How to Use an AI Prompt Manager with Claude and ChatGPT

A practical guide to saving, organizing, testing and moving prompts between Claude and ChatGPT without locking your workflow to one provider.

The most reliable way to manage prompts across Claude and ChatGPT is to keep a portable library as your source of truth, then copy only short, stable preferences into each service’s native instructions or memory. Store task prompts separately, label variables and platform-specific variants, and test important prompts in both models after major updates.

What an AI prompt manager should do

A prompt manager is any system that lets you save, find, revise and reuse instructions for an AI model. It can be as simple as a Markdown file or notes database, a browser-based prompt library, or a production registry used by a development team. The right choice depends on whether you need quick personal reuse or controlled deployment inside an application.

For Claude and ChatGPT, a useful manager should make six things easy:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • Save one canonical version of each prompt.
  • Find prompts by task, project or output type.
  • Identify variables such as audience, tone, source text and length.
  • Record which model or platform was tested.
  • Keep a history of meaningful revisions.
  • Back up your library independently of either provider.

Native settings are good for preferences that should apply repeatedly, such as your preferred spelling, formatting or answer length. They are less suitable for long, task-specific instructions that you use only occasionally. Keeping those prompts outside the chat service reduces lock-in and makes it easier to switch models.

Build a portable prompt library first

Start with a file or notes system you can read and back up without a proprietary extension. Markdown, plain text or a standard document format works well. Use one entry per prompt rather than a single unstructured page.

Use a consistent entry format

Give every entry the same metadata so you can search and audit it later. A practical record contains:

  • Title: a descriptive name such as “Summarize a policy for executives.”
  • Use case: what the prompt is intended to accomplish.
  • Target platform: Claude, ChatGPT or both.
  • Variables: values you replace for each run.
  • Prompt body: the canonical instruction.
  • Expected output: format, audience, length and quality requirements.
  • Last tested: date, model name if known, and a short result note.
  • Variants: platform-specific edits, if testing shows they are necessary.

Keep variables visibly marked. For example, use <audience>, <source_text> and <word_limit> consistently instead of changing the notation from prompt to prompt. Before sending the prompt, replace each variable with a real value or remove the variable instruction if it does not apply.

Separate instructions from the input

Make the reusable instruction independent from the material it will process. A stable entry can contain an instruction section followed by an input section:

Role: You are an editor for a general technology site.

Task:
Explain <topic> for <audience>.

Requirements:
- Use plain language.
- Include a short example.
- Stay under <word_limit> words.
- If information is missing, identify the uncertainty.

Output format:
1. Direct answer
2. Key steps
3. Common mistakes

Input:
<source_text>

This structure makes it clear which text should remain unchanged and which text changes for each request. It also gives you a repeatable way to compare results from Claude and ChatGPT.

Put persistent preferences in the platforms

Do not paste your entire prompt library into permanent settings. Reserve native instructions or memory for short preferences that should influence most conversations, such as “use British spelling,” “show commands in code blocks,” or “ask one clarifying question when a requirement is ambiguous.”

Keep a longer instruction in your external library when it applies to one project, one document type or one occasional workflow. This division prevents a task prompt from unexpectedly affecting unrelated chats and keeps you within platform character limits.

When a preference belongs in native settings

  • You want it applied repeatedly without pasting it.
  • It is stable rather than tied to a single project.
  • It is short enough to review and edit easily.
  • You are comfortable with the provider retaining that setting under its current account and privacy terms.

When a prompt belongs in your library

  • It contains detailed steps, examples or a long output schema.
  • It uses project-specific context or confidential material.
  • You need to run it in both Claude and ChatGPT.
  • You expect to revise, compare or roll back versions.

Write prompts that both models can execute

Anthropic’s Claude Platform Docs state that “Claude responds well to clear, explicit instructions.” The same practical discipline helps in ChatGPT: state the task directly, supply relevant context, define the output format and list constraints in a predictable order.

A durable prompt structure

  1. Role or perspective: identify the useful expertise without asking the model to pretend it performed work it did not perform.
  2. Task: state the action in one direct sentence.
  3. Context: provide the facts, source material or definitions needed for the task.
  4. Constraints: specify length, audience, geography, date, exclusions and quality checks.
  5. Process: give ordered steps when the order affects the result.
  6. Output format: name the headings, table columns, code format or data structure required.
  7. Examples: include a small, relevant example when the desired style or transformation is easy to misunderstand.

