Automate Mac tasks when they recur, follow stable rules, and produce results you can verify. Keep them manual when they depend on judgment, unpredictable exceptions, or a mistake would be costly. For a first try, look for a repetitive task with too many steps or clicks, then see whether Shortcuts or Automator has the actions you need.
Which Mac tasks are worth automating?
A useful candidate has a repeatable sequence, predictable inputs, and an output you can check. The more often you do it—and the more time or clicks each run takes—the more attractive automation becomes. That is a practical decision rule, not a published Apple formula: Apple does not set a universal frequency threshold or provide a measured break-even calculation.

Apple’s examples include making the same changes to multiple files, such as renaming files or resizing images, and archiving or backing up important files. These are examples of suitable workflows, not promises of a particular time saving.

Fix the driver behind crashes, sound loss and screen glitchesFind Drivers →Clear out junk files and repair common Windows errorsFree Scan →- Good candidate: You routinely resize a batch of images using the same settings and can inspect the results.
- Good candidate: You repeatedly archive files from a known location using the same steps.
- Less suitable: Each run requires deciding which files matter, interpreting unusual content, or choosing among exceptions the workflow cannot reliably identify.
To find a candidate, ask Apple’s suggested prompts: “What task is taking too long?” and “What’s just too much trouble to bother with?” Also notice work you repeat several times a day or that involves an excessive number of clicks. Apple’s prompts are useful discovery aids, not evidence that every such task will benefit from automation.
#1 Best Overall
- Magic Keyboard is now available with Touch ID, providing fast, easy, and secure authentication for logins and purchases
- Magic Keyboard with Touch ID delivers a remarkably comfortable and precise typing experience
- It’s also wireless and rechargeable, with an incredibly long-lasting internal battery that will power your keyboard for about a month or more between charges
- It pairs automatically with your Mac, so you can get to work right away
- It features a USB-C port and includes a woven USB-C Charge Cable that lets you pair and charge by connecting to a USB-C port on your Mac
When should you keep the work manual?
Manual work is often the safer choice when the steps change from one run to the next, when important decisions rely on context, or when you cannot clearly specify what a correct result looks like. It is also reasonable to stay manual if building and maintaining the workflow would be harder than doing the task yourself.
Consider the consequence of an error before automating a task that deletes, overwrites, moves, or sends data. If a mistaken run could cause serious harm and the workflow cannot include a reliable review point, keep the sensitive decision or final action manual.

- WIRELESS, RECHARGEABLE CONVENIENCE — Magic Keyboard with Numeric Keypad connects wirelessly to your Mac, iPad, or iPhone via Bluetooth. And the rechargeable internal battery means no loose batteries to replace.
- WORKS WITH MAC, IPAD, OR IPHONE — It pairs quickly with your device so you can get to work right away.
- ENHANCED TYPING EXPERIENCE — Magic Keyboard delivers a remarkably comfortable and precise typing experience. Its extended layout features document navigation controls for quick scrolling and full-size arrow keys. The numeric keypad is ideal for spreadsheets and finance applications.
- GO WEEKS WITHOUT CHARGING — The incredibly long-lasting internal battery will power your keyboard for about a month or more between charges. (Battery life varies by use.) Comes with a Lightning to USB Cable that lets you pair and charge by connecting to a USB port on your Mac.
- SYSTEM REQUIREMENTS — Requires a Bluetooth-enabled Mac with macOS 10.12.4 or later, an iPad with iPadOS 13.4 or later, or an iPhone or iPod touch with iOS 10.3 or later.
- Inputs or rules vary too much to describe consistently.
- The next step requires judgment that cannot be expressed as explicit rules.
- You cannot readily review the output for mistakes.
- The workflow would be difficult to maintain as apps, files, or requirements change.
Choose Shortcuts, Automator, or scripting
Start with the simplest tool that covers the task. Apple describes Automator as a way to build workflows without programming, and its guide says Automator workflows can be imported into Shortcuts. Exact interface steps can vary by macOS release; Apple’s live Automator guide offers a version selector that includes macOS Tahoe 26 and earlier releases.
| Approach | Best fit | What to know |
|---|---|---|
| Shortcuts or Automator | A straightforward sequence of available actions. | Begin here for simple repeatable work; Automator workflows can be imported into Shortcuts, according to Apple’s Automator User Guide for Mac. |
| Automator with scripts | A workflow that mostly fits Automator but needs an action beyond its built-in set. | Apple’s Sequoia 15 Automator guide documents adding AppleScript, JavaScript, and shell commands. The exact instructions are version-specific. |
| AppleScript or JavaScript for Automation | Advanced, branching, or complex tasks. | Apple’s archived Mac Automation Scripting Guide says, “Scripting is a better choice for performing advanced, branching, or complex tasks.” Treat this as a conceptual tool distinction rather than current setup instructions. |
| Manual execution | Tasks with unstable rules, consequential exceptions, or results that are hard to verify. | There is no formal Apple scoring model for deciding when manual work is better; weigh the task’s risk and upkeep against the burden of repeating it. |
Automator can also run shell commands and scripts. Apple’s current support instructions explain how to use scripts with Automator and advise testing a workflow before saving it: Use scripts with Automator on Mac. Confirm that any version-specific instructions match your installed macOS.

How to decide on a specific task
Compare the task’s frequency and burden with its predictability, complexity, available actions, maintenance needs, and error consequences. These are decision factors, not a numerical score: Apple does not publish weights or a universal cutoff.
- Frequency and burden: How often do you do it, and how much time or how many clicks does each run take?
- Predictability: Are the inputs and steps stable enough to describe?
- Complexity: Is it a simple sequence, or does it need branching and decisions?
- Action coverage: Can Shortcuts or Automator perform the steps, or would scripting be needed?
- Setup and upkeep: Will creating and maintaining the workflow be worth the recurring effort?
- Risk and review: What happens if it runs incorrectly, and can you catch the error before it matters?
If the task is frequent and predictable, built-in actions cover it, and the output is easy to verify, try a small workflow. If it needs branching or actions outside the built-in set, scripting may fit better. If the rules are unstable or a mistake is difficult to catch, leave the consequential parts manual.

Test safely before relying on a workflow
Apple advises testing an Automator workflow before saving it. For a cautious first run, use a small sample or duplicate files, then inspect both the result and its destination. Expand use only after the output matches what you intended. For destructive or high-impact actions, preserve a manual review point until you are confident the workflow handles the relevant cases.
Apple’s cited guidance provides tool examples and testing advice, but it does not report measured productivity gains or a general number of hours saved. Whether a workflow pays off depends on the task, its frequency, and the effort needed to build and maintain it.
