Access requires an eligible Google Workspace or Google AI plan, and the available features can vary by account and Drive surface.
What Gemini in Drive can do
Ask Gemini can work with a selected file or folder, answer questions about Drive content, and synthesize information across selected files and other Workspace sources. That makes it useful for more than a short summary: you can ask for decisions, unresolved questions, action items, risks, or differences between reports.

Google’s examples include finding the top risks across operational updates and comparing a budget forecast with projected-spend presentations. For a question that involves several sources, tell Gemini which files or time period matter rather than relying on a broad request.

Summarize a file or folder
- On the web, open Google Drive.
- Select the file or folder you want to work with and click Ask Gemini. You can also open the Ask Gemini control first and add sources in its sources panel.
- State the output you want and what to include. For example: “Summarize the key decisions and unresolved questions in these meeting notes. Cite the source document for each point.”
- Review the response and open its source citations to check important details against the original file.
Google’s summary guidance covers Docs, Sheets, Slides, PDFs, videos, and images, while the file-viewer guidance specifically describes asking questions about PDFs and videos. Capabilities differ by surface, so a feature available in one viewer or account should not be assumed to appear identically everywhere.

Analyze several documents together
For comparisons and questions that involve multiple sources, start a conversation from Ask Gemini and add the relevant files, folders, or other Workspace sources. A new conversation may search Drive, Gmail, Chat, and Calendar by default; web search is off by default in the workflow for analyzing multiple sources described by Google. Check the sources and settings in the panel so the answer uses the scope you intend.
- Add the files or folders that contain the evidence you need.
- Name the task and the specific sources or periods to compare. For example: “Compare the Q3 budget forecast sheet against our Q4 projected-spend presentations and list material differences.”
- Ask for a useful format, such as a list of differences, risks, decisions, or open questions.
- Open citations and verify consequential names, dates, amounts, and decisions in the source documents.
You can also use an @ mention or name sources explicitly to focus the prompt. Google describes analysis across multiple folders, shared drives, Docs, Sheets, Slides, PDFs, and other Workspace apps; your actual access still depends on account eligibility and source permissions. Write prompts that produce checkable answers
A prompt works best when it identifies the source set, the question, and the output. Adapt these patterns to your own files:

- “Identify the top three risks mentioned across [named updates]. Include the source document for each risk.”
- “Compare [forecast file] with [projected-spend presentations]. List material differences and cite the relevant sources.”
- “Across [selected meeting notes], list action items with the owner and due date when stated. Mark missing details as not stated.”
These follow the kinds of requests in Google’s official examples. Asking for evidence and a defined output makes it easier to inspect the answer rather than treating a fluent summary as a verified record.

Check citations and source coverage
Gemini can provide citations or source links, but Google warns that it might miss a source it used or cite a document that was not directly used for a particular point. A citation is a route back to evidence, not proof that every detail is correct. For consequential work, open the cited file and confirm the relevant passage, figure, date, or decision.
Folder summaries also have a coverage limit: Google says a summary might not include every file, and the described feature analyzes one folder at a time. If completeness matters, narrow the question and check which files were considered; do not assume one folder summary represents every document in a large or changing collection. Save a source set for ongoing work
If you expect to return to the same project, Drive projects can preserve a source set for multiple conversations and can be shared. Creating a project is a web-only action. Sharing the project does not grant collaborators permission to private source files: each person still needs ordinary access to the underlying documents to view or reference their contents. Details are in Google’s Drive projects help.
Access and feature differences
Gemini in Drive requires an eligible Google Workspace or Google AI plan. Eligibility and feature availability depend on the account and the particular capability; Google’s Drive search and retrieval help and Gemini in Drive overview describe plan requirements. If Ask Gemini or a specific source option is missing, check the account you are signed into and whether that account has access to the feature.
