Validate email addresses in layers: accept plausible syntax, treat domain or mail-routing checks as signals rather than proof, and use a confirmation message when you need evidence that a person can receive email. A narrow regular expression or SMTP probe can reject valid signups without proving that a mailbox belongs to the person entering it.
What email validation can—and cannot—tell you
Separate three different questions. A syntax check asks whether an input resembles an address the application accepts. A domain or routing check looks for signs that mail may be handled there. A confirmation message tests whether the person can receive a message and act on it. These checks make different claims; passing one does not establish the next.

- Syntax: Is the input structurally plausible under the formats your product and sending system support?
- Routing: Are there domain or mail-server signals suggesting that delivery may be possible?
- Access: Can the registrant receive and use a message sent to that address?
RFC 5321 cautions that reliably determining an invalid address can be difficult and says users are typically better served by delivering mail that can be delivered. That supports a conservative signup policy: treat uncertain results as uncertain, and give the user a way to correct or confirm an address rather than silently rejecting it. RFC 5321

Email syntax is more varied than a basic [email protected] pattern implies. RFC 5322 defines structured address forms and documents obsolete syntax; Microsoft likewise notes that email addressing has many variations. A hand-written regular expression may be useful for catching obvious input mistakes, but it should not be presented as a complete standards validator. Build the check around the actual capabilities and policy of your product, not an over-restrictive character allowlist. In particular, do not assume every domain must contain a dot: RFC 5321 notes that a top-level domain may be used by itself. A product may choose narrower limits for documented compatibility reasons, but should not mistake that policy for a universal rule about valid addresses. RFC 5321
Make errors actionable and avoid silent corrections
When an input has a clear structural problem, explain what to check without accusing the user—for example, “Check that the address includes an @ sign.” Do not silently rewrite an address in ways that could change its local part. RFC 5321 emphasizes caution when correcting irregularities because a system may not have enough information to know what the user intended. RFC 5321
Use confirmation to check access, not syntax
If your service needs evidence that a registrant can receive email at an address, send a confirmation message and require the user to complete the stated action. Describe this accurately as a check of access to the mailbox or message destination—not as proof that the address is universally deliverable, permanently controlled, or guaranteed to receive future mail. The available protocol guidance does not establish one universally optimal confirmation sequence.

Keep the recovery path clear for people who made a typo or cannot find the message: let them review and correct the address, and explain how to request another message if your service supports resending. These are product-design choices; the relevant standards establish the limits of address checks, not a single required signup experience.
Do not use SMTP recipient checks as a universal gate
SMTP commands such as VRFY and EXPN are not dependable universal signup tests. Servers may disable them for security or non-disclosure reasons, and their behavior varies. RFC 5321 specifically warns that a server which checked only syntax must not return a successful VRFY response in a way that implies the mailbox was verified. A DNS or SMTP response therefore should not be described as proof that an inbox exists or belongs to the registrant. RFC 5321
Decide deliberately whether to support internationalized addresses
Internationalized email addresses have a standards path through the SMTPUTF8 extension, but support depends on the sending client and server supporting and negotiating that capability. Before accepting such addresses as a supported feature, check the complete outbound mail path rather than only the signup form’s parser. RFC 6531

Keep sender authentication separate from signup validation
SPF, DKIM, and DMARC authenticate or align the domain used by your application to send mail; they do not establish that a user-entered mailbox exists. Do not treat a well-configured sending domain as a validation result for the recipient address.
Google says all senders need SPF or DKIM, while bulk senders need SPF, DKIM, and DMARC. NIST also recommends SPF, DKIM, and DMARC among trustworthy-email technologies. Check the current requirements for your sending provider and configure authentication for your own sending domain. Google: email sender guidelines NIST SP 800-177 Rev. 1

A conservative implementation checklist
- Define your supported address and sending capabilities. Decide whether internationalized addresses are supported by the full outbound path, and document any product-specific limits.
- Check basic structure without claiming certainty. Catch clear mistakes, but do not treat a simple pattern as a complete standards validator.
- Return a useful error only for clear failures. Explain what to review and avoid silently changing user-entered text.
- Treat domain and SMTP observations as signals. Do not reject a signup or claim mailbox ownership based solely on a probe whose result may be hidden or inconclusive.
- Use confirmation when access matters. Tell users what the confirmation establishes and provide a reasonable correction path.
- Authenticate your own outbound mail. Follow the current requirements of your sending provider for SPF, DKIM, and DMARC; keep that work separate from recipient validation.
How to evaluate a validator
When comparing an in-house check or external service, assess what it actually does rather than relying on a broad “valid” label.
- Syntax coverage and false-rejection risk: Which address forms does it accept, and what does it reject?
- Type of result: Is the result syntactic, based on domain or routing signals, or based on user confirmation?
- Internationalized-address support: Does it account for SMTPUTF8 across the sending path?
- Privacy and retention: How are submitted addresses handled and retained?
- Cost and integration burden: What would adoption require for your product?
Protocol guidance supports distinguishing syntax, routing signals, and SMTPUTF8 capability; it does not establish comparative vendor accuracy, privacy practices, pricing, or a universally best validation flow. Evaluate those points against your own requirements rather than treating them as settled by an address-check result.
