The harder part begins when a second device can change the same data. At that point, “sync” is not just copying records—it requires a clear policy for detecting and resolving competing edits.
This is an architecture account, not a claim about a particular database or implementation. The exact storage engine, sync transport, and conflict policy depend on the planner; the underlying trade-offs are common to local-first apps.

Why start without a traditional backend?
A planner’s essential job—showing tasks, letting someone edit them, and saving those edits—does not inherently require a request to a remote server every time. A local-first design stores data on the device, so the app can remain useful when the network is unavailable and can avoid making routine interactions depend on server availability.
That does not mean the app has no backend forever, or that local storage is automatically safe across devices. It means the device is an active place to read and write data, rather than merely a window onto a server. Apache PouchDB documents this pattern for browser applications: it stores data locally for offline use and can synchronize with compatible servers. That is one documented example, not evidence that this planner uses PouchDB. Apache PouchDB

Local-first changes the initial question from “How do I keep the server available?” to “How will this device preserve its own data, and what should happen when another copy exists?” The first question is manageable for a personal planner. The second becomes unavoidable as soon as synchronization is introduced.
What changes when synchronization arrives?
Each device can hold a replica: its own copy of the planner’s data. When a device reconnects, sync has to transfer changes between replicas. If only one copy ever changes at a time, this can appear to be straightforward copying. But two devices can be offline, independently edit the same task, and reconnect later. Neither device necessarily has the other’s latest edit when it makes its own.

Apache CouchDB describes document updates as optimistic: a client submits an update based on a revision, and can receive an edit conflict if another client has already changed that document. Its documentation puts the design assumption plainly: “The CouchDB storage system treats edit conflicts as a common state, not an exceptional one.” That is a useful way to think about multi-device editing even when an app uses a different storage system. What should happen when two devices edit the same task?
Consider a task whose due date is Monday on a phone and Tuesday on a laptop. If each device changes the date while disconnected, sync must decide what the user will see. A system may deterministically select one revision as the winner, but a consistent winner is not necessarily the answer the user intended. CouchDB can retain conflicting revisions in history while selecting a winning revision; its documentation leaves the application to merge, revert, or otherwise handle the alternatives. That distinction matters: a database’s conflict mechanism can tell the app that multiple versions exist and make them recoverable, but product behavior still needs to be chosen. PouchDB states, “With PouchDB, conflict resolution is entirely under your control.” Apache PouchDB guide, “Conflicts”

Keep one version automatically
The planner can accept a deterministic winner, such as the revision the storage or replication layer selects. This keeps the interface simple, but can hide a meaningful edit unless the app preserves and exposes the alternative. A tie-breaking rule is a consistency mechanism, not proof that the selected value is semantically correct.

Merge fields when the edits do not overlap
If one device changes a task’s title while another changes its due date, an application may be able to combine the two changes. That requires the app to understand its data model and define which fields can safely be merged. If both devices change the same field, the app still needs a rule or a user-facing choice; “merge” does not remove every conflict.

Keep alternatives for review
The planner can preserve both revisions and let the user choose or reconcile them. This protects information and makes the decision visible, but adds interface and recovery work. A personal planner may need a simple conflict notice and a way to inspect alternatives rather than a complex collaboration workflow.

Synchronization can be directional or bidirectional. In one-way replication, changes flow from a source to a destination; in bidirectional replication, both sides can contribute changes. These are different user expectations, not interchangeable implementation details. A planner that only pushes device changes to a central copy should not imply that every other device’s edits are immediately reflected back. Apache CouchDB replication documentation
For a user, the useful promise is concrete: which devices share data, whether edits travel both ways, what happens while offline, and what the app does if both copies change. A “sync complete” indicator can confirm transfer without guaranteeing that a conflict was resolved in the way the user prefers.

Decisions to settle before adding sync
- Define the data unit. Decide whether a task, a whole list, or some other object is the unit that can conflict. Larger units can make unrelated edits collide; smaller units may require more coordination.
- Choose the direction of data flow. Specify whether replication is one-way or bidirectional and whether any device is authoritative.
- Detect competing edits. Establish how the system recognizes that two replicas changed from the same prior state, rather than treating the later arrival as automatically correct.
- Preserve recoverability. Decide whether losing or conflicting versions remain available for inspection or restoration.
- Set a resolution policy. For each kind of collision, choose an automatic merge, a deterministic choice, a user decision, or another explicit behavior.
- Design for interrupted transfers. Replication can fail partway through; resumable or repeatable sync should avoid turning a temporary connection problem into lost or duplicated work.
- Explain the behavior in the interface. Users need to know whether a device is offline, whether changes are pending, and when a conflict needs attention.
The practical lesson
Skipping a traditional backend can make a planner available offline and keep its core interactions close to the user. Adding sync changes the problem: the app now has multiple independently editable copies, and those copies can disagree. The engineering work is not complete when data moves between devices. It is complete when the planner has a deliberate, understandable answer for competing edits—and can recover the versions users may still need.
