To give digital photos the best chance of remaining accessible for decades, keep multiple copies in separate places or on separate media, organize files with useful names and context, check that they open at least once a year, and make fresh copies on current storage media about every five years—or sooner if a copy becomes inaccessible. No single drive or online account guarantees access for decades; preservation is ongoing maintenance.
Build a collection you can identify and navigate
Start by gathering the files into a collection whose folders and contents make sense to you. A folder named for a year, event, or family branch is more useful than relying only on a device’s default folder names. Give individual photos descriptive filenames where practical, and retain identifying information that explains who or what appears, where the image was made, or what was happening.

The Library of Congress recommends descriptive filenames and keeping information that helps explain what a photo depicts in its personal-archiving guidance for digital photos. Context is part of preservation: an image that still opens but can no longer be identified may have lost much of its value.

Maintain more than one copy, and avoid keeping every copy on the same device or in the same place. The Library of Congress suggests one copy on a computer or laptop and additional copies on separate media; its examples include portable hard drives and internet storage. An external hard drive for photo backup can serve as one additional copy, but a single drive is not a complete long-term plan.

Think about what happens if a device is lost, damaged, or unavailable, or if you cannot access an online account. Separation helps ensure that one incident or access problem does not take out every copy. The Library of Congress names both portable drives and internet storage as possible media, but does not rank products or providers; choose arrangements you can access, check, and refresh.
Check the files at least once a year
At least once a year, check that your stored photos can still be read. The Library of Congress puts it plainly: “Check your photos at least once a year to make sure you can read them.” Open a selection of files from each storage location, rather than assuming a folder or backup is usable because it is present.

If a file will not open, or a device or account is no longer accessible, treat that as a reason to recover what you can and create a fresh copy from a readable version. A check is useful only if you act on problems instead of leaving the failed copy as your sole record.
Refresh storage about every five years
Plan to make new copies on current storage media about every five years, or sooner when necessary. The Library of Congress gives this as preservation guidance for saved copies, including in its reformatting FAQ. This is a maintenance interval, not a promise that any particular device will fail after five years or remain safe until then.

When refreshing, copy from a version you have confirmed is readable, place the new copy on current media, and check that the transferred files open. Keep more than one separated copy after the refresh; replacing an old medium with a single new one would leave the collection dependent on just one copy.
Keep originals and useful image information
Where practical, retain the original files as well as any working or converted versions, along with available embedded information. EXIF metadata can include details associated with how a photograph was made. The National Archives and Records Administration (NARA) recommends preserving available EXIF information for the federal records covered by its digital photographic records transfer guidance. That is an archival example, not a binding household rule, but it supports a sensible personal practice: avoid discarding information that may help identify or interpret an image.

Do not assume one file format will work forever
File extensions alone do not guarantee long-term access. A file in an unknown or obsolete format may be difficult to render if the software or codec needed to open it is no longer available. The Library of Congress discusses this risk in its guidance on bit-level preservation and long-term usability.

That does not mean every household should convert every photo to one prescribed format. NARA’s lists of accepted formats, including TIFF and JPEG, apply to specific federal records-transfer requirements, not to every personal collection. The Library of Congress describes institutional preservation more broadly, including attention to sustainable formats, metadata, storage monitoring, and digital-content packaging and ingest in its digital preservation program. For a personal archive, keep usable files and their context, retain originals where practical, and revisit whether your collection remains accessible as software and devices change.

A simple recurring routine
- Organize: Put photos into a collection you can navigate, use descriptive filenames, and retain information that identifies the images.
- Separate copies: Keep multiple copies on different media or in different places, such as a computer plus a portable drive or internet storage.
- Check yearly: Open or otherwise verify stored files at least once a year.
- Refresh periodically: About every five years, make fresh copies on current media; do it sooner if a device, account, or file becomes inaccessible.
- Preserve context: Keep original files and available embedded information where practical, and ensure transferred copies remain readable.
The Library of Congress summarizes the principle in its Preserve Your Photographs educational bookmark: “The best preservation measures for digital files of all kinds (image, audio, video, data) are good organization, redundancy (backups), and regular migration.”
