Treat the broadcast as one part of a longer event lifecycle: plan promotion and measurement before it starts, then follow up and reuse the recording.
How SaaS companies can use live video
Live video can support several goals, but an individual event needs a clear priority. A prospect demo should help viewers understand how the product solves a specific problem; a customer session should help people complete a task or get more value from the product. A secondary benefit is fine, but it should not blur the event promise or its call to action.

- Qualified demand: Explain a relevant problem, demonstrate a solution, and offer an appropriate next step, such as a demo request.
- Product understanding: Show a real workflow rather than reciting a feature list.
- Activation and adoption: Teach new or active users how to complete a task in the product.
- Retention and customer education: Answer recurring questions, share practical guidance, or help customers use capabilities more effectively.
- Thought leadership and community: Bring a useful perspective or informed discussion to an audience, rather than making the event a disguised sales pitch.
Wistia’s 2026 webinar benchmark article reports that surveyed marketers hosted webinars to engage customers and prospects (72%) and generate new leads (70%); 36% said they aimed to improve retention and 32% to increase product adoption. The same source reports thought leadership (58%) and product demonstrations (56%) as common formats. These are survey findings across Wistia’s audience, not SaaS-only results or proof that a webinar caused a business outcome.
Choose a format that fits the audience and outcome
Match the event’s interaction level and production effort to what viewers need to do. A short product walkthrough may need one presenter and a focused demonstration; a customer training session may need more time for questions and guided practice.

| Format | Best fit | Interaction and planning |
|---|---|---|
| Product demonstration | Prospects evaluating a workflow or customers learning a capability | Show a realistic problem-solving sequence. Leave room for questions; avoid an unstructured tour of every feature. |
| Thought-leadership session | Prospects or customers seeking perspective on a relevant challenge | Build the session around a useful point of view and evidence. Decide whether the next step is discussion, a resource, or a product conversation. |
| Training or coaching | New users, active customers, or customer champions | Teach a defined task. Allow time for questions and make the recording easy to revisit. |
| Panel discussion | An audience that benefits from multiple informed perspectives | Set a moderator, focused questions, and clear transitions. More speakers mean more coordination and rehearsal. |
| Live presentation with pre-recorded sections | Teams that want a controlled presentation while retaining live interaction | Rehearse transitions and identify which sections are recorded versus live. Wistia describes scheduled pre-recorded webinars as well as live-presenter workflows. |
For each format, consider lifecycle stage, the interaction viewers expect, the amount of production coordination it requires, how easily the recording can be reused, and whether you can connect registration and follow-up behavior to the event.
Promote the event before production is finished
Promotion is part of the event plan, not a task to begin after the stream is ready. In Wistia’s 2026 State of Video report, 57% of surveyed teams said they spent more time creating video than promoting it. That broad-industry survey result is a useful warning about resource allocation, not a benchmark for how much time your own team should spend.

- Write the event promise. State who should attend, what they will learn or see, and what they can do afterward. Use the same promise on the registration page and in promotional messages.
- Choose the destination. Make the registration or event page the clear next step. Confirm that the page explains the topic, intended audience, date and time, and what registrants can expect.
- Distribute where the audience is reachable. LinkedIn is a prominent B2B option in Wistia’s 2026 survey: 8 in 10 surveyed teams named it their primary place to share B2B videos, while 81% said they shared videos on LinkedIn and 76% on YouTube. These are survey findings about video-sharing practices across industries, not evidence that either platform will deliver a particular number of registrations for your event.
- Tag campaign links. Use consistent UTM parameters and referral URLs so you can distinguish sources and campaigns. Wistia’s registration analytics documentation says those links can be used to report impressions, registrations, and attendees by campaign and source or medium, among related parameters.
- Schedule reminders and follow-up. Plan messages for registrants before the event and a useful next step afterward. Tailor that next step to the audience and event objective rather than sending every viewer the same sales message.
LinkedIn reports that its Live videos averaged 7 times more reactions and 24 times more comments than native videos from the same broadcasters, based on internal data from May 1, 2023, to June 18, 2024. These are platform-reported comparisons, not an independent causal study or a forecast for a particular SaaS company. LinkedIn’s page also describes paid-promotion findings from a selected group of pilot testers, so those results should not be treated as a general expectation.

Run the event as a planned customer touchpoint
- Set a run of show. Map the opening, presentation or demonstration, interaction, call to action, and close. Assign who presents, moderates questions, and handles production.
- Rehearse the important transitions. Check screen sharing, any product environment used in the demonstration, speaker handoffs, and the route from presentation to questions. If using pre-recorded sections, rehearse how they enter and exit the live session.
- Check audio and video before broadcast. LinkedIn describes a preview step for validating audio and video before going live. Use the platform’s available preview and confirm that the presenter, screen, and sound are ready before the audience arrives.
- Make participation intentional. Reserve time for questions or another interaction that suits the format. Use questions to clarify objections in a prospect session or help users complete a concrete task in a customer session.
- Deliver the promised next step. Make the call to action explicit and relevant. A product demo may invite a qualified follow-up; a training session may point to documentation or another learning resource.
A USB microphone can be considered as an optional equipment item when assembling a gear checklist, but equipment alone does not guarantee good audio, and not every team needs a particular model. The available evidence does not establish a universally necessary microphone or a tested product recommendation.

