Mac Storage Cleanup: Find Space and Keep the Files You Need

Find what is using your Mac’s storage, remove files you no longer need, or move wanted files elsewhere—without treating System Data as a folder to delete.
Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

To clean up storage on a Mac, start with the built-in Storage view, review large files and category recommendations, then delete only what you no longer need. To keep files while freeing internal space, move them to another storage device or use supported iCloud optimization. There are no comparative test results or verified cleanup totals behind this guide; it explains Apple’s documented options.

Find what is using storage

The route depends on your macOS version:

  • macOS Ventura 13 or later: Apple menu > System Settings > General > Storage.
  • Earlier macOS versions: Apple menu > About This Mac > Storage.

The Storage view groups usage into categories and may offer recommendations or controls for particular categories. What appears can vary with the apps and files on your Mac. Use it to identify where to look, not as a promise that every category can be cleared directly. Apple’s storage guidance describes this view and its recommendations.

Review files and remove only what you do not need

Start with large files, Downloads, and any categories that offer a review control. Check what a file is and whether you still need it before deleting it. Apple’s suggested places to review include:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • Downloads and other personal files you no longer need.
  • Apps you do not use.
  • Old iPhone or iPad backups.
  • Downloaded media that you can stream or download again.
  • Unneeded user accounts and leftover user data, if the Mac has more than one user.

Deleting something from a folder does not immediately release its storage if it remains in the Bin or Trash. Empty the Bin or Trash when you are sure you do not need those items; that is when the space becomes available. See Apple’s instructions for emptying the Bin.

Keep large files by moving them off the Mac

If you want to retain files but need more internal space, move them to another storage device. Apple specifically points to Photos and iMovie libraries as examples of files that can use substantial storage. An external drive is one option, but the right device depends on your needs; the available guidance does not establish a particular model, capacity, connector, or speed.

  1. Connect the destination storage device and make sure it has enough room for the files you plan to move.
  2. Move the files or library using the relevant app or Finder.
  3. Open the moved files from the destination to confirm they are intact and accessible.
  4. Only after verifying the copy, remove the original from the Mac and empty the Bin or Trash if you need the space immediately.

Apple’s guidance on moving your Photos library and moving an iMovie library explains those specific cases.

What System Data means—and why it is not a cleanup folder

System Data, called Other in some contexts, is a broad category for items that do not fit more specific storage categories. Apple says it can include logs, caches, virtual-memory files, temporary files, fonts, app-support files, and plug-ins. Its size varies, and macOS manages its contents; you cannot manage them directly from the Storage category. Do not treat it as one folder to delete. Instead, review personal files in Finder or manage files through the apps that created them. Apple’s explanation of storage categories also notes that available storage may include purgeable caches, so “available” and “free” space do not necessarily mean exactly the same thing.

Use optimization for files you can access on demand

macOS can optimize supported files so they are available on demand, including through iCloud, while keeping recent files or optimized versions locally. This can reduce local storage use, but it depends on iCloud storage in your plan; it does not create unlimited free space. Consider whether you are comfortable relying on cloud availability for the files you optimize. Apple describes these options in its Mac storage recommendations.

  • Always Fast: No slowdowns for large file transfers. With SLC caching (25% of current available capacity allocated as high-speed cache), this external SSD delivers steady 10Gbps for transfers within the cache capacity

macOS also clears certain caches and logs when space is needed. Apple says it removes items that are safe to delete, including some temporary database files, interrupted downloads, staged system and app updates, and Safari website data. That automatic maintenance is not a guarantee of a particular amount of recovered space.

When a temporary shortage blocks a task

If you need room to complete a task such as installing a macOS update, starting the Mac in safe mode may clear certain system caches that macOS can recreate. Apple presents this as a temporary measure, not a durable substitute for reviewing files or moving data you want to keep. Follow Apple’s instructions for starting up in safe mode.
