichever route you use. Adobe cautions that color cannot be restored from the converted black-and-white copy; to get color back, start again from the original. Adobe’s conversion guide describes both approaches.

This is the quick no-cost workflow documented by Adobe. It uses Windows’ Microsoft Print to PDF virtual printer to save the output as another PDF, rather than sending it to a physical printer.

- Make sure the original color PDF is saved. Open it in Acrobat Reader.
- Press Ctrl+P to open the Print dialog.
- In the printer list, select Microsoft Print to PDF.
- Turn on Print in grayscale (black and white) if the option appears.
- Choose Print, then select a folder and save the new PDF with a different filename.
- Open the saved PDF and inspect pages with colored graphics, charts, or small text.
Adobe documents this route in its guide to converting a PDF to black and white. The grayscale option produces shades of gray; the label “black and white” in an interface should not be taken as proof that the result is strictly monochrome.
Method 2: Convert the document in Acrobat Pro
If you need a document-level conversion rather than a print-to-PDF output, Adobe documents a Preflight fixup in Acrobat Pro:

- Open the PDF in Acrobat Pro.
- Open Preflight. Menu placement can differ by version; Adobe notes that older versions may put it under Tools > Print Production.
- Choose PDF fixups, then Convert to Greyscale.
- Select Analyze and Fix and save the converted file as a separate copy.

If the grayscale option is missing
Color controls are not universal across Windows PDF applications or printers. Microsoft says the available print color options depend on the selected printer. If Acrobat Reader does not show the grayscale checkbox, open the selected printer’s Printer Properties or Preferences and look for a color or grayscale setting. The label and location may vary with the printer or driver. See Microsoft’s guidance on printing in black and white.

If the selected virtual PDF printer has no suitable grayscale control, use Acrobat Pro’s Preflight fixup when you have access to it. Adobe’s instructions for Adobe PDF printer preferences apply specifically to Adobe PDF; those controls should not be assumed to exist in Microsoft Print to PDF or every other printer.

- Confirm that the saved file is a new copy and the original remains in color.
- Review charts, photos, colored text, and shaded backgrounds. Different colors can become similar gray tones, which may reduce contrast.
- Check small text and any page where color conveys meaning, such as category labels or warnings.
- If the result is hard to read, return to the original and try a document conversion or different printer setting; do not expect to recover the original colors from the grayscale copy.
A grayscale file may be smaller, but Adobe provides no general size-reduction figure. Treat any reduction as dependent on the document and conversion, not as a guaranteed outcome.
