I Built an AI Agent That Remembers Why a Client Changed Their Deadline

RecallMeet is a prototype for retaining meeting notes and recalling relevant client context before the next conversation. Its TechNova deadline example is illustrative, not a verified customer case.

RecallMeet is a prototype designed to carry client meeting context forward: it retains notes after a meeting, recalls relevant details before the next one, and uses them to prepare. In Kotha Varuni’s illustrative TechNova scenario, added security requirements explain why an expected delivery timeline shifted from five months to six. The example shows the idea; it is not a verified customer case or evidence of production performance.

Why the deadline changed in the example

Imagine a client, TechNova Ltd., discussing a project with an illustrative budget of ₹8 lakh and an original five-month delivery timeline. The client’s main concern is security, with encryption and two-factor authentication listed as requirements. When that additional security work is taken into account, the expected timeline moves to six months.

The value of remembering the discussion is not simply knowing that the deadline changed. It is retaining the context that explains the change, so the next conversation can start with the reason rather than reconstructing it from scratch. The company name, budget, requirements, and timeline here are details from Varuni’s example, not independently verified client information or market statistics.

How RecallMeet carries context between meetings

Varuni describes the workflow as Retain → Recall → Prepare. Meeting notes go into a memory layer after a conversation; before a later meeting, the application retrieves relevant context and turns it into preparation points. The aim is to avoid sending the entire history of prior meetings with every request.

Retain

After a meeting, the application sends notes to Hindsight with context tied to the client. Hindsight’s documentation describes retain as storing content and says the system analyzes retained content to extract facts, entities, and relationships. That is the vendor’s description of its processing, not a guarantee that every detail will be captured or recalled correctly.

Recall

Before another meeting, the application queries memory for information relevant to the client and upcoming conversation. The goal is to surface details such as earlier concerns or why a timeline changed, rather than replay every prior note.

Prepare

The application uses recalled context to form preparation points. In the TechNova illustration, useful context would include the security requirements and the additional work associated with the revised estimate. A memory system can supply context, but the prototype description does not establish that its preparation output was evaluated for accuracy.

What Hindsight contributes

Hindsight is the long-term memory layer in Varuni’s design. Its official repository describes three operations: retain content, recall relevant memories, and reflect to generate insights from memories. The project description focuses on retaining and recalling meeting context, while the vendor documentation also names reflect as an available operation.

Those operations describe the system’s interface and intended workflow. They do not, by themselves, establish that a memory agent will always retrieve the right client detail or identify the true reason for a change. Hindsight’s retain documentation explains the vendor’s approach to analyzing stored content; retrieval quality in a particular application still depends on its data, queries, safeguards, and evaluation.

Implementation and the cross-client retrieval safeguard

The reported prototype uses Python and FastAPI on the backend, with HTML, CSS, and JavaScript for the frontend. Environment variables hold configuration and API credentials. Its interface offers four actions:

  • Remember a meeting
  • Recall past context
  • Prepare for the next meeting
  • View meeting history

Varuni also describes an application-layer client filter and deduplication step. The concern is that a broad semantic query might return a memory associated with another client; filtering and removing duplicates are intended to reduce that risk. This is a safeguard in the described prototype, not a guarantee of strict client isolation or a substitute for access controls and testing.

What the prototype does not establish

Varuni explicitly presents RecallMeet as a prototype and identifies several areas for further work. The article does not report a production deployment, measured retrieval accuracy, or a tested authentication system. It also does not establish that the example’s client data represents a real engagement.

  • Authentication: Further work is needed to protect access to client context.
  • Structured meeting extraction: The prototype could be extended to extract meeting information in a more structured way.
  • Memory management: The author identifies memory management as unfinished work.
  • Commitment-aware preparation: Future preparation could better account for commitments and follow-ups across conversations.

Possible future context includes unfinished commitments, follow-ups, changed requirements, preferences, deadlines, and decisions. These are proposed capabilities, not features the article says have already been completed.

The practical question the agent is meant to answer

A useful relationship-memory system must connect a past event to the present conversation: What were the client’s earlier concerns? What commitments need review? Why did the deadline change? Varuni captures that purpose in the question: “What happened before, and why does it matter now?”

For RecallMeet, the answer begins with retaining meeting context and retrieving it before a later interaction. Whether the recalled explanation is complete and belongs to the right client depends on implementation safeguards and evaluation that the prototype account does not quantify.
