How to Troubleshoot Email Deliverability on a Self-Hosted Mail Server

A practical diagnostic sequence for self-hosted email rejected, deferred, or sent to spam, starting with the evidence in one real test message.

Start with one test message and the recipient server’s exact response, then work through your mail logs, authentication and DNS, transport, and recipient-specific policy. That sequence helps distinguish a local Postfix problem from a domain or IP issue; even a fully compliant setup cannot guarantee that every provider will put a message in the inbox.

First identify what happened to the test message

“Email deliverability” can describe several different symptoms, and each points to a different part of the delivery path. Send a controlled test to an account you can inspect, preferably one that does not expose a real user’s address or credentials. Record the sending time and IP, recipient provider, complete bounce or deferral text, and the delivered message’s full headers if it arrives.

  • Permanent rejection: The receiving server refused the message. The SMTP reply and any enhanced status text are the starting clues; do not assume every 5xx response has the same cause.
  • Temporary deferral: The receiver did not accept the message at that time. Preserve the 4xx response and avoid increasing retries or sending volume while investigating.
  • Spam-folder placement: Delivery occurred, but the recipient’s filtering decision put the message in spam. Inspect the message headers and authentication results, then consider sending reputation and recipient feedback.
  • No apparent arrival: Check whether your server handed the message to a remote server, whether it remains queued, and whether a bounce or later delivery status exists. “Not in the inbox” alone does not establish where delivery failed.

Keep the complete server response rather than a paraphrase. A short code such as 4xx or 5xx is not enough to identify the cause without the accompanying text and context.

Check the mail server’s logs and queue

For Postfix, begin with the mail log around the test’s timestamp. Look for the earliest warning, error, fatal, or panic entry related to the message, then follow its queue ID through the later log entries. Check whether the message is still queued, was deferred, or was handed to a remote server, and capture the receiver’s SMTP reply when available.

The Postfix Project’s Debugging Howto advises looking for errors that prevent Postfix from working properly as the first step when it does not receive or deliver mail. That makes the earliest relevant error more useful than changing DNS or authentication settings before confirming the local service is operating normally.

If logs indicate a protocol problem, Postfix’s guide recommends capturing the SMTP session. Use a test message and redact addresses, credentials, message contents, and other sensitive details before sharing a transcript. A successful handoff to a remote server narrows the investigation: the remaining question may be the recipient’s treatment of the message, rather than whether Postfix attempted delivery.

Verify SPF, DKIM, DMARC, and From alignment

For a message that reached a test inbox, inspect its Authentication-Results header for SPF and DKIM outcomes. Check DMARC separately and confirm whether the authenticated domain aligns with the domain shown in the visible From: address. These checks are related, but a pass for one does not prove that all the others pass or that alignment is correct.

  • SPF: The domain’s SPF policy should account for every legitimate system that sends mail using that domain, including web applications and relays. Keep the record current and do not publish multiple SPF records for one domain name.
  • DKIM: Confirm that the message is signed and that the recipient reports a DKIM pass. If a relay sends the message, verify that its signing configuration is appropriate for your domain.
  • DMARC and alignment: Check the policy and whether SPF or DKIM authenticates a domain aligned with the visible From domain. A message can authenticate through a mechanism but still fail the relevant alignment check.

Google’s Gmail sender guidance sets different minimums by sender category for mail to personal Gmail accounts: all senders need SPF or DKIM, while senders sending more than 5,000 messages per day to personal Gmail accounts must follow the bulk-sender requirements, including SPF, DKIM, and DMARC. Google recommends setting up all three even when the lower minimum applies. Its bulk guidance also calls for the visible From domain to align with SPF or DKIM and for one-click unsubscribe on marketing or subscribed messages.

Google says SPF authentication can take up to 48 hours to start working after a record change. That timing is Google Workspace Admin Help guidance, not a guarantee that every DNS change or recipient will behave identically.