Measure the whole event funnel, not attendance alone
Set up measurement to follow the path from promotion to a meaningful action. Registration and attendance describe different stages; replay consumption and follow-up behavior add further context. Views or attendance by themselves do not establish pipeline impact.
| Stage | Useful measures | Question to answer |
|---|---|---|
| Promotion | Impressions, event-page visits, registrations, and registration source | Which channels and campaigns brought the intended audience to the event? |
| Live session | Attendance rate, time spent, questions or poll participation, and meaningful call-to-action actions | Did attendees engage with the material and take the next step the event was designed to support? |
| Replay | Plays, watch time, engagement or completion, and form fills | Did people who missed the live session or returned later consume the content? |
| Business outcome | Qualified follow-up, demo requests, trial activation, product adoption, retention, or expansion, where relevant to the event goal | Is there a credible relationship between the event and the outcome you set out to influence? |
Compare results by event type, audience, campaign source, and live versus on-demand consumption before setting internal targets. Wistia’s webinar benchmark article reports that about 40% of registrants attended Wistia-hosted webinars in its 2025 event data; that is one platform’s benchmark, not a universal attendance target. Wistia also says webinars created on or after July 24, 2025, include post-webinar registration analytics that distinguish people who registered before and after the event. Check the current platform documentation for the analytics available to your account.

Keep clips and the full event analytically distinct. In Wistia’s account of its own 2025 webinar, the live portion represented under 0.1% of total views but over 10% of watch time. That company-specific example illustrates how a short clip and a long event can contribute differently; it is not a general ratio. Platforms also define a view differently, so raw view totals across platforms are not necessarily comparable.
Turn the recording into useful content
Plan reuse before going live: choose a session that can stand on its own, secure the necessary permissions for any content or participants, and note sections that answer useful questions. Wistia’s 2026 webinar benchmark article reports that nearly 90% of surveyed marketers repurposed webinar content, and a third of webinars in its data still received plays three months after the live event. These are Wistia-reported findings, not a promise about how long an individual recording will attract viewers.

- Publish an on-demand replay. Give it a clear title and context so people who did not attend live know what the session covers. Use an appropriate landing page when you need to offer a next step or measure form fills.
- Embed it where the subject is already relevant. A related blog post or product education page can give the recording a useful home beyond the event announcement.
- Create shorter and medium-length clips. Pull out distinct explanations, demonstrations, or answers that make sense without the full session. Add context and a relevant destination rather than treating a clip as a complete substitute for the event.
- Use the material in follow-up. Share the replay or a relevant segment with attendees and registrants who could not join, then match the next step to their relationship with the product.
- Track each asset separately. Compare engagement, watch time, form fills, and campaign results by replay and clip. Interpret view counts carefully because platform definitions differ.
Wistia’s case study, “How One Webinar Drove a Year of Content,” describes using an on-demand recording on a landing page and in a related blog post, then publishing short and mid-length social clips over time. It is a practical example of a reuse workflow, not evidence that every webinar will produce the same reach or results.
What the available evidence can—and cannot—show
Wistia’s 2026 State of Video report draws on a survey of more than 900 professionals and analysis of over 13 million videos and 79 million hours of viewing data. Its figures cover multiple industries and Wistia platform activity, not SaaS companies alone. LinkedIn’s live-video comparisons and Automation Anywhere example are first-party platform reporting and a company case study. Such evidence can inform planning, but it does not establish that live video by itself causes SaaS revenue growth or guarantee a conversion rate.
For example, LinkedIn says Automation Anywhere reached its existing audience of more than 100,000 LinkedIn members with over 6% engagement during a product launch. Julian Foster, Automation Anywhere’s Global Head of Paid Social Media, said: “When the live broadcast started, within just a few minutes, we had about 400 positive comments,” according to LinkedIn’s case study. This is one company’s reported experience, not a target other brands should expect.

Common planning problems and fixes
- The event attracts registrations but few qualified prospects. Check whether the promise, promotion, and registration audience match the intended buyer or user. Do not judge success by registration volume alone.
- The product demo becomes a feature tour. Rebuild it around one audience problem and a workflow that resolves it. Remove details that do not help viewers understand that task.
- Engagement is low. Revisit whether the format gives the audience a reason to participate. Add planned Q&A or a relevant interaction, and make the session’s purpose clear before attendees arrive.
- Promotion is rushed. Assign distribution and campaign tagging during event planning, not after production. Use consistent tagged links so sources can be compared.
- Follow-up is generic. Separate attendees, no-shows, and replay viewers where your tools allow it, then send a next step that fits their behavior and the event objective.
- The recording gets little continued use. Give the replay a relevant landing page or blog home and extract self-contained clips. Track those assets separately from live attendance.
- View totals seem inconsistent across platforms. Check how each platform defines a view and compare watch time and engagement alongside totals; do not treat cross-platform views as directly equivalent.
