How to Upgrade a Dataverse for Teams Environment to Dataverse

A tenant admin upgrades a Dataverse for Teams environment in the Power Platform admin center. Check available capacity, licensing, and user impact first.

To move a Dataverse for Teams environment to full Dataverse, a tenant admin upgrades it in the Power Platform admin center. Before confirming, make sure the tenant has available Dataverse capacity at least equal to the environment’s current size. This is an upgrade—not a manual export-and-import process or a move to another geographic region—and it changes how the environment’s capacity, lifecycle, and user access are managed.

What the upgrade changes

Dataverse for Teams environments are associated with a Microsoft Teams team. Microsoft sets a limit of 2 GB of combined database and file storage for each such environment, with some capacity reserved for system use. At 80% of capacity, Microsoft can send an approaching-limit notification. At 100%, users can continue using existing apps, but cannot create or install new apps, agents, flows, or tables in that environment. These thresholds and limits are described in Microsoft’s Dataverse for Teams environment documentation.

Upgrading makes the environment a Dataverse environment. Apps become associated with it and can run inside or outside Teams. The environment no longer depends on its original Team for its lifecycle: it remains if that Team is deleted. Its storage consumption counts against the tenant’s Dataverse capacity pool, and the environment is governed by Power Apps licensing and environment configuration.

Check capacity and licensing before you start

Confirm available Dataverse capacity

The tenant must have available Dataverse capacity at least equal to the current size of the Teams environment. If it does not, Microsoft says the upgrade is blocked and an error appears. After the upgrade, the environment’s consumption counts against the tenant’s Dataverse capacity. Check both the environment’s current size and the tenant’s available capacity before asking an admin to proceed. See Microsoft’s upgrade process and capacity guidance.

Review licensing and expected use

Do not assume that existing Teams use automatically grants every user access to the upgraded Dataverse environment. App access requires appropriate Power Platform licensing, and the applicable entitlement depends on the users and workload. Makers use the Power Apps portal to find and edit apps and flows. Review Microsoft’s current Power Platform licensing FAQs for the relevant scenario rather than relying on a generic plan assumption.

How a tenant admin upgrades the environment

  1. Identify the environment and reason for the change. Confirm which Team-linked environment is being considered and whether the need is more capacity, Dataverse capabilities, or both. A Teams environment has a 2 GB combined database and file storage limit.
  2. Check tenant capacity. Verify that available Dataverse capacity is at least the current size of the environment; otherwise, the upgrade will be blocked.
  3. Review the request. Microsoft describes the tenant admin reviewing a Teams user’s request before starting the operation.
  4. Open the Power Platform admin center. Go to the environments view and select the Dataverse for Teams environment to upgrade.
  5. Start and confirm the upgrade. Execute the upgrade, read the implications message, and confirm. Microsoft documents progress notifications but does not specify a general completion time.
  6. Check the upgraded environment and access. Confirm that makers can find and edit apps and flows in the Power Apps portal, and verify that intended users have the necessary licensing and access.

Microsoft documents this as an admin-led upgrade; it does not describe a separate database export/import step for this process. The exact admin-center labels may change, so use Microsoft’s current upgrade instructions when carrying it out.

Prepare users for app, ownership, and lifecycle changes

Team owners receive the System Administrator role in the upgraded environment, and the Microsoft 365 Groups association becomes editable. The environment’s lifecycle is no longer tied to the original Team, so deleting that Team does not delete the upgraded environment. Plan who will administer the environment and review access after the change.

Apps can run inside or outside Teams after upgrade, subject to appropriate licensing. Makers locate and edit apps and flows through the Power Apps portal. Communicate the change to users who rely on these apps, and coordinate any access adjustments with the tenant administrator.

If the environment contains Copilot Studio bots

Plan for user impact during the upgrade. Microsoft says bot creation and editing are blocked while the environment is being upgraded, and bot chats may be affected. Notify bot authors and users about the expected interruption. After a successful upgrade, bots continue to work; sharing a bot with additional authors may require adding those authors as owners of the associated Team. See Microsoft’s Copilot Studio upgrade guidance.

Upgrade versus moving the environment to another region

“Migrate” can mean changing the geographic region where an environment is hosted. That is a separate operation from upgrading Dataverse for Teams to Dataverse. Microsoft says moving Dataverse for Teams environments between geographic regions is typically unsupported, with exceptions handled by Microsoft Support. If your requirement is a region change, do not use the upgrade process as a substitute; consult Microsoft’s guidance on migrating default and Dataverse for Teams environments.
