How to Use Schoology Analytics: Course Reports, Usage Data, and Exports

Open a course and select Analytics for student and material activity. Administrators use Tools > Usage Analytics for organization-wide views and exports; time spent reflects tracked views, not attention.

Free tools Windows power users keep installed

One-click scans. No signup required.

To check activity in one class, open the Schoology course and select Analytics. To review activity across an organization or export usage data, an administrator can open Tools > Usage Analytics. These reports measure recorded access and material-view activity—not attention or learning—and their update delays and time-tracking rules matter when interpreting them.

Choose the report that matches your question

Report Scope and detail Who can use it Freshness and output
Course Analytics One course; member-level summaries and material-level details, including access and submission information. Available from the course for users with the relevant access; local visibility can depend on institutional configuration. Documented to update hourly; reviewed in the dashboard.
Usage Analytics Organization-wide activity, including active users, sessions, created materials, and aggregate views and submissions. Administrators with the View School Analytics permission, within their associated buildings. Data may be up to 24 hours old; administrators can export a date range.

Use Course Analytics when you need to see which students accessed or submitted materials in a particular course. Use Usage Analytics for organization-level patterns and exports. PowerSchool describes Course Analytics as providing “insights into students’ Schoology use at the course level” (PowerSchool Schoology Learning documentation; publication date not displayed).

View activity for a course

  1. Open the course you want to review.
  2. Select Analytics.
  3. Scan the member dashboard. Its summary fields are Last Schoology Access, Last Course Material Access, and Total Time Spent. Use the section filter if you need to narrow the dashboard.
  4. Select a member to open the student detail report. Filter by material type as needed; the report can show material title, last access, submission status and date, total submissions, and total time spent.

Course Analytics is documented to refresh hourly. Timestamps use the account’s time zone, so confirm that setting before comparing activity times or drawing conclusions from a recent change. The official instructions are in PowerSchool’s Course Analytics guide.

Review organization-wide usage as an administrator

  1. Select Tools, then Usage Analytics.
  2. Set filters for schools or buildings, role type, and date range. Presets include the last 7 days, last 30 days, and last 12 months; a custom range can cover no more than 13 months.
  3. Choose the view that fits your question: active users, sessions, course materials created, or course-material breakdowns of views and submissions.

Active users are unique users within the selected period. Sessions include sign-ins, sign-outs, and returns after 30 minutes of inactivity. Usage Analytics data may be up to 24 hours old, includes mobile-app activity, and does not include Managed Assessments (AMP) data; assessment activity and results are available in Assessment Reports. The feature’s availability is constrained by the administrator’s View School Analytics permission and associated buildings. See PowerSchool’s Usage Analytics documentation.

Export a Usage Analytics report

A system administrator can export usage data captured after August 1, 2019. The export covers web, mobile web, and the Schoology iOS and Android apps, across organization roles.

  1. Go to Tools > Usage Analytics.
  2. Select Actions > Export Report.
  3. Choose a date range and select Next.
  4. Select Export Report to confirm. The initiating user receives an email when the export is ready.

The downloaded file is a GZip archive and may automatically expand to a CSV. Each CSV row represents a user, action, and day, with the total action count for that day and a UTC timestamp for the most recent matching action that day. Time-spent values appear in seconds but are rounded down to whole minutes. Follow the steps in PowerSchool’s Usage Analytics guide.

What Schoology’s time-spent figure does—and does not—mean

Course Analytics reports time in DD:HH:MM format. Tracking starts when a course material is opened, checks activity every 60 seconds, and rounds down to the nearest minute. Each continuous view is capped at 15 minutes. On the web, tracking is tied to the material tab being visible and stops when the user switches tabs, minimizes the window, or navigates away. In the mobile app, tracking stops when the app is backgrounded or closed. PowerSchool documents these limits in its Course Analytics guide and Usage Analytics guide.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • A 2-minute-20-second view displays as 00:00:02 in Course Analytics, while the Usage Analytics export represents it as 120 seconds.
  • A continuous 20-minute view is reported as 15 minutes because of the cap.
  • A visible browser tab can continue to count even if the student is not actively paying attention. Elapsed time shown in assessment grading can also differ from Time Spent because of the cap.

These are vendor-documented examples and rules, not independent measurements. Treat the number as tracked material-view time, not proof of focused effort, comprehension, or learning.

When a report seems incomplete or out of date

  • A student or course is missing: Check that you opened the intended course and, for an organization report, that your permission and associated buildings include the relevant school.
  • A recent action is absent: Allow for the documented hourly Course Analytics refresh or the possibility that Usage Analytics is up to 24 hours behind.
  • Times appear shifted: Course Analytics timestamps use the account’s time zone; export timestamps for the most recent matching action are in UTC.
  • Assessment activity is missing from Usage Analytics: Managed Assessments (AMP) data is excluded there; consult Assessment Reports for assessment activity and results.
  • Time seems lower than elapsed time: The minute rounding, 15-minute continuous-view cap, and visibility/background rules can account for a difference.

PowerSchool’s help pages do not display publication dates or release versions. Navigation and availability described here reflect the documented interface; local permissions and configuration may affect what a user sees.
