Workforce management (WFM) systems can make routine work easier by connecting schedules, timekeeping, leave requests, staffing information, and—in some products—payroll data. Employees may be able to check shifts, report hours, or request time off themselves; managers can review exceptions and coverage in a shared system. The benefit depends on the modules chosen, the organization’s rules and integrations, and whether people use the workflows consistently.
What workforce management software does
WFM software helps coordinate the operational work of getting people scheduled, recording when they work, managing absences, and planning staffing. Depending on the product, it may also include demand forecasting, task management, overtime controls, or data handoffs to payroll. There is no single feature bundle shared by every vendor.
Dayforce describes its software as helping organizations forecast demand, build schedules, track time and attendance, manage tasks, and keep labor aligned to budget. That is a vendor description of its offering, not a guarantee of a particular operational or cost result. Dayforce’s workforce management overview explains its stated scope.
WFM is not automatically interchangeable with either an HR information system (HRIS) or a basic scheduling app. An HRIS commonly holds broader employee records, while a standalone scheduler may focus on shifts. A WFM product may overlap with either, so check which operational modules and data flows are actually included. Product boundaries vary, as Dayforce’s product FAQ notes.

How WFM can simplify an employee’s day
Finding shifts and handling changes
When a system offers employee self-service, workers may be able to view schedules, submit availability, or request to pick up, release, or swap a shift. Whether those options appear—and whether a manager must approve them—depends on organizational settings and policy. Managers can use availability, skills, demand, and scheduling rules when building or adjusting coverage.
Recording hours without a paper handoff
Hours may be captured through a timesheet, mobile app, kiosk, or physical time clock. The software can then apply configured time and pay rules and pass time data toward payroll. This can reduce duplicate entry and manual calculations, but it does not make inaccurate punches or misconfigured rules correct automatically.
Requesting leave and seeing its effect
Employees may submit time-off requests and check available balances in the same system managers use to review absences and coverage. The workflow only reflects the organization’s actual policy if leave types, balances, approval paths, and applicable local rules are configured correctly.
How managers use shared staffing and time data
A manager may use a shared view of schedules, attendance, leave, and labor information to spot a missed punch, an absence that leaves a shift uncovered, or a potential overtime issue. Alerts and reports can make exceptions easier to find; forecasts can help teams plan around expected demand. These tools support decisions but do not guarantee lower labor costs or better outcomes on their own.

Some systems also connect operational tasks with workforce data or link to HR and payroll systems. The value of that connection depends on what data is exchanged, how often it moves, and whether the receiving system interprets it correctly. Workday, for example, describes a Time and Scheduling Hub for time tracking, scheduling, and absence; a testimonial on its product page, attributed only to “Managers,” calls it a “one-stop shop” for those functions. That is a vendor-page testimonial, not an independently verified result. Workday’s product overview also reports that customer WSECU enabled self-service workflows and cut paper forms by 75%; the page does not state the year, and the figure is a vendor-reported customer result, not a typical or promised outcome.
How a time clock connects to payroll
A physical clock is one way to capture time at a worksite, not a workforce-management system by itself. In a connected workflow, a worker records a punch on the clock, the timekeeping system checks it against configured rules, exceptions are reviewed, and approved time data is sent to payroll. A time clock can reduce the need to transcribe paper records, but payroll accuracy still relies on correct punches, policies, calculations, and integration settings.

Some vendors also offer mobile and kiosk capture. For example, ADP’s workforce management page describes time capture options including biometric clocks and kiosk apps. Dayforce also refers to time-clock solutions on its workforce management page. Availability and suitability depend on the product and workplace; no specific clock model is implied here.

Compare systems against real workflows rather than relying on a feature list. Ask a vendor to demonstrate the same sequence your staff would follow, from a shift change to payroll handoff. Useful comparison points include:

- Scheduling and forecasting: Can it build schedules around demand, availability, skills, and your rules?
- Employee access and time capture: Can workers use the required mobile, kiosk, timesheet, or clock-based options?
- Leave and overtime: Can employees request leave, managers review coverage, and the system surface relevant overtime exceptions?
- Integrations: How do time, employee, and payroll data move between this system and your HRIS or payroll provider?
- Rules and reporting: Can you configure pay and scheduling rules, approval paths, reports, and exception alerts for your operation?
- Implementation needs: What worker data, policy decisions, approvals, and ongoing administration are required to keep the system accurate?
Test scenarios such as a shift swap, missed punch, absence, overtime alert, and payroll handoff. A clear demonstration should show which role acts at each step, what the system records, and where a manager must intervene. ADP’s workforce management explainer discusses the range of functions and configuration considerations; Oracle’s UK workforce management page describes scheduling, time capture, absence, payroll-related functions, and worker self-service.
Where the convenience comes from—and where it stops
The practical advantage of WFM is a more connected route through recurring tasks: workers can submit information directly, managers can review shared records, and approved time may flow onward instead of being re-entered. That can simplify a workflow when the needed feature is available, configured for the organization, integrated with other systems where necessary, and used consistently.
Software cannot by itself settle unclear leave policies, fix incomplete worker records, resolve every scheduling conflict, or ensure that a payroll integration is configured correctly. Since vendor descriptions establish available feature types rather than independent proof of universal productivity gains, treat convenience and outcomes as implementation-dependent.
