Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Fix the driver behind crashes, sound loss and screen glitches3Clear out junk files and repair common Windows errorsStart with a work task employees need to perform, not with a camera or a video platform. Set a clear, observable learning outcome, choose recorded, live, or mixed instruction to fit the task, and give employees a chance to practise and receive feedback. Then check whether they can apply what they learned and update the material when the work changes.
Start with the task and the learning outcome
Identify what employees should do differently after training. Be specific: for example, “enter a customer return correctly in the new system” is more useful than “understand returns.” Identify the role or roles involved, the errors or delays the training should address, and how an employee can demonstrate the skill.

Ask both managers and staff where people get stuck. Their input can reveal whether the need is a new skill, a confusing procedure, a system change, or simply a reference employees need to revisit. Canadian government accessibility-training guidance recommends assessing performance, skills, and knowledge, then aligning measurable outcomes with job roles.

Choose recorded, live, or mixed video
Video is one part of a training design, not a complete training plan by itself. ISO/IEC/IEEE 26516:2026 covers instructional videos used on their own as well as video segments within larger information products. University of Washington DO-IT recommends offering multiple ways to engage with course information, including text, video, audio, and images.

| Format | Consider it when | Plan for |
|---|---|---|
| Recorded demonstration | The process is repeatable and employees may need to watch at different times or revisit particular steps. | Captions and a transcript, privacy of screens and surroundings, keeping the recording current, and a way to practise or ask questions. |
| Live video session | Learners need discussion, immediate questions, or a facilitated activity. | Scheduling across shifts or time zones, participation and access needs, meeting security, and whether recording is appropriate. |
| Mixed approach | The task needs reusable instruction as well as interaction, coaching, or feedback. | A clear relationship between the recording and live activity, accessible materials in both, and the effort to keep each current. |
These are practical selection criteria, not evidence that one format is universally more effective. Choose by comparing learner access, opportunities for interaction and practice, scheduling flexibility, assessment, privacy, and the effort needed to maintain the material.
Plan and make a focused lesson
Keep a recording focused on one task or a small set of connected actions. Show the process clearly, explain important decisions as they happen, and call out common errors or checks. If the employee needs to use a written procedure while working, make the video a companion to those instructions rather than a substitute for them.

- Auto-Light Balance: RightLight boosts brightness by up to 50%, reducing shadows so you look your best—compared to previous-generation Logitech webcams (1)

- Outline the demonstration. List the actions in order, the decision points, the likely mistakes, and the result that confirms the task is complete.
- Prepare a clean demonstration environment. Remove or obscure customer, employee, and business information that should not appear in the recording. Check both the application window and anything visible in the background.
- Record the task and explain relevant visuals. Use narration to describe meaningful screen changes, choices, and warnings; do not assume a viewer can infer them from the image alone. Use readable titles or graphics when they clarify a step.
- Review before sharing. Confirm the demonstration is understandable, the narration can be heard, key visual information is described, and no sensitive data is exposed.
A dedicated microphone may help capture narration, but it is optional; no specific device is required. ISO/IEC/IEEE 26516:2026 identifies narration as one element of instructional video, alongside other design considerations.
Build accessibility into the material
Make it possible for employees to understand and review the lesson in more than one way. Provide captions and a transcript, use plain language where appropriate, make on-screen text readable, and do not communicate an essential instruction through color or visuals alone. Describe important visual information aloud and provide written steps or another review option.

Ask learners what accommodations or formats help them participate. Accessibility Standards Canada’s CAN-ASC-5.2.1:2026 addresses accessible platforms and materials, accessible delivery, adaptation to participant needs, and plain language in its stated scope. It should not be treated as a rule governing every small business. Its two-year minimum training interval applies to the specific accessible-service-delivery scope covered by that standard, not as a universal refresher schedule. Check the requirements that apply to your location, industry, workforce, and training subject.
Give employees practice and feedback
After the demonstration, have employees use the skill. Pick an activity that resembles the actual job rather than relying only on attendance, video completion, or play counts.

- Ask the learner to carry out the procedure in a practice environment.
- Use a short quiz or case study to check a decision that matters on the job.
- Ask for an example of completed work, with sensitive information removed where appropriate.
- Give specific feedback and let the employee correct errors or try again.
Canadian training guidance includes interactive elements such as quizzes and case studies; DO-IT recommends practice, feedback, multiple ways to demonstrate learning, and opportunities to correct mistakes. Match the assessment to the outcome: a knowledge question can check recall, but only a task demonstration shows whether the employee can carry out a procedure.
Deliver video securely
Use an organization-approved conferencing or hosting service suited to the sensitivity of the material. Decide who may join, view, download, or share recordings, and set expectations for screen sharing and recording before a session begins.

- Assume that shared screens or recordings could expose information. Remove sensitive data before demonstrating a system, limit access to saved videos, and record only when there is a clear need.
- Secure devices and remote connections employees use to reach business systems. Train staff on remote-access practices and use multifactor authentication for sensitive network access.
The Canadian Centre for Cyber Security recommends approved video-conferencing applications, private meeting IDs and passwords, strong passphrases, multifactor authentication where available, and checking links. US Federal Trade Commission small-business guidance also emphasizes software updates, company-wide conferencing practices, caution with recordings and screen sharing, secure remote access, and multifactor authentication for sensitive systems. These are security recommendations, not a complete legal analysis for every jurisdiction.
Check learning and maintain the material
After training, check whether staff can perform the task and ask where the explanation or practice fell short. Use that feedback to revise confusing steps. Track completion when it is useful for the business or required by an applicable obligation, but treat completion data as a record of participation—not proof that the skill transferred to the job.
Assign someone to review the video and related instructions when the workflow, software, policy, or relevant rules change. NIST SP 800-50 Rev. 1, published September 12, 2024, describes a learning-program lifecycle for organizations of different sizes and includes metrics and evaluation methods for improvement. It quotes the program objective: “The program should encourage behavior change as part of risk management and lead to developing a privacy and security culture in the organization.”
