Check user limits, inventory and project features, and the current subscription cost before choosing. Intuit’s plan descriptions support those product-fit conclusions; they are not independent product tests.
What QuickBooks Online can do for a small business
QuickBooks Online is a subscription accounting product. Intuit lists functions such as transaction tracking, invoicing, receipt capture, sales-tax calculations and financial reports, with additional features varying by plan. Its materials describe workflows for service businesses, retail and e-commerce, and field services. Whether those features fit your business depends on the work you need to manage and the plan you choose.

Intuit’s guide to getting started puts the central issue simply: “Every small business has different needs.” The useful question is not whether QuickBooks suits small businesses in general, but whether a specific plan covers your users and workflows.

Intuit’s plan descriptions distinguish the tiers by included features and billable-user limits. The table reflects Intuit’s U.S. plan and support pages; user limits are from a support article updated August 17, 2026. Features and packaging can change, so confirm them on the current plan page before subscribing.
#1 Best Overall
| Plan | Billable users | What Intuit lists | Likely fit based on listed features |
|---|---|---|---|
| Simple Start | 1 | Transaction tracking, invoicing, receipt capture, sales-tax calculations and reports | One-person business with basic accounting needs |
| Essentials | 3 | Simple Start features plus bill management, recurring transactions, accounts-payable reporting and enhanced billing and reporting | Businesses needing multiple users or service-oriented billing workflows |
| Plus | 5 | Essentials features plus inventory tracking and project profitability; class and location tracking, with a combined limit of 40 | Product sellers or businesses that need project profitability tracking |
| Advanced | 25 | Intuit lists unlimited class and location tracking | Businesses that need its additional user capacity and features |
Essentials may suit a service business that invoices for time and needs bill management. For product businesses, the key distinction is that Intuit lists inventory tracking for Plus and Advanced, not Simple Start or Essentials. Class and location tracking likewise begin at Plus; Advanced supports unlimited tracking, while Plus has a combined limit of 40.

- Count the people who need access. Intuit lists limits of 1, 3, 5 and 25 billable users from Simple Start through Advanced. Choose based on the number of users who need to be added, not just the business’s headcount.
- Check for inventory and project tracking. If you need inventory tracking or project profitability, Intuit lists those features in Plus and Advanced.
- Match billing and reporting to your workflow. Essentials adds bill management, recurring transactions and accounts-payable reporting; Intuit describes it as an option for businesses with service-oriented workflows.
- Compare total current cost. Use current subscription and add-on costs rather than assuming a displayed introductory offer will still apply.
Intuit’s materials establish advertised features, plan limits and displayed prices; they do not independently establish how easy the software is to use, the quality of customer support, how accurately it will handle a particular company’s books, or how much time it will save. Those outcomes depend on your business and setup.
