There is no universal resume-upload standard: limits differ between application systems, and an accepted upload does not guarantee that the portal has parsed your resume correctly. Capture the error before making changes, work through the checks below, and contact the employer’s application support contact promptly if the problem persists.
1. Record what happened before retrying
Note the exact error message, the portal, your browser and device, and when you tried to upload. Record whether the upload fails immediately, stalls, or appears to finish without attaching the file. If useful, save a screenshot—but check that it does not expose sensitive personal information before sharing it.

This information helps distinguish a rejected file from a stalled upload or a file that attached but was not processed as expected.
2. Check the application’s file requirements
Look at the instructions beside the upload field, the application help page, or the job posting. Confirm the permitted file extensions, size limit, filename restrictions, and whether you need to choose an attachment category as well as select a file. Do not assume a limit from another employer or portal applies here.

These examples show why the form’s own instructions matter: the published size limits are not interchangeable, and filename rules may apply even when a file is small enough.
3. Verify the file type and the file itself
Make sure the resume opens on your device and that its filename extension matches the format it actually uses. If the portal does not accept that format, export a fresh copy in one of the formats it lists; changing the filename extension alone does not convert a file.
Accepted types vary. SAP’s Reimagined Candidate Experience resume field lists PDF, DOC, DOCX, TXT, and RTF; SAP explicitly identifies JPG/JPEG as unsupported. USAJOBS recommends PDF and accepts additional types, so check its current list and the specific application’s directions rather than treating that recommendation as universal.

The U.S. Department of Labor’s Veterans’ Employment and Training Service guide says digital resumes can be DOC, DOCX, or PDF “based on instructions provided,” and advises using PDF when the application instructions specifically require it. Apply the employer’s stated format requirement first; then check the uploaded preview, if available, to see whether the layout remains readable.
4. Reduce the file size only if it exceeds the portal’s limit
If the file is too large, save a lower-size copy—for example, by reducing the resolution of embedded images where appropriate—and open it to check that the text is still legible. Compare its size with the limit for that particular form. The published limits above differ, so there is no evidence-based universal target size to use instead.
5. Simplify the filename when it may be causing a rejection
If the portal rejects the filename or specifies naming rules, use a short, plain name without special characters. Brampton’s applicant guidance recommends renaming a file without special characters. Check the portal for any additional restrictions: Tennessee’s applicant FAQ, for example, limits filenames to 24 characters and requires different names for separate attachments. Those rules apply to that portal, not automatically to others.

6. Retry using guidance for that portal
Follow any error-specific instruction before trying general workarounds. For example, Google Careers says that when an upload-failed alert appears, remove the existing resume from its parsing tool and upload it again. That instruction is specific to Google Careers; it is not a general fix for every application form.

After retrying, check that the file appears in the correct resume field and preview it if the portal offers one. A successful upload and an accurate application profile are separate outcomes: Google Careers warns that parsed resume information may be incomplete or inaccurate. Compare any automatically populated fields with your resume and correct missing or incorrect details before submitting.

8. Contact support before the deadline if it still fails
Use the support contact shown on the job posting or application portal. Send a concise description of the problem with the exact error, portal name, browser and device, and a screenshot if it is safe to share. Brampton advises applicants to contact talent acquisition with a short description and screenshot when technical problems continue.
If the deadline is near, ask the employer or portal support contact what to do and whether there is an approved alternative submission method. Do not assume that emailing your resume counts as applying; confirm the instructions with the employer.