Label these sections consistently. Clear labels help you identify what to change when a result is poor and make a prompt easier to adapt between services.

Do not assume identical behavior

A prompt can be portable without producing identical outputs. Claude and ChatGPT may interpret the same instruction differently, use different defaults, or change behavior when their underlying models are updated. Keep one canonical version, test it in both services, and create a “Claude version” or “ChatGPT version” only when a measured difference justifies the edit. Record what changed and why.

Save and reuse prompts in ChatGPT

On ChatGPT web or desktop, open Settings > Personalization, enable customization, and enter your persistent preferences in Custom Instructions. On iOS or Android, use Settings > Customize ChatGPT and enable customization. The labels and limits can change, so check the current settings screen on your account.

Current Custom Instructions limits

OpenAI’s current Help Center information lists different character limits by plan. These are account limits, not a recommended size for every instruction, and they may change.

ChatGPT plan group Listed Custom Instructions limit Practical use
Free and Go 1,500 characters Short, global preferences
Plus, Pro, Enterprise, Business and Education 5,000 characters More detailed recurring preferences

Keep a full copy in your portable library even if it fits in Custom Instructions. OpenAI says Custom Instructions are included in a ChatGPT data export, but an export should supplement rather than replace your own backup.

Use Custom Instructions without hiding task prompts

Write the setting as a compact policy for ordinary conversations. For example, specify your preferred language, whether to use headings, how to display code and what to do when information is uncertain. Do not place a long research workflow, a client’s private data or a one-time transformation prompt there. Paste those from your library when needed so they remain visible and scoped to the relevant conversation.

Save and reuse prompts in Claude

Claude has separate workflows for persistent memory and account-data export. They should not be treated as the same feature.

Import context into Claude memory

Anthropic’s September 2, 2026 help information says memory imports are available to Free, Pro, Max and Team users on the web and Claude Desktop. Open Settings > Memory and use the import flow to provide context exported from another AI provider. Claude turns the material into memory entries that you can review.

Anthropic labels this import experimental and warns that it may not incorporate every imported memory. Inspect the resulting entries for omissions, incorrect assumptions and sensitive information. Keep your original library; memory import is not a substitute for an independent copy.

Export Claude account information

Individual Claude users on Free, Pro and Max can request user-information and conversation-data exports from Settings > Privacy on the web or Claude Desktop. Anthropic’s cited help information says the export cannot be initiated from Claude mobile apps and that the download link expires 24 hours after delivery. Download the file promptly and store it in a location you control.

Team and Enterprise organization exports follow a different owner-only process. A Claude data export is also not a guaranteed one-click migration into ChatGPT or another provider. Treat it as an archive that you can inspect and selectively convert into your own prompt-library format.

Move a prompt between Claude and ChatGPT

  1. Open the canonical entry in your library.
  2. Fill in or remove every variable, including audience, date, source text and output length.
  3. Check whether the prompt relies on a platform-specific feature, memory item or tool that the other service does not have.
  4. Paste the same prepared prompt into Claude and ChatGPT using comparable source material.
  5. Compare the outputs against the same acceptance checklist rather than judging only writing style.
  6. Record the model, date, result and any change that improved reliability.
  7. Keep the canonical prompt unchanged unless the improvement is general; store a labeled variant when it is platform-specific.

Equivalent instructions do not guarantee equivalent results. A variant is justified when, for example, one model consistently needs a stricter output schema or a different way of delimiting source text. Avoid maintaining two versions merely because the interfaces look different.

Choose the right kind of prompt manager

You can start without a dedicated product. Compare options by portability, backup, variables, version history, collaboration, browser permissions and data handling.