Check forward and reverse DNS for every sending IP

Google’s published Gmail requirements call for valid forward and reverse DNS. For each outbound IP, verify that its PTR record points to the server’s hostname and that the hostname’s forward A or AAAA record resolves back to that same IP. Check IPv4 and IPv6 independently if the server can send over both; correct IPv4 identity does not establish that IPv6 is configured correctly.

Also confirm that the hostname your SMTP server presents is consistent with the intended server identity. Gmail’s 4.7.23 response is a provider-specific example associated with missing or mismatched PTR information. Use the exact response text and the sending IP involved to guide the check; do not generalize a Gmail code to every receiving provider.

Inspect TLS, message format, and the SMTP exchange

Review the SMTP transcript or relevant logs for a failed connection, TLS problem, or protocol error. Confirm that outbound SMTP uses TLS as appropriate and that the message conforms to RFC 5322 formatting. A message that never completes a connection or handoff needs a different fix from one accepted by the recipient server and then filtered into spam.

Keep transcripts limited to a controlled test and redact sensitive content before sharing them. If the connection succeeds, use the recipient’s actual response to decide whether to investigate retry behavior, authentication, DNS identity, or provider policy next.

Use recipient-provider diagnostics and policy carefully

For mail sent to Gmail recipients, Google Postmaster Tools can provide information about authentication, reputation, spam feedback, and delivery errors when data is available. Treat it as a provider-specific diagnostic view, not a universal measure of delivery to other mailbox providers.

Google’s Gmail guidance says to keep the reported spam rate below 0.3%; it recommends staying below 0.10% and avoiding 0.30% or higher. These are Gmail’s published guidance values, not industry-wide benchmarks or a promise of inbox placement. Gmail’s rules should not be assumed to match Microsoft, Yahoo, or every other recipient provider.

Read the full SMTP response and enhanced status text before making a change. For example, Gmail’s 4.7.32 response is associated in its sender FAQ with From-domain alignment. The code is useful because it identifies a provider-specific issue, but it does not replace checking the message’s actual authentication results and headers.

Review complaints, subscriptions, and sending volume

For opted-in bulk or subscription mail, monitor complaint feedback and honor unsubscribe requests. If deferrals or bounces begin, reduce sending volume while investigating rather than repeatedly retrying at a higher rate into a temporary failure. Abrupt volume spikes and recipient complaints can affect how providers treat mail even when the server’s DNS records are correct.

Keep this review focused on wanted mail and the affected recipients. A clean authentication result is not evidence that recipients requested the messages or that a provider will treat them as wanted.

Decide whether direct delivery is viable

Direct delivery gives you control of the sending IP and server logs, but it also makes you responsible for the network’s acceptance, IP reputation, DNS identity, authentication, and ongoing operations. If your host or ISP will not permit reliable direct SMTP, or the sending IP has poor acceptance, an outbound SMTP relay may be a practical alternative. A relay changes the sending path; it does not fix an incorrect domain policy, missing authentication, or unwanted sending practices.

Consideration Direct to recipient MX Outbound SMTP relay
Sending IP and logs You control the sending IP and your server-side logs. The relay controls the outbound path; confirm what delivery diagnostics it exposes.
Network and receiver acceptance Acceptance depends on your network and sending IP. Can change the sending path when your host or ISP is a constraint; the relay’s acceptance is not established by the fact that it is a relay.
Authentication and alignment You configure and maintain SPF, DKIM, DMARC, and any required alignment for your sending setup. You still need correct domain authentication and alignment; include the relay in SPF as appropriate and verify how it signs messages.
Operational burden You handle delivery diagnostics and the sending infrastructure directly. Some sending-path operations move to the provider, but you must verify its configuration and the diagnostic detail it supplies.
Third-party dependence No outbound relay is involved in the sending path. Delivery depends in part on a third party’s service and configuration.

Do not select a relay on the assumption that it guarantees inbox placement. Confirm that it authenticates your domain correctly, supports the alignment your mail requires, is accounted for in SPF, and provides enough detail to troubleshoot recipient responses.
