Mail Days to Sync is an Apple Mail setting for Exchange accounts that controls how far back mail syncs to your iPhone or iPad. To find it, open Settings > Apps > Mail > Mail Accounts, select your Exchange account, then tap Mail Days to Sync. The option is specific to Apple Mail with Exchange; it is not a universal setting for Gmail, IMAP accounts, or Outlook mobile.

What does “Mail Days to Sync” mean?

The setting determines the time period of Exchange email that the built-in Mail app syncs with the device. A shorter period means fewer older messages are included in the device’s synced mail. Apple notes that limiting this period can help a large Exchange mailbox sync faster. Its example is selecting “1 Month” or less for faster syncing. Apple’s Exchange ActiveSync setup guide explains the setting.

This is a device sync window, not a general mailbox-retention control. The available guidance does not establish that changing it deletes older messages from the Exchange server. If you need to preserve or locate important older mail, check it in your organization’s webmail or ask your mail administrator before changing account configuration.

How to change Mail Days to Sync on iPhone or iPad

  1. Open Settings.
  2. Tap Apps > Mail > Mail Accounts.
  3. Select the account configured as Exchange.
  4. Tap Mail Days to Sync and choose the period that includes the messages you need, if that option is offered.

Apple’s current guide places the setting inside the Exchange account’s Mail settings. Labels or availability can vary with the operating-system version and account-management policies.

  • This phone is unlocked and compatible with any carrier of choice on GSM and CDMA networks (e.g. AT&T, T-Mobile, Sprint, Verizon, US Cellular, Cricket, Metro, Tracfone, Mint Mobile, etc.).
  • Please check with your carrier to verify compatibility.
  • The device does not come with headphones or a SIM card. It does include a generic (Mfi certified) charging cable.
  • Tested for battery health and guaranteed to have a minimum battery capacity of 80%.

Why are older emails missing or only showing for 30 days?

If you use Apple Mail with an Exchange account and older messages are missing, check the account’s Mail Days to Sync value. If the selected period is shorter than the age of the messages you need, choose a longer available period. The mail may take longer to appear, especially if the mailbox is large or the network or server is slow.

If the setting is already long enough, confirm that the messages are available through your provider’s webmail or with your organization’s administrator. The sync window is one possible cause of older messages not appearing on the device; it does not explain every mail-sync problem.

Why is Mail Days to Sync missing?

First check which app and account you are using. Apple documents this option for an Exchange account in the built-in Apple Mail app. If the account is Gmail, another IMAP account, or is being used in a different mail app, do not expect the same selector: the documentation does not establish that it is available for those combinations.

If you believe the account is Exchange but cannot find the option, verify the account type and check whether your organization manages its settings. Apple notes that setup can be managed in organizational environments, and the location or availability may differ by operating-system release or policy.

Apple Mail’s days setting is not Outlook mobile’s message limit

Outlook for iOS and Android handles synced mail differently. Microsoft describes an item-based limit per folder, rather than Apple Mail’s days-based Exchange setting:

App and account context What governs older-message availability Where to look
Apple Mail with Exchange A selectable period of days is documented for synced mail. iPhone or iPad Settings, inside the Exchange account’s Mail settings. Apple Support
Outlook for iOS and Android Microsoft documents 500 items per folder, with up to 1,000 if the user loads more conversations; the app periodically trims folder contents back to 500. Outlook’s own folder and conversation behavior, not Apple’s Mail Days to Sync selector. Microsoft Support

These Outlook counts describe app synchronization behavior, not a promise that every older message is permanently unavailable. For further Outlook mobile help, see Microsoft’s Outlook for iOS and Android Help.

Outlook mobile is slow to sync after inactivity

Microsoft says Outlook for iOS pauses mailbox syncing until the next session after more than 10 days of inactivity. After 30 days of inactivity, users are signed out and must sign in again. These thresholds concern Outlook for iOS and are separate from Apple Mail’s Exchange setting. See Microsoft’s inactivity and sync guidance.
