Crashes, No Sound, or Screen Glitches?
Random freezes, missing sound and display glitches usually trace back to one bad driver. Find and replace yours safely.Free scan · under a minuteWindows Errors? Fix Them Before They Spread
Repair common Windows errors and clear accumulated junk for a smoother, more stable PC - no reinstall needed.Free scan · no reinstallAI and automation can catch many preventable 1099, W-2 and ACA reporting errors before submission: missing fields, inconsistent names or identification numbers, duplicate payees, amounts that do not reconcile to payroll or ledgers, and approaching deadlines. Treat them as preflight and reconciliation tools—not as authorities on worker classification, reportability or health-plan eligibility. A responsible person still needs to verify the records, approve filings and track acceptance or corrections.
What AI can—and cannot—catch
A useful automated workflow checks data against other records and established filing rules. It can flag that a payee’s name and taxpayer identification number (TIN) differ from approved intake records, that a payroll total does not agree with a draft W-2, or that a filing is missing a required field. Those are signals for review, not proof that a record is true or that a payment has been classified correctly.

The IRS and Social Security Administration (SSA) materials describe common information-return errors, cross-system matching and formal correction procedures. They do not establish that AI can independently decide whether a worker is an employee or contractor, whether a payment is legally reportable, or whether an employee meets ACA coverage rules. Keep a person responsible for those decisions and for the final submission.

- Required-field, format and basic range checks.
- Duplicate payee or employee detection, and alerts when identifying information changes.
- Reconciliation of draft forms to payroll, payment ledgers and related tax reports.
- Form- and tax-year-specific calendar reminders, including recipient delivery dates.
- Review queues for ambiguous transactions, eligibility questions and mismatched records.
- Retention of the source data, rule version, reviewer approval, transmission acknowledgement and any correction history.
Decisions to keep with a qualified reviewer
- Employee-versus-contractor status and the legal reporting treatment of a payment.
- Whether a payment belongs on a particular form or in a particular box when the facts are unclear.
- ACA questions about employment status, offers of coverage, affordability or eligibility.
- Resolution of mismatches where the underlying source records conflict.
Which forms, systems and deadlines are involved?
There is no single “1099, W-2 and ACA deadline” or submission channel. The forms serve different purposes and go to different systems. Use the current instructions for the form and tax year, and distinguish filing with an agency from furnishing a statement to a recipient.

| Many Forms 1099 | The IRS Information Returns Intake System (IRIS) accepts many information returns. The IRS also currently lists FIRE for certain forms. IRS guidance says FIRE is scheduled to retire beginning with tax year 2026/filing season 2027, when IRIS is planned to be the sole IRS intake system for information returns. Check the form’s current instructions and the IRS e-file information returns guidance for the applicable route. | Dates vary by form and by whether the deadline is for furnishing a recipient copy or filing with the IRS. For 2026 payments, the IRS guide lists January 31 for Form 1099-NEC filing and furnishing; because January 31, 2027 falls on a Sunday, the weekend adjustment applies. The guide lists a $2,000 reporting threshold for the specified nonemployee-compensation and certain attorney-payment items for 2026; do not apply that threshold to every 1099 form or payment type. See the IRS guide to information returns. |
| Forms W-2 and W-2c | Employers file wage reports with the SSA through its wage-reporting channels, including Business Services Online. IRS instructions cover Form W-2/W-3 preparation and corrections. | The IRS 2026 W-2/W-3 instructions show February 1, 2027, as the due date for filing 2026 W-2 series forms and Form W-3 with the SSA. See the 2026 Instructions for Forms W-2 and W-3. |
| ACA Forms 1094-B, 1095-B, 1094-C and 1095-C | The IRS Affordable Care Act Information Returns (AIR) system handles these forms. Its tax-year materials specify schemas, business rules and submission procedures. The AIR system is separate from a consumer’s Marketplace Form 1095-A. | Dates depend on form, tax year and filing method. Electronic due dates can differ from dates shown for other filing methods. Check the IRS AIR information and current-year materials before setting the calendar. |
For covered information returns, the general e-file threshold is 10 or more returns, calculated in aggregate across covered types; W-2s count in the relevant aggregate. This threshold has applied to covered filings beginning January 1, 2024. Confirm how it applies to your filing in the IRS electronic filing guidance and the applicable form instructions.
Dates can move when they fall on a weekend or legal holiday. The IRS guide also identifies March 31 as the IRS due date for entries marked with an asterisk when filed electronically; it is not a universal deadline for all information returns. IRIS submissions are timely when made by 11:59 p.m. on the applicable due date. For operational planning, IRS guidance says processing a transmitter control code can take up to 45 days; that is a lead-time consideration, not a filing deadline. See the IRS e-file guidance and information-return calendar.
How to build a practical preflight workflow
- Identify the form, tax year and filing route. Set up separate workflows for 1099 forms, W-2/W-3 wage reports and ACA returns. Record agency and recipient deadlines independently, along with the applicable submission system and current instructions.
- Establish trusted source records. Use approved W-9 intake records for payee name/TIN comparisons, payroll and employee records for W-2 checks, and benefits records for ACA reporting. A comparison only shows whether records agree; it does not certify identity or eligibility.
- Run completeness and consistency checks. Flag missing required data, malformed identifiers, duplicate records, unexpected changes and amounts that fail configured validations. Keep form-specific rules versioned by tax year so a check for one form or year is not silently applied to another.
- Reconcile totals to their source systems. Compare 1099 amounts by payee and candidate form box with the payment ledger; compare W-2 totals with payroll and related employment-tax reports; and compare ACA statement data and transmittal totals. Route discrepancies to a person rather than silently changing figures.
- Send exceptions to the right reviewer. Assign classification and reporting questions to someone qualified to resolve them. Preserve the reason for a decision and the record used to support it.
- Approve, submit and monitor. Require documented human approval before filing. Save submission acknowledgements, check for rejections or errors, and track recipient delivery separately from agency acceptance.
What to check on each return type
1099 information returns
Common risks include missing or incorrect payee names and TINs, a wrong form type, incorrect amounts, and late or incomplete filing. Automated checks can compare each payee name/TIN pair with approved W-9 intake, detect duplicate payees, reconcile ledger totals by payee and form box, and flag transactions near a configured reporting threshold. The reviewer—not the automation—must classify payment categories and decide whether a payment is reportable.

