Machine translation privacy and reliability depend on the exact service, plan, language pair, and input method. A free consumer app, paid account, cloud API, downloaded phone model, and managed offline deployment can have different data policies and capabilities. Before sending sensitive content, check the policy for the precise service you will use; before relying on a translation, test it on representative material and arrange human review when an error could matter.
Is machine translation private?
There is no single privacy rule for machine translation. A vendor’s statement about one API or paid tier does not automatically apply to its consumer app or another product. Check what receives each text, image, document, or recording, and whether the feature routes speech through a separate service.

| Service and scope | What the vendor says about submitted content | Important qualification |
|---|---|---|
| Google Cloud Translation API | Google says it uses content only to provide the API service, holds submitted text briefly in memory to translate it, does not make it public or share it with third parties, and does not use it to train or improve Google Translation features. | These statements cover the Cloud Translation API, not every Google translation interface. Advanced API regional endpoints can be configured for data location under applicable terms; global endpoints cannot be configured to keep processing in a particular region. Google Cloud data-usage FAQ (updated September 30, 2026). |
| DeepL free Translator/Write | DeepL says submitted text, translations, and corrections may be processed for a limited time to train and improve its neural networks and algorithms. | DeepL says its free Translator/Write services must not be used for texts containing personal data. DeepL Privacy Policy (retrieved October 4, 2026). |
| DeepL Pro, API Pro, and Write Pro | DeepL says submitted text and documents are temporarily kept only as needed to provide the service, deleted after the contracted service is complete, and not used to improve service quality. | DeepL says personal-data processing requires a legal basis and describes a data processing agreement. Saved translations and glossaries are exceptions when users choose to store material; document-job metadata is automatically deleted after 14 days. Recheck current terms for regulated or confidential material. DeepL Privacy Policy. |
| Microsoft Translator Pro | Microsoft says submitted translation data is not stored permanently and that no record of submitted text, voice, or speech is kept in a Microsoft data center. It says real-time speech-to-speech data is not stored at rest or retained for model improvement. | The FAQ describes Translator Pro, an iOS app requiring iOS 15 or newer, and says organizational data remains within the organization’s Azure subscription. These are Microsoft’s product statements, not an independent audit. Microsoft Translator Pro FAQ (updated September 15, 2026). |
| Azure Translator Text API | A Microsoft blog post says API traffic became “no trace” by design and submitted text would not be stored persistently. | The post dates to March 9, 2018. It also says Microsoft support cannot inspect specific submitted text to investigate a translation issue. Confirm current Azure terms before making operational or compliance decisions. - Which named service and plan receives the input? Does a camera, document, or voice feature use a different route from text translation?
- Is submitted content used to improve models or service quality, and how long is it retained?
- Are saved translations, glossaries, translation memories, or job metadata stored separately?
- Which endpoints, regions, and subprocessors are involved? Can processing be limited to a required region?
- Does your policy permit sending personal, health, legal, employment, or customer data, and is a data processing agreement required?
- For speech, does the app invoke the phone’s speech service or another provider?
How can you judge translation quality?
There is no supported universal quality winner or apples-to-apples accuracy score in the cited vendor material. Microsoft says, “Translation quality is always relative to a test set.” It also says there are no universally recognized standard test sets for benchmarking and that it does not publish absolute scores from its machine-translation assessments. Microsoft describes evaluating systems with BLEU, ChrF, COMET, and human judges, but those methods do not create a comparable public score across all products. See the Microsoft Translator Pro FAQ.

Instead of trusting a general ranking, compare output against the work you actually need done:
- Language and direction: Test the precise source-to-target direction; support and quality need not be symmetric.
- Subject matter and terminology: Use representative legal, medical, technical, support, or conversational examples. Check names, numbers, negation, units, and specialist terms.
- Context and format: Test short messages and complete documents as relevant. Check tables, formatting, OCR, and context handling separately.
- Input method: Text, scanned images, and speech have different error sources. For audio, check transcription before judging the translation.
- Online or offline: Where possible, compare the installed offline model with online output and confirm language coverage.
- Cost of an error: Decide in advance which types of mistake require review by a fluent person or subject-matter expert.
A practical small-scale evaluation uses examples representative of real use. Ask a fluent reviewer to compare each output with its source for changed meaning, terminology errors, omissions, and invented content, then note recurring problems. This helps identify whether a tool is suitable for a particular job; it does not establish a general ranking.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone. Can you translate offline, and does it work as well?
“Offline” can mean a downloadable model running on a device or a dedicated air-gapped system in managed infrastructure. They are different approaches, not interchangeable guarantees about ordinary translation apps.
On-device models in an app
Microsoft says the on-device models used by Translator Pro for offline processing are smaller than its cloud models and that quality varies. Its FAQ does not promise that offline output matches online output. Confirm that the language model you need is downloaded, and compare the actual offline result with the online version if the app offers both. Microsoft Translator Pro FAQ.
Air-gapped deployment
Google describes Google Distributed Cloud air-gapped for offline visual and audio translation in environments with strict security and privacy requirements. This is a managed infrastructure solution, not evidence that a consumer phone app has the same offline features. Google notes that traditional on-premises tools may lack some modern OCR and speech-to-text capabilities; this is a vendor solution description, not an independent comparison. See Google’s Offline Visual and Audio Translation solution guide.
What happens when an app loses internet?
There is no established universal consumer-app rule that translation software will automatically switch to local processing, fall back to cloud, queue input, or fail. Behavior can depend on the app and operating-system version, downloaded language packs, and whether you are using text, camera, or voice. Check the current help information for the specific app and test it in airplane mode. Do not assume that a fallback route has the same privacy terms as the route you intended to use.
What can make a translation go wrong?
Errors can start before the translation model sees the input. Microsoft’s transparency note identifies poor microphone acoustics or distance, background noise, and overlapping speakers as conditions that can lower transcription and translation accuracy. Microsoft Translator Pro Transparency Note.
- For speech: Move closer to the microphone, reduce background noise, take turns, and use short speaking turns. Confirm names, amounts, dates, and negation.
- For text: Rewrite ambiguous source wording, provide enough context, and check critical terminology.
- For consequential use: Have an appropriately qualified translator or subject-matter reviewer check the result when an error could affect health, legal rights, safety, or an emergency response.
Machine translation can help with gist and routine communication, but the cited vendor information does not establish that unreviewed output is authoritative for medical, legal, safety-critical, or emergency decisions.
