How to use Lark for team messaging and collaboration

A practical guide to using Lark as a connected team workspace—from Messenger conversations to shared Docs, Calendar meetings and Tasks with clear owners and deadlines.

Free tools Windows power users keep installed

One-click scans. No signup required.

Use Lark as a connected work loop rather than as a collection of separate apps: discuss an issue in Messenger, preserve the decision in a Doc, schedule people through Calendar, meet from the event or chat, and convert commitments into Tasks with an owner and due date. That division keeps fast conversation from becoming the permanent record while retaining the context people need.

What each Lark tool is for

The most reliable way to use Lark is to choose the workspace by the job at hand. Messenger is for timely conversation, Docs for durable collaborative content, Calendar for time and attendance, Meetings for synchronous discussion, and Tasks for accountable follow-through. The tools are designed to hand work from one stage to the next; Lark describes this connected approach in its platform overview.

When you need to… Use What should remain there
Clarify an issue or ask a quick question Messenger The discussion, reactions, files and links needed to reach a decision
Keep a decision, plan or draft available over time Docs The current content, comments, mentions and edit history
Coordinate a time, guest list or room Calendar The event details, responses and availability information
Discuss a complex subject live Meetings The call, shared screen, subtitles, minutes and any Doc edited during it
Make a commitment trackable Tasks An owner, deadline, reminders, group or subtasks

If a message contains a decision that someone will need next week, do not leave it only in Messenger. If an item needs an accountable person and a date, make it a Task. This simple rule prevents the most common collaboration failure: a busy chat with no durable record or clear owner.

How do I use Lark for team messaging?

Create the right conversation

Start with a group chat for an ongoing project or team rather than scattering related questions across individual conversations. Give the group a name that identifies its purpose, add the people who need the context, and state the immediate objective in the first message. Use a direct message for a private clarification or a short exchange that does not need a shared record.

Lark Messenger is intended for sharing, scheduling, meeting, assigning and approving work. Its product page and FAQ also document reactions, read and unread status, scheduled messages, audio-message transcription and message translation: Messenger product page and FAQ. The page listed translation for 18 languages when reviewed in 2026; that vendor figure can change, so check the current page before relying on a specific language count.

Keep a busy chat readable with threads

Reply in a thread when your message addresses one question, decision or file. A thread keeps side discussion attached to the originating message, so the main channel remains useful to someone catching up later. Post a new top-level message only when you are introducing a separate subject or an update that the whole group should see.

  • Put the question or requested decision in the first line.
  • Reply in the existing thread instead of starting a parallel answer.
  • Mention a person when their response or approval is required, not merely because they are in the group.
  • When a decision affects people who were absent, post a short decision-and-impact summary in the main chat and link to the durable Doc or Task.

Use timing and status features deliberately

Schedule a message when it would otherwise arrive outside a teammate’s working hours, and mark messages read or unread according to whether you have actually dealt with them. Reactions can acknowledge receipt without adding a needless “seen” message. For spoken updates, an audio message with transcription gives recipients a way to scan the content when they cannot listen immediately.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

These features do not replace a clear handoff. A scheduled message still needs an explicit request, and a reaction is not the same as approval unless your team has agreed that a particular reaction means approval.

How do I move a Lark conversation into a Doc?

Know when a Doc is the better home

Create a Doc when the material must survive the chat: a project brief, decision record, meeting agenda, procedure, requirements list or draft that several people will revise. Messenger is optimized for flow; a Doc gives the team one current version that can be found and edited without replaying a long conversation.

Create and share the Doc

  1. Open Docs from Lark’s workspace and create a new Doc.
  2. Give it a specific title, such as “Website migration decision log — October 2026,” so search results identify its purpose and date.
  3. Paste or rewrite the relevant decision, background and open questions. Link back to the Messenger thread when the surrounding context matters.
  4. Use the Share control to add named collaborators or a group and choose the required permission: view, edit or manage.
  5. Mention colleagues inside the Doc for a targeted review, and use comments for questions that should remain attached to a passage.

Lark’s getting-started guide says multiple people can view or edit at the same time, changes are automatically saved to the cloud, and collaborators can mention, comment and share with view, edit or manage permissions. It also describes edit history, translation and downloading as Word or PDF: Get started with Docs.

Choose permissions instead of forwarding unrestricted links

View access is suitable for a published reference, edit access for people responsible for the content, and manage access for people who must control sharing or the document itself. Grant the narrowest level that supports the work. A shared link does not automatically mean that every recipient should be able to edit or reshare the file; review the link and member settings before distributing it outside the working group.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Close the loop between chat and the Doc

When a discussion produces a durable result, post the Doc link in the original Messenger thread with a one-sentence status such as “Decision recorded; implementation owner and due date are in the Tasks section.” When the Doc changes materially, update the thread or mention the affected people rather than assuming everyone will notice the edit.

How do I schedule collaboration with Calendar and Meetings?

Check availability before proposing a time

Use Calendar when attendance, timing or a room matters. Lark’s Calendar guide documents creating an event with a subject, guests, time and location, checking other members’ availability, inviting participants and responding to invitations: Get started with Lark Calendar (updated December 26, 2025).

  1. Open Calendar and select the time range for the event.
  2. Enter a descriptive subject and add the people who need to attend.
  3. Use the availability view to find a time that works for the required participants.
  4. Add a physical location or the online meeting option, and include an agenda or relevant Doc link in the event description.
  5. Check room availability where your workspace provides room booking, then send the invitation.
  6. Monitor responses and update the event if the decision-makers or timing changes.