Do not treat a name/TIN comparison as proof of legal identity or as resolution of a classification dispute. The IRS Publication 1099 general instructions set out form-specific filing and correction rules, including cases where more than one corrected return may be needed.
W-2 and payroll reports
The IRS 2026 W-2/W-3 instructions identify errors such as an incorrect employer identification number (EIN) or employee Social Security number, name-field formatting problems, missing or malformed money entries, and inappropriate checkboxes. A preflight can compare employee legal names and SSNs with approved payroll records, check EIN consistency, find missing fields or duplicate records, and flag unusual changes between payroll runs.
Totals deserve a separate reconciliation. The IRS Combined Annual Wage Reporting process matches federal income tax withheld, Medicare wages, Social Security wages and tips reported on employment-tax returns against SSA W-3/W-2 totals. A workflow that checks those values before submission can surface a disagreement for review; it cannot determine which underlying record is correct. See the IRS Combined Annual Wage Reporting information.

ACA coverage reporting
For Forms 1094-B, 1095-B, 1094-C and 1095-C, an automated check can look for missing month-by-month coverage data, inconsistent employee/dependent relationships, EIN mismatches, required form-code issues, and differences between transmittal totals and statement records. AIR uses tax-year schemas and business rules, so confirm that the submission package matches the processing year. The IRS publishes the AIR Submission Composition and Reference Guide alongside its AIR system materials.
A benefits administrator should resolve questions about coverage offers, eligibility and employment status against the records and rules applicable to the case. Do not use a consumer’s Marketplace Form 1095-A as a substitute for employer ACA reporting forms.

For a filed W-2
Use Form W-2c and generally Form W-3c to correct a filed wage statement, and provide corrected statements to employees as required. The IRS instructions say to file corrections as soon as possible after discovery. Depending on what changed, an amended employment-tax return may also be necessary. Follow the current W-2/W-3 instructions and SSA correction procedures for the specific error.

For a filed 1099
The correction path depends on the form, the type of error and the filing method. The IRS Publication 1099 instructions describe paper and electronic correction procedures; TIN/name corrections have separate instructions. Preserve the original submission and acknowledgement, identify the error type, prepare the correction required for that case, furnish corrected recipient statements where required, and confirm that the correction was accepted.
For an ACA return
Use the current AIR instructions and procedures for the processing year and the affected form. Retain the original submission status, identify the rejected or incorrect records, correct the underlying data, and verify the new submission’s acknowledgement. AIR requirements can be year-specific, so do not reuse an old schema or correction procedure without confirming it is still applicable.
The IRS identifies potential penalties for late, incomplete or incorrect information returns, including returns with missing or incorrect TINs. Reasonable-cause, de-minimis and dollar-amount safe-harbor rules may apply in some circumstances, but eligibility depends on the facts; they are not blanket exemptions. Consult the applicable IRS instructions for the return and circumstances.

How to assess an automated filing workflow
Whether you use built-in automation or a separate filing workflow, assess capabilities rather than assuming that an “AI” label prevents errors. Check whether it supports the particular forms and agency channels you use; current tax-year rules and schemas; corrections as well as original filings; reconciliation to payroll and ledger data; and separate recipient and agency deadline controls.
Also check whether the system preserves source records, rule versions, approvals, acknowledgements, rejections and corrections; routes uncertain cases to a human; and has access controls, retention practices and integrations suited to your accounting or payroll environment. These are evaluation criteria, not claims that any particular product has been tested or endorsed by the IRS.