Option Best for Strengths Limitations and checks
Plain Markdown file or notes app Individuals building a personal library Portable, inexpensive, searchable and easy to back up Version history and collaboration depend on the storage system; protect confidential prompts and exports.
Cross-platform prompt extension or library People who frequently insert prompts into both chat interfaces Convenient retrieval and organization; AIPRM says its library supports Claude and ChatGPT and allows private prompt organization. Those are vendor claims. Review browser permissions, account access, export options and data practices before connecting either account.
Production prompt registry Developers and teams shipping prompts inside applications PromptLayer describes version history, evaluations, release controls and application integration. This is a technical deployment tool, not a necessary personal saved-prompt list. Confirm hosting, access controls, retention and pricing before adoption.

No independent product testing establishes that a third-party library is safer or more reliable than a local file. If a tool cannot clearly explain how it handles prompt content, credentials and browser permissions, keep your library manual.

Back up, review and protect your library

Keep more than one copy

Maintain the working library and at least one separate backup. Use a format that remains readable if you change note-taking applications. Include the date of the last review in each entry or in the filename. Back up exported ChatGPT and Claude data separately from your curated prompt collection so an archive does not overwrite your cleaner, reusable versions.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Remove secrets and unnecessary personal data

Do not save API keys, passwords, private customer records or confidential source documents inside a reusable prompt. Replace sensitive material with a variable such as <customer_data> and insert it only in an approved environment. Check third-party extensions for permissions to read page content, modify websites or access account data.

Review imported memory

After importing context into Claude, remove stale preferences, duplicate entries and assumptions you no longer endorse. Memory can influence later conversations in ways that are difficult to notice if you do not periodically inspect it. Keep a dated copy of the intended preferences in your own library.

Version and test prompts like small pieces of software

Use simple version labels such as v1.2 and record the reason for each meaningful change. A useful test note names the input, the expected output and the failure you were trying to fix. For important prompts, keep a small set of representative test cases rather than relying on one successful conversation.

Re-test after platform changes

Re-run important prompts after a model switch, a major interface change or an update to memory behavior. Do not assume that a prompt that worked last month will behave identically today. Compare the result with your acceptance checklist: factual coverage, required sections, formatting, length, prohibited content and handling of uncertainty.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Keep variants rare and explainable

A variant should answer a documented problem. Label it with the platform and the reason, such as “Claude: explicit XML output because the unmodified prompt omitted fields.” If later testing shows the canonical prompt works everywhere, delete the unnecessary variant to avoid maintenance drift.

Troubleshooting common failures

The model ignores a preference

Move the preference to a clearly labeled instruction, state it once in direct language and place it near the output requirements. Check whether a newer, more specific instruction conflicts with it. If the preference is stored in memory or Custom Instructions, verify that customization or memory is enabled for the account and conversation.

The output differs dramatically between services

First check that the inputs, variables, context and requested format are identical. Then identify the exact difference: missing fields, unwanted prose, tone, length or factual handling. Add a targeted constraint or example rather than rewriting the entire prompt. Keep a platform-specific variant only if repeated tests show it is necessary.

An imported Claude memory is incomplete

Anthropic warns that memory import is experimental and may miss information. Compare the imported entries with your original export, add the missing stable preferences manually and retain the source library. Do not assume that a successful import represents a complete migration.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

You cannot start a Claude export on mobile

Use Claude on the web or Claude Desktop for the individual export workflow described by Anthropic. The cited information says mobile apps cannot initiate it. Once the download link arrives, remember that it expires after 24 hours.

A prompt has become too long for ChatGPT Custom Instructions

Move task-specific material into your external library. Compress Custom Instructions to stable preferences, output conventions and escalation rules. OpenAI’s listed limit is 1,500 characters for Free and Go users and 5,000 for Plus, Pro, Enterprise, Business and Education users; verify the current limit in your account because plan rules can change.

A practical daily workflow

  1. Search your library by task name rather than scrolling through old chats.
  2. Open the canonical prompt and read its variables and expected output before copying it.
  3. Insert only the current source material and constraints.
  4. Run the prompt in the service that best fits the task, or in both when portability matters.
  5. Check the result against the entry’s acceptance criteria.
  6. Save a short test note when the output reveals a useful improvement or a platform-specific issue.
  7. Update the canonical entry only after deciding whether the change is general or belongs in a labeled variant.

This workflow keeps your prompts discoverable without allowing old chat history or hidden memory to become the only record of how a result was produced.
