To use Gemini in Google Workspace, open a supported app and look for Ask Gemini or the Gemini side panel, then describe the task and the source material you want it to use. In Gmail, Docs, and Sheets, it can help with email, writing, and spreadsheet work; in Meet, Ask Gemini answers questions about the active meeting. Access and controls vary by account, plan, app, and organization settings, so not everyone will see the same options.
Before you start: check access and choose a source
Many Workspace Gemini features require an eligible Google Workspace or Google AI plan. Work or school account users may also need their administrator to enable the feature. If a Gemini control is missing, it may reflect plan eligibility, account settings, organization policy, or the app’s available interface—not necessarily a problem with the app.

When prompting, name the material Gemini should use and the result you want. For example, ask it to summarize a particular email thread and list open questions, rather than simply saying “summarize.” In Workspace, Google documents that Gmail can also use Google Drive files as added sources for more relevant responses. Review the result against the original material before acting on it. Google’s Workspace Learning Center warns that Gemini features may suggest inaccurate or inappropriate information; the correct source link is Google Workspace Learning Center.

On desktop, open Gmail, select Ask Gemini at the top right, enter a request in the right-side panel, and submit it. Google documents help with summarizing long threads, drafting or refining emails, suggesting replies, finding details in previous emails, and scheduling.

- Get a recap: “Summarize this email thread and list the open questions.”
- Draft a response: “Draft a concise, professional reply that confirms the proposed time.”
- Find a message: “Find emails from [person] sent last week.”
- Extract next steps: “List the action items in this email.”
These are prompt examples, not guaranteed output. Check names, dates, proposed times, and commitments against the messages before sending a reply or making a decision.
Use Gemini in Google Docs
In Docs, Gemini may be available in a side panel, bottom bar, or inline controls, depending on the interface available to your account. It can help draft content, improve or proofread writing, summarize material, and create documents. Plan eligibility applies.

Give it the audience, purpose, and structure you need. For instance: “Draft a project plan for the product team. Include goals, milestones, owners, and risks; use a concise, practical tone.” Treat the result as a draft: confirm facts and dates, make sure it fits your document’s purpose, and revise before sharing.

Use Gemini in Google Sheets
Gemini in Sheets can help organize and process spreadsheet data. Google’s examples include suggesting a table for a task tracker or conference agenda and doing certain text-processing work based on existing data. The available features depend on the account’s eligible plan.

Describe the columns and the output you want, such as: “Use the task names, owners, and due dates in this sheet to suggest a task-tracker table with status and priority columns.” Check suggested values and classifications against the source data before inserting or relying on them; generated entries can be incomplete or misclassified.
Use Ask Gemini during a Google Meet call
Ask Gemini in Meet is for questions about the active meeting. It can help someone catch up on the discussion and identify takeaways, decisions, and action items. It is not a transcript generator.
- Ask Gemini: private, in-meeting questions and catch-up.
- Take notes for me: a separate feature for automatically creating and sharing a meeting-notes document.
The meeting host can disable Ask Gemini, and an administrator may control availability. Google says Ask Gemini temporarily uses live captions and does not retain caption data after the meeting; prompts and responses are saved in Conversation History. Hosts should account for participant consent and the meeting’s controls when deciding whether to use it.

Google’s Workspace guidance also covers Gemini in Slides, Drive, and Chat. Google gives Slides image creation and Sheets data organization as examples; Docs Editors Help also includes Vids and Forms in its Gemini overview. Features differ by app and plan, so look for the controls available in your account rather than assuming every app has the same Gemini tools.

Connect Gemini Apps to Workspace information
Gemini Apps can connect to supported Workspace information through the Google Workspace app. Google says you must be signed into the same account, and a work or school administrator must enable app connections. Smart features in Gmail settings must also be on. In a new Gemini chat, explicitly mention Workspace or a service such as Gmail, Docs, Drive, Calendar, Tasks, or Keep.
Google documents that this connection can find, summarize, and answer questions about supported Workspace information, and help with tasks, notes, and calendar events. It has limits: Gemini Apps cannot access comments or images in Docs or Gmail, pictures and videos in Drive, move or organize Drive files, count Drive or Gmail items, or report storage.
Check Gemini’s answers and understand the privacy scope
Google cautions that Gemini may be inaccurate or inappropriate and says its suggestions do not necessarily represent Google’s views. It also says not to rely on Gemini features as medical, legal, financial, or other professional advice. Verify important names, dates, amounts, decisions, and factual claims against the original source before you act or share.
Google’s Workspace documentation describes existing Workspace data protections and organizational data commitments for business, education, and public-sector customers. Those statements apply to the customer categories Google specifies; they should not be generalized to every personal-account Gemini experience.
