For work or school accounts, check account eligibility, administrator approval, user settings, and your permissions to the specific content before treating the problem as a Gemini failure.
First identify which Gemini integration is failing
“Gemini integration” can refer to two different features:
As an Amazon Associate I earn from qualifying purchases.
- Connected Apps in Gemini Apps: You use Gemini at gemini.google.com and ask it to work with supported services connected to your Google Account, including Workspace services.
- Third-party integrations with Gemini in Workspace: You connect an integration for use within a Workspace surface such as Gmail, Docs, Drive, Sheets, Slides, or Chat.
Start by noting where you’re using Gemini, which app it should access, and whether you’re signed in with a work or school account. The steps below distinguish the two routes because a setting that affects one may not apply to the other.

For a work or school Google Account, Connected Apps depend on account eligibility and organizational settings. Google says app access must be enabled by the Workspace administrator. Availability can also vary by Workspace edition, location, language, device, and the Gemini app you’re using. Google’s work or school Connected Apps guidance describes the applicable availability and requirements.

- Attention-grabbing design meets the latest evolution of the Google Pixel Camera on the new Google Pixel 11 Pro; Gemini Intelligence helps manage details so you can live in the moment[1]; and the phone is available in two sizes
- Unlocked Android phone gives you the flexibility to change carriers and choose your own data plan: Works with Google Fi, Verizon, T-Mobile, AT&T, and other major carriers[2]
- Stay informed without looking at your screen: When your phone is face down, Pixel HiLight gently alerts you with subtle glowing lights when your favorite contacts are calling or you’re talking with Gemini; exclusive to Google Pixel 11 Pro phones
- Magic Capture catches the moment as you live it: With just one tap, Pixel 11 Pro captures video and photos, and automatically edits, crops, and unblurs a curated collection, ready to share – and you get the memory of how it felt to be in the moment
- Two new cameras for more brilliant photos: A larger telephoto sensor captures 30% more light for clear, beautiful photos and videos, even in the dark[3]; Pixel’s longest zoom ever helps you capture details from impressive distances[4]
- Confirm that your account and Workspace edition are eligible for the app and feature.
- Check that Keep Activity is on if required for your account.
- If the app is unavailable or an organization message appears, ask your Workspace administrator whether Connected Apps access is enabled for your account or organizational unit.
If you cannot change a setting because it is controlled by your organization, an administrator must review it; repeatedly reconnecting the app will not override an organization-level block.
Check account and user settings for the Google Workspace app
If you’re connecting the Google Workspace app to Gemini Apps, make sure Gemini and Workspace are using the same signed-in Google Account. Google also says Keep Activity must be on. For some connection problems, Gmail’s Smart features in other Google products setting may need to be enabled; after changing it, reload Gemini and try again. Follow Google’s steps for connecting the Google Workspace app to Gemini Apps for the relevant account settings.

- Check the profile or account shown in Gemini Apps and confirm it is the same work or school account you use for Workspace.
- Confirm Keep Activity is enabled for that account.
- In Gmail settings, check whether Smart features in other Google products is enabled. If you turn it on, reload Gemini before testing again.
- Start a new conversation and try a specific request, such as asking Gemini to find a named file you know you can open.
Tell Gemini which app and content to use
In a new Gemini Apps conversation, explicitly name the service or select it using @, then describe the content you want. For example, ask Gemini to find a specific document by its title or search Gmail for a message from a named sender about a particular subject. In later turns of the same conversation, you do not need to repeat the app request. Google advises against using a pasted document or email URL as the way to reference Workspace content; describe the item instead. See Google’s Connected Apps instructions and Workspace app connection guidance.
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Scan for outdated or missing drivers - takes under a minute3Repair Windows errors before they cause bigger problemsVerify that you can access the specific content
Gemini’s access to Workspace data follows your own permissions: “Gemini has the same access to Workspace data as you do,” Google says in its Workspace data-access guidance. Open the file, event, or message yourself using the same account and check that you have permission to view it.
- Drive files: A file being shared with you does not guarantee Gemini can access it. Google says Gemini cannot access a file if its owner has disabled downloading, copying, and printing.
- Delegated Gmail: Gemini cannot access messages in another person’s delegated inbox.
- Shared or restricted content: If you can’t view the item yourself, ask its owner or an administrator to review sharing and restrictions. Gemini cannot grant you access you do not already have.
Check whether the requested task is supported
An integration can be connected and still be unable to perform a particular action. Google documents limits for Connected Apps, including certain requests involving Drive pictures or videos, Gmail or Docs comments and images, counting items or storage, and some content-management or message actions. Check the limits for the specific app and feature in Google’s Connected Apps guidance and Workspace app guidance. If your request falls outside a documented capability, changing permissions or reconnecting the app may not help; try a supported request instead.
Set up third-party integrations separately
If the integration is a third-party service used with Gemini inside Workspace, follow that service’s Workspace Marketplace setup rather than the Connected Apps steps. Google documents that requirements can include a supported account or edition, administrator permission, Google Account authorization, and—in some cases—a separate subscription. Some integrations may also require a helper app, as described on their Marketplace page. See Google’s instructions for using integrations with Gemini in Workspace.

- Select Connect and complete the Google Account authorization flow.
- Review the integration’s Marketplace listing for account and edition requirements, any helper app, and any separate subscription requirement.
- If authorization is blocked or the app is unavailable, ask your Workspace administrator whether the integration is allowed for your account.
Know which administrator controls to ask about
Built-in Gemini access to Workspace data and third-party app authorization are not the same control. An administrator may restrict Gemini or its access to Workspace data; content owners separately control sharing and file restrictions. For separate internal or third-party apps, administrators can also manage OAuth access and restrict services or high-risk scopes. Google documents these controls in its guidance on Gemini access to Workspace data and controlling which apps access Google Workspace data.

When contacting an administrator, provide the Gemini surface, the app, the account you used, the action that failed, and any message shown. Ask them to check the relevant Gemini or integration setting and applicable organizational policy. Public documentation cannot show how a particular organization has configured its tenant.