Use event cards and chat for the handoff

Participants can start or join a meeting from an event card. Lark also supports starting a video call from a group chat or a Calendar event, and its overview says meeting participants can edit Docs during a call. Put the agenda and working document in the event so attendees can move from discussion to a shared artifact without searching through old messages: Lark platform overview.

Handle external scheduling separately

When people outside your organization need to book time, the Calendar guide describes Scheduler for one-on-one and Round Robin bookings. Use it when availability must be exposed without a long message exchange. Confirm what information external guests can see before publishing a booking page, and keep confidential project details in a restricted Doc rather than in a public event description.

Make meetings produce an outcome

Before the call, put the decision needed and the pre-reading link in the event. During the call, nominate someone to capture decisions and unresolved questions in the Doc. Immediately after, create Tasks for commitments and leave the meeting record where attendees can find it. The Lark Meetings help category includes setup and joining instructions, screen sharing, subtitles, host controls, Minutes and troubleshooting: Meetings Help Center.

How do I turn a Lark chat message into a task?

Capture the action while the context is visible

Use a Task when a message contains work that someone must complete, not merely information to read. Lark’s task guide says tasks can be created in Tasks, Messenger or Docs, and that one or more chat messages can be converted into a task. It also documents creating tasks from email content: Create tasks.

  1. In Messenger, select the message or messages that contain the request and choose the task-creation action. If your interface does not show that action, open Tasks and create one manually, then paste the message link or relevant text.
  2. Rewrite the title as an outcome, for example “Approve the launch checklist,” rather than copying a vague phrase such as “Look at this.”
  3. Assign one responsible owner. Add collaborators or a group only when they have a defined role.
  4. Set a due date and, when useful, a reminder. A date turns an intention into something the owner can plan.
  5. Add the source conversation, Doc or email so the owner can inspect the original context without asking the team to repeat it.
  6. Break multi-stage work into subtasks, and place related tasks in a group or project view.
  7. Confirm the task in the chat when assignment is sensitive or ambiguous, then use task status for progress updates.

Assigning a single owner does not prevent collaboration; it prevents “everyone” from becoming an owner in name only. If the deadline or scope changes, update the Task and notify the affected people in the source thread.

A practical Lark routine for a project team

At the start of the day

Scan the project group for unread messages, open task notifications and calendar conflicts. Reply in threads, mark messages that need later attention as unread, and schedule non-urgent announcements rather than interrupting colleagues at random times.

When a question becomes a decision

Ask the question in the relevant group, keep answers in a thread, and state the decision explicitly once the necessary people have responded. Create or update the project Doc with the decision, date, rationale and affected scope. If somebody must act, convert the request into a Task before moving on.

Before and after a meeting

Put the agenda and Doc link in the Calendar event, check availability and invite only the people needed for the decision. During the call, edit the shared Doc together. Afterward, create Tasks with owners and deadlines and post the outcome in the original Messenger conversation.

At the end of a work cycle

Review open Tasks, close or reschedule items with an explicit note, and update the Doc so it reflects the current state rather than a superseded draft. Archive or rename inactive chats according to your team’s retention practice; do not treat an old chat as the authoritative version of a process that now lives in a Doc.

Permissions, traceability and team conventions

Agree on a few conventions before the workspace becomes crowded:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • Conversation: one group per continuing workstream, with threads for individual issues.
  • Record: one named Doc for decisions, plans or drafts that need to persist.
  • Ownership: one Task owner and one due date for every actionable commitment.
  • Access: named people or groups with view, edit or manage permissions appropriate to their role.
  • Traceability: links between the source message, Doc, Calendar event and Task when a decision crosses tools.

Review access when a project changes phase or a contributor leaves. Manage permission is powerful because it can affect sharing; reserve it for people who are responsible for the workspace or document, not simply for everyone who needs to edit text.

Common problems and how to recover

“The decision is buried in chat.”

Search for the thread, write a short decision record in a Doc, and link it back to the conversation. Create Tasks for any resulting work. Do not merely pin the message if people will need the rationale or the latest status later.

“Several people thought they owned the action.”

Convert the source message into one Task with a named owner, due date and subtasks for contributors. State the ownership change in the thread so the team has a visible handoff.

“The Doc link works for me but not for a colleague.”

Open the Doc’s sharing controls, verify that the colleague or group is included, and check whether the permission is view, edit or manage. Avoid assuming that forwarding the URL changes access; it does not replace the document’s permission settings.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

“The meeting time does not work for everyone.”

Return to the Calendar availability view, identify which attendees are required, and revise the invitation. For external one-on-one or Round Robin booking, use Scheduler where available rather than exchanging times manually.

“A button or label is different on my device.”

Lark’s interface can vary by device, account configuration and update. Start with the current Help Center, whose top-level categories include Messenger, Meetings, Docs, Base, Email and Calendar: Lark Help Center. Follow the documented desktop path where possible, then use the equivalent action in the mobile or updated interface.

How to tell whether your workflow is working

After a week, inspect a few completed work items rather than counting messages. You should be able to answer four questions quickly: Where was the discussion? What is the durable decision or current draft? When is the meeting or deadline? Who owns the next action? If any answer requires asking the whole group or replaying a long chat, move that information into the missing tool and link the records.

Lark is most useful when these handoffs are habitual. Messenger gives the team speed, Docs preserve shared understanding, Calendar and Meetings coordinate attention, and Tasks turn agreement into accountable execution.
