To transcribe a phone recording on a computer, share or export the audio from your phone to a place the computer can access, then upload it to a transcription tool that accepts the file. In Microsoft Word, open the Transcribe pane, choose Upload audio, and select a supported file. If your iPhone or Pixel already produced a transcript, copying or exporting that text may be quicker.
“Phone audio” can mean a voice memo, interview, voicemail, or phone-call recording; the best route depends on how it was recorded and which tools your device and account support.

Choose the route that fits your recording
| Route | Does the audio leave the phone? | Best fit | Main trade-off |
|---|---|---|---|
| Word Transcribe on a computer | Yes. You transfer the file to the computer and Word stores it in OneDrive. | A supported audio file and an eligible Microsoft 365 setup. | Account, tenant, browser, storage, and monthly upload limits apply. |
| iPhone Voice Memos transcript | No, if you only copy the transcript from the phone. | Eligible iPhones with supported language and regional availability. | It is not available on every iPhone or in every region. |
| Pixel Recorder transcript | Not necessarily. Recordings stay on the Pixel unless you choose backup, sharing, copying, or another save location. | Recordings made with Pixel Recorder. | These steps do not apply to every Android phone; re-transcription may process audio on Google servers. |
| Google Docs Voice Typing | The recording plays from the phone; the computer microphone captures it. | A fallback when direct file upload is awkward. | It is not a direct audio-file import and depends on clear playback. |
| Google Cloud Speech-to-Text or Gemini API | Yes. Audio is sent for cloud processing. | Developers or organizations that need a configured service. | Requires technical setup; Cloud Speech-to-Text is billable. |
Upload the recording to Word on your computer
Word’s Transcribe feature accepts .wav, .mp4, .m4a, and .mp3 files. Microsoft documents the feature for Word for Microsoft 365 on Windows in commercial tenants; Government tenants have availability in Word for the web. The web workflow requires an internet connection and a current version of Edge or Chrome. Check that your account and Word version expose Transcribe before moving the file. Microsoft’s current Transcribe documentation lists availability and workflow details.
Do these 3 things before closing this tab:
1Fix the driver behind crashes, sound loss and screen glitches2Clear out junk files and repair common Windows errors3Scan for outdated or missing drivers - takes under a minute- Move a copy of the recording. On the phone, use its Share or Export action and choose a destination you can access on the computer, such as a cloud drive, email, or direct local transfer. The exact menu, file location, and transfer choices vary by phone. Before proceeding, confirm the audio file is present on the computer.
- Open Word’s Transcribe pane. In Word, go to Home, choose the arrow beside Dictate, then select Transcribe.
- Upload the file. Select Upload audio and choose the recording. If Word does not accept the format, it may need conversion; first identify the original format and use a conversion method appropriate to your device and platform.
- Wait for processing. Microsoft says processing can take up to about the audio’s duration, depending on internet speed. Keep the Transcribe pane open while it runs.
- Review and edit the result. Use the transcript’s timestamps to replay the audio. Check names, numbers, technical terms, punctuation, speaker changes, and muffled sections rather than assuming the first draft is correct.
Word’s account limits and storage
Microsoft’s support documentation, accessed October 7, 2026, states that Microsoft 365 subscribers can upload up to 300 minutes of audio per month. It documents a maximum of 30,000 minutes per month for users with a Copilot license. These are account-dependent monthly upload caps, not general free allowances; availability and limits may vary by service or account. Word saves uploaded recordings in OneDrive’s Transcribed Files folder, so consider that storage location when handling sensitive audio. Microsoft says Transcribe separates speakers in the transcript, but you should still verify speaker labels and wording against the recording. See Microsoft’s Transcribe support page.

iPhone: Voice Memos
Apple supports Voice Memos transcription on iPhone 12 or later in listed languages: English variants, Spanish, Portuguese, Italian, French, German, Japanese, Korean, Simplified Chinese, and Traditional Chinese. Regional availability limits also apply. For a recording, open Voice Memos, tap the memo’s More button, choose View Transcript and select the text, or choose Copy Transcript to copy it all. Paste the text into a document on your computer using a method available to you. Apple’s instructions for viewing a Voice Memos transcript cover the supported devices and workflow.
Pixel: Recorder
Pixel Recorder recordings do not automatically sync to a Google Account by default. Google says they remain on the Pixel phone or tablet unless you turn on backup, share them, copy them to another app, or save them elsewhere. Recorder can share audio or transcript files; its transcript can also be shared to Google Docs or saved as a .txt file. Menu names and options may depend on the app version. These instructions are specific to Pixel Recorder, not a universal Android feature. Google Pixel Help explains saving and sharing recordings and transcripts.

Voice Typing is a workaround, not direct audio import: it listens through the computer microphone while the recording plays near it. Open a Google document, choose Tools > Voice typing, start voice typing, and play the phone recording clearly near the computer’s microphone. Review the captured text while listening. Google News Initiative recommends clear audio; if a section is unclear, listen to it and repeat the words clearly into the computer microphone. This approach can lose words or punctuation, so use it when file upload is unavailable or impractical, not as a substitute when you can upload the recording. Google News Initiative’s Voice Typing guide describes this method.

When a cloud transcription API makes sense
Google Cloud Speech-to-Text for phone calls or voicemail
For audio captured on a phone, such as a call or voicemail, Google Cloud’s documentation recommends setting the model to phone_call; an enhanced model is optional. This is a developer-oriented route, not a no-setup desktop upload: the tutorial requires a configured Google Cloud project, credentials, and a development environment, and identifies Speech-to-Text as a billable service. Google Cloud’s phone-audio tutorial gives the configuration details.
Gemini API transcription modes
Google AI for Developers documents Gemini transcription modes for API use. Its verbatim mode preserves fillers, repetitions, pauses, and false starts; smart mode removes conversational disfluencies for a more readable transcript. This is a technical integration option, and model availability can change; check the current documentation before building around a specific model. Google’s Gemini audio transcription documentation describes the modes.

Make the transcript usable
- Replay sections containing names, dates, amounts, addresses, or specialist vocabulary.
- Check speaker changes and labels, especially when several people overlap or sound alike.
- Listen again to quiet, muffled, or interrupted passages; do not fill gaps by guessing.
- Choose the transcript style that fits its purpose. A verbatim record keeps speech patterns; an edited transcript may be easier to read but should not change the speaker’s meaning.
- Before uploading sensitive audio, check where the service stores it and whether processing involves the cloud. Word stores recordings in OneDrive’s Transcribed Files folder; Pixel re-transcription may send audio to Google servers.
Official materials describe product features and limits, but do not establish a comparative accuracy benchmark across these routes. The recording itself and a careful listen-through remain important to producing a reliable transcript.
