Electronic credentials can be configured for selected people or groups, but the available evidence does not establish that UK businesses are broadly switching or quantify adoption. Whether a system is worthwhile depends on a site’s risk assessment, door and fire-safety requirements, day-to-day usability, cyber risks and failure plan.
What keyless access control can—and cannot—do
“Keyless” covers more than one kind of system. A commercial keypad door lock may open with a PIN, while a managed business access control system may use PINs, cards or other tokens, mobile credentials, biometrics, or a combination. Some systems can manage permissions across multiple access points; the functions available depend on the system and its configuration.

Workplace systems can be designed to limit entry to selected users or groups and specified times. That may help a business manage different areas, working hours, staff changes or visitors without relying solely on issuing physical keys. It does not by itself prove that administration will be cheaper, security will improve, or a particular credential type is best. NSI outlines access methods and design factors in its access control guidance; ProtectUK also advises defining requirements before selecting a system.

Why a business might consider moving away from keys
- Changing permissions: Where people need access to different doors or at different times, an electronic system may allow permissions to be assigned by user or group and adjusted as needs change.
- Several access points: A business with multiple doors or secure areas may value managing credentials and permissions as part of a coordinated system rather than handling each door independently.
- Staff and visitor processes: A planned system can support defined procedures for staff, visitors and customers, including how access is issued and what happens when it is no longer needed.
- Integration: Depending on the design, access control may work alongside alarms, CCTV or other security measures. Buyers should confirm the actual compatibility and response they need rather than assume integration is included.
These are potential operational reasons, not measured outcomes. The benefit depends on the site, configuration and the quality of access-management procedures.
Start with the site and its risks, not the lock
ProtectUK recommends assessing risk and defining an Operational Requirement before choosing access control. That means documenting what the business needs the system to do, rather than starting with a preferred product or credential. NSI likewise identifies the number and type of access points, required security, access times, controls, video surveillance needs and the organisation’s activities as design considerations.

- Map the doors: Record external and internal access points, sensitive areas, busy entrances and doors on escape routes. Note the door and existing hardware, not just the desired credential.
- Define users and timing: Identify who needs access, to which areas and at what times. Include staff, visitors and customers, and consider peak traffic so entry and exit do not create undue effort or delay.
- Set the security objective: Describe the risks the system is intended to address and the required level of control. Decide how lost or compromised credentials and staff departures will be handled.
- Specify interactions: Document whether the system must work with alarms or CCTV and how it should respond to a fire alarm, power loss or network outage.
- Assess and document: Have a competent specialist evaluate the site and proposed design. NSI describes documented risk assessments and approval certificates associated with installations by approved companies; NSI approval is not established as a legal requirement for every installation.
Choose credentials and operating procedures together
Credential choice is only one part of the design. NSI describes PINs, tokens such as swipe or proximity cards, and biometrics as possible workplace access methods. A system may also use mobile credentials, depending on the product. Compare options against the people who will use them and the site’s security needs; the evidence here does not rank one technology as universally best.

ProtectUK highlights policies for staff, visitors and customers, procedures for changing PINs, and contingency planning for compromised access. It also advises regular changes to mechanical PIN codes. A system is only manageable if the business knows who is responsible for issuing, reviewing and removing access, and how a compromised credential is handled.

A standalone keypad lock is not automatically equivalent to a managed commercial system. Before buying a commercial keypad door lock, check that its capabilities, door compatibility, operating procedures and failure behaviour meet the documented requirement.
Safe exit and fire-safety responsibilities
Security must not prevent safe escape. NSI’s guide to NCP 109 Issue 4, dated 24 March 2026, says that where electronic access control is fitted to doors that are part of a means of escape, secure operation must be balanced with immediate safe exit through careful assessment and correct hardware. Confirm door suitability, escape-route operation and fire-alarm interaction with a competent specialist; do not assume that a lock suitable for an ordinary entrance is suitable for an escape door.

Jurisdiction matters. The UK government’s fire-safety collection, published 6 January 2026, states that businesses operating non-domestic premises in England must assess fire risk, take measures to protect people, provide appropriate alarms and ensure safe evacuation. The page directs readers to separate guidance for Wales, Scotland and Northern Ireland, so England’s guidance should not be treated as UK-wide rules.

Network-connected access systems can introduce risks beyond the door itself. NPSA and NCSC guidance warns that connected security technologies may be exploited and could put organisational data and assets at risk. Access systems may process personally identifiable information, biometric information or data that reveals patterns of life. This is a reason to assess a specific system and its controls—not proof that any particular product is insecure.

Before procurement, ask the supplier:
- What information does the system collect, where is it stored, and how long is it retained?
- How are user accounts, administrator permissions and credential changes controlled?
- What security updates and support are provided, and for how long?
- Can the access system be separated from other business networks, and how is remote access protected?
- What is the procedure for a security incident or a suspected credential compromise?
- What happens to each door during a power failure, network outage or system fault, and how can the business maintain safe, authorised access?
DSIT’s enterprise connected-devices research, published 9 May 2022 and updated 12 April 2023, includes entry systems among business-connected devices and reports IT-professional concerns about connected-device security. It is context for risk management, not evidence of physical access-control adoption. The government’s consumer connectable-product security requirements have applied since 29 April 2024; that consumer regime does not prove that a commercial installation or named product meets a particular security standard.
How to compare a proposed system
Request proposals against the same documented requirement so that comparisons cover more than the lock or credential. Check:
- the risks addressed and the security level offered;
- credential issuing, replacement and revocation, including visitor and staff-leaver processes;
- usability and throughput at busy times;
- compatibility with the doors and hardware being secured;
- safe egress and fire-alarm behaviour;
- integration with alarms, CCTV and other controls;
- cyber and privacy protections, updates and supplier support;
- operation during connectivity, power or system failure;
- installation, commissioning, maintenance, documentation and training; and
- total ownership cost over the period the business expects to use the system.
The available evidence does not establish comparative product prices or identify a best system. NSI approval processes may be one signal for buyers to investigate when assessing an installer, but the business still needs to verify that the proposed design meets its site-specific requirements.
